I would love to understand how the "lookupObjects" action works in automation. I would like to reference user data from the Object attribute. All the documentation available seems to not cover my specific use case. With that said, i probably dont know enough about how it works at its core to figure it out on my own. The video was so weirdly buggy and the audio had so many cutoffs, you should use another recording software that does not capture just 5fps video and syncs it properly and disable noise cancellation or whatever effects you used to "improve" your audio.

Appreciate the comments, but not everyone have a studio to work from, and I am still learning the software since I have recently changed to both a new computer and new software. I have a query, let's say I have an Object "Laptop" and attribute "Owner; Location", in another schema I have an object "Employee" with attribute "Location and Computer", I would like that when assigning an owner to a computer the computer obtains the same location as the owner or at least a filter that only shows me the same location as the owner. Can be done?

Currently, yes, and no. In DC there is an Assets specific automation, but they don't have that in Cloud. That means that you must have this done in a ticket workflow, for example when someone is requesting a new laptop, or during an onboarding workflow. In theory, as I have not tested this yet, you can get the location from the Employee object and then use an automation to add that information to the laptop either manually or when a transition happens. So the steps would be to first do an Assets lookup into the Employee object and find the location attribute, Then create a variable from that using the {{lookupObjects.someAttribute}} and finally update the Laptop object and add the variable to the laptop location attribute. I have not tested it, but based on logic that should work :)

Hi! Thanks for all the info so far! I want to check if there's any way I can see a total count of how many objects a certain object is linked to? For example, in my use case I've created Laptops and Mouse as 2 different types of hardware assets. As Laptops are the objects with identifiers, I would like to link certain laptops to the same mouse asset and then count the number of linkages to determine how many users have a mouse. Let me know if this is the recommended approach as my organization would like to only track the number of mice instead of the individual mouse assets themselves. I currently can only see the linkages to the mouse as a single node in the Jira Object graph as the message was "The number of objects of this type were too many to be represented individually in the graph and have therefore been grouped together in a single node."

Hi Chloe, unfortunately, there are some hard restrictions in Assets that will cause this effect that you experienced. I would go a different route and instead connect both laptop and mouse to the users they are assigned to. Then you can filter on inbound or outbound links and get the number of users that have been assigned a mouse (or laptop). This will also allow you to see from both the mouse and the user what belongs to whom with the correct overview. I hope that helps?

You will need to do that with an AQL query to what you want to use. For example, I am using Company Email domain to set a customer object in one automation and the AQL for that looks like this: objecttype = "Accounts" AND "Company Email Domain" = {{reporter.emailAddress.split("@").last}} So I connect the account where the company email domain attribute matches the domain of the reporter's email address (I split out the email in this version to just get the domain). So if you want to reference the price in a field, you would use the same type of AQL: objecttype = "asset object" AND "Price" = "price value"

Thanks for the video. The flow requires that you create your source content as excerpts in the first place. Is there any way to retrospectively turn content into excerpts? Basically i would like to: Go to source page > highlight content block > set to an excerpt for reuse elsewhere

I hear you :) Unfortunately, it can't be done at the moment. We can create a request for it and this could actually be used in many other ways as well, like marking a text and making that into a status or a Confluence task. That would be very nice.

You have three actions related to Assets in your automation: Create object, Edit object and Lookup objects. So you can create new objects using automations and you can update existing ones as well. I am experimenting with my configuration settings, so I can automatically create new projects when requested and then also update the records through JSM requests. I will schedule a video for that to show you how it can be done.

I would like to see detail on mapping and editing the mapping using real-world scenarios with often messy data in spreadsheets. Depending on what you want to do, you can use an automation for that. I have for example a custom field for Assets Users that I connect all tickets and configuration requests to so I have a record of what users have asked for and the only thing I do is to use the Edit Issue automation and connect the reporters email to the email fields I have in assets. I do this by mapping like this: "Email Address" = "{{reporter.emailAddress}}" So the "Email Address" is the attribute in Assets, and then I fetch the email of the reporter with {{reporter.emailAddress}} so I can set the value in assets.

Hey. I appreciate this video a lot, but I'm still having problems. I've set up my import and attribute mappings, and can successfully import into a schema. Problem is, when I try to change something about the csv, add it, and import again to update some of my new objects, it instead creates new objects out of every entry in the CSV! I'm using Key + Name as identifiers when importing, with Name as the label attribute. Do you have an idea what I'm doing wrong?

If you are matching the Key, then they should update properly, but there have been several bugs related to this, so one of those might still be around. Key is something that we can't really do much about, but try to set Name as unique if you do not have several items with the same name? Do that by configuring the attribute and check the Unique box. Let me know if that works for you, otherwise I'll see if I can replicate your problem and find another solution.

We've recently got Atlas, and just trying to figure out what it's for and what we should do with it, at this stage. I may be speaking too soon, as I'm still learning, but if I had my way, I'd ditch it and basically just use Jira. You can tag and categorise Jira Issues in many different ways, so I'm not sure what this idea of creating and maintaining Goals adds... One thing they seem to have added since this video was posted is some sort of integration to Jira...

The scenario: if you had a “printers”, asset and a printer was tied to an office in Stockholm, is it possible to query the printer asset and set the office field automatically to the proper office? With the connection already set, you can just open the Asset object in the ticket, and you can see all attributes and connections. But it is an interesting use case and as long as it only has one value it should be possible to set using an automation. Let me test it out and I'll make a video for it once I have a solution :)

Great video helped a lot.....but can some automation be added to this so that no user input is needed whatsoever when they create a ticket/issue. I want to be able to use the jira automation so that it automatically recognises the reporter of the issue and gets their assets from a certain object type and pastes it into that assets tab for the jira screen. I assume this would not be too hard. If you can make a video on this, it would be amazing. Otherwise, love these videos man.

This can kind of be done using cascading fields. That means that one Assets field can show content based on what has been selected in another field. You can also have a User object scheme in Assets that is automatically set based on report and then from there you can click to show the object in the ticket, and you can see all connection to that. I will see if I can show this in future videos. Great question as well that inspires me to make more videos!

Sorry for late reply, I have been dealing with my health the last few weeks. Now, having an excerpt targeting a certain version can be done by setting different names on the Excerpt in the published version and any draft or previously published version. It might be a bit of a hassle, but it is possible. @@jerrodvan24 I really struggled with this too. Hopefully this will work for you. Hope the generic syntax makes sense. For the attribute that you are trying to set with the import that maps to an Object, use this AQL: objectType = "<object>" and "<object key>" = ${<csv column>} This will locate the object and filter it to match the key field to the value you have in the import file. I think this same syntax will work to filter an object by a previous set attribute as well, but that gave me some trouble when running the import. I think the earlier comments might work but you would need to substitute "Label" or "Name" with the name of the key value you set in the object.

It should always refresh when you enter the page. Live-refresh could probably be added, but it is not added at the moment. It is a good suggestion though and perhaps a notification if the page is in edit mode as well, so the users know it is being worked on...

@@Donnerbalken_ The Macro should not be cached, though, as it should fetch the actual content through the connection. If the page caches the macro content as well, then that would be a bug. It is an interesting find and I will try to test it and see if I can verify it. Is it on Cloud or Data Center you see this behaviour?

For example if you customers instead of yourself that have assets being managed in asset management with their specific "organization" as the "assignee". Is there a way to show assets based on that? So different customers can have their own assets and raise tickets on specifically those assets and no other.

You would need to have a customer object and connect the asset to that instead. Then you would need to recognize the reporter and connect them to the customer object. If your customers all exist within a single domain, then you can use the email to match against the customer object. I have a setup for Privacy that use this by splitting out the domain name from the email and matching it in an automation using "Company Email Domain" = {{reporter.emailAddress.split("@").last}}. In many cases customers have multiple organizations with one company though, so then it would be a bit trickier. It is a great question and I will see if I can solve it and show how it can be done. It might be as easy as just using the organization object in an automation....

Hello Jimi, Thank you for your very thorough, and very well presented overview of Assets. I just started using Assets for my work and I am curious if you may have any information on using Assets for asset inventory purposes. We have many attributes associated with an object and in particular we have one for "Last Inventoried". This is something we use for audit/compliance purposes. I've created filters to identify assets/objects that have not been inventoried since a certain time period, and I would like to know if there are any tools, or if there is a way for me to update assets/objects that have not been inventoried by using a hand held scanner? We apply bar-coded asset tags to many of our assets. When I identify a group of assets/objects located in a specific location that have not been inventoried, I would like to be able to go to the location with a hand-held scanner to scan the asset tag on each asset in that location, so that it updates the asset's attribute accordingly. Do you have any ideas or suggestions as to how this can be accomplished? I'm not sure if this would entail use of a 3rd party app to scan the barcodes and then just import the .csv file into Assets. I appreciate any feedback or information you may share. Thank you, Dean
