The real purpose of this video is to show how to create a formula in a custom field to locate tasks that display an "NA" value in any date-related field. Most people DO NOT know how to properly create such a formula. The "excuse" for the video is locating tasks that have not been baselined. Make sense? Thanks for asking!

Thanks for asking and thanks for watching my KZbin videos! Yes, there is a reason for changing the Task Type setting on tasks. The Task Type setting fixes or "locks" one of the three variables in the Duration Equation, which are Units, Work, and Duration. The purpose of the Task Type setting is to "lock" one of those three numbers so that Microsoft Project will not change that number. For example, many of my clients use Fixed Duration tasks because they do not want Microsoft Project to change the Duration. Several of my clients use Fixed Work because they do not want Microsoft Project to change the Work. By the way, for all three Task Types, the PM is always allowed to change the "locked" number; it simply prevents Microsoft Project from changing that number. Hope this helps.

Hi Dale - Is there a way to add more options to choose from in the "Text Styles" and then the drop down box called "Items to Change". I have used this section in the past but I have always found it to be very limited. I guess, I would love to see a method, if it exists, to add a Custom Field or two to the drop down box, as I use the Marked Tasks field for a variety of cases and so I wouldn't want to tie it to a format. Great video and Thanks!!!

Hi Dale - The Gantt Bars are kinda hard to see. Is there a way to change the color of each bar for the respective 4 options (ie Driving Predecessors, etc) so they stand out better? I believe there is a way but it must not be obvious. Great video. Thanks!!!

Excellent question! Yes, there is a way to change the colors. First of all, open any project and then select a task. On the Gantt Chart Format ribbon, click the Task Path pick list button and select ALL FOUR of the options, so that all four Gantt bar colors are displayed. Then double-click anywhere in the white part of the Gantt Chart pane to display the Bar Styles dialog. Down near the bottom of the list of the bar styles, you should see the definition for the four Task Path items. Change the colors there. Let me know how this works for you. Thanks for asking!

Hmmm. I can still see the Critical filter in the Critical Path section of the Filters menu, so I'm not sure what is going on with your Project for the Web instance. If this issue continues, you might want to reach out to Microsoft Support and open an incident with them. Sorry, but hope this helps.

Hey Dale, thank you for sharing. How would you advise someone who has a director's request to reset the baseline, to the originally agreed dates, keeping in mind that back then, the schedule was at level 2, whereas til today, you now have a level 5 schedule?

There is a lot of information missing in your question, such as whether the level 3, 4, and 5 tasks have already been baselined, whether you reset Baseline 0 to the new current dates and not the original dates, and whether you backed up your original baseline into one of the numbered Baseline sets of fields, such as Baseline 1 for example. If Baseline 0 contains the original dates of the level 1 and 2 tasks, then select only the new tasks added at levels 3, 4, and 5, and then baseline only the selected tasks. Doing so will maintain the original baseline for the level 1 and 2 tasks, while setting the current baseline Start and Finish dates for the level 3, 4, and 5 tasks. That's probably the best I can do for you without being able to look at your project. Hope this helps.

Good question. For the task in question, take note of its current Start date, and then calculate what the Finish date should be that is one year from the Start date. For example, today is 09/18/24, so one year from today would be 09/18/25. Enter a "starter" Duration value in days that approximates one year of time. For example, if I enter a "starter" Duration of 240 days, the Finish date is 09/04/25. Then continue increasing or decreasing the Duration until the Finish date is the desired one-year date. In my case, considering my company holidays, the Duration value I need is 250 days. Since Microsoft Project does not allow us to enter a Duration value in Years, the process I documented in how I recommend you do it. Hope this helps.

Yes, you can accomplish both of these objectives, but you will need to be a Project Online application administrator. First, create a project in Microsoft Project, then click File > Save As > Save. In the Save to Project Web App dialog, click the Type pick list and select the Template item, and then click the Save button. This will save the project as an enterprise project template. Next, you will need to create the Project Site template in SharePoint. Finally, you will need to create a new Enterprise Project Type (EPT) that utilizes both your enterprise project template and your new Project Site template. All projects created in PWA from this new EPT will meet your objective. Hope this helps.

Hello, I am a graduate student and I would like your help. I have a project with 2000 tasks. I insert the tasks with their links and I'm having trouble assigning resources. The program is slow to process the data I enter, about 3-4 minutes each time. Am I doing something wrong or is the amount of data large?

Thanks for this good question! And thanks for watching my KZbin videos. When you manage a large project, you can run into a significant amount of slowdown as Microsoft Project recalculates the project. That is why I recommend you turn off automatic recalculation when editing the project, and then manually recalculate the project whenever you are ready to do so. Create the Australia calendar with Australian holidays, BUT enter the Working Schedule for each day based on the conversion from Australian time to YOUR time zone. For example, I am in the Eastern time zone, and suppose I am creating an Australian calendar. 8:00 AM in Sydney, Australia is actually 6:00 PM in the Eastern time zone, so I would set the Start time of each day as 6:00 PM in the Australian calendar. You need the times on each of these calendars to be based on YOUR time zone in the US. Make sense? Hope this helps.

Wow, really good questions! Thanks for watching my KZbin videos, and thanks for leaving your questions. To answer your questions: 1. No, there is no way to enter progress on a check list item. It is either done or not done, with no progress options in between. 2. Regarding when to use checklists and when to use subtasks, I follow a methodology of not using tasks with a Duration of less than 1 day. So, suppose that my project needs a series of 8 tasks, each of which will take only one hour. In that situation, I would create a single task with a Duration of 1 day, and then add those 8 tasks as checklist items. Hope this helps.

Love your videos, Dale. Is there a way you can view a specific dependency chain clearly? I know you can get the tasks in a chain to highlight.. But say for example you have a master project, with multiple sub projects. There are over 7k tasks in the whole project. Is there a way you can pick one task, and easily view the whole dependency chain for that item without it keeping the noise of all the other tasks? Appreciate every thing you do, Dale!

Thanks for the question and thanks for watching my KZbin videos! From your question, it sounds like you already know about the Task Path feature in Microsoft Project. It is a shame that Microsoft implemented this feature by changing the Gantt bar color of Predecessors, Driving Predecessors, etc. instead of filtering to show only the tasks in question. If that feature does not work for you, you might want to try out the Project VBA macro referenced in the following blog post article: www.thepmoprofessionals.com/2018/08/03/trace-predecessors-and-successors-in-ms-project/ Those are the only options I am aware of that might be able to address your needs. Yes, you are at least partially right about Microsoft Project, as it has not gotten much attention from Microsoft, in favor of the web-based Project for the Web (now called Planner Premium). However, after nearly 5 years of development, Project for the Web cannot even come close to the features and functionality offered by the Microsoft Project desktop app. Many of us have told Microsoft that we ARE NOT going to abandon Microsoft Project, and hopefully, their leaders will get the message and begin spending money on Microsoft Project again. And you are right that the tool we should use depends on the level of projects that we have to deal with. Thanks also for this very nice comment. I appreciate it!

Dale - great video. One question. Will the Unique IDs start over at say 0 or at least 1 every time you call up your template to use and save as a new project or does the numbering sequence for the Unique IDs continue from the last Unique ID created in your template? I hope this makes sense.

Good question! No one has ever asked me this question before. Yes, when a new project is created from a template, Microsoft Project DOES maintain the Unique ID numbers from the project template in the new project. In other words, each project created from the template is a "mirror image" of everything in the template. Thanks for asking your question, and for watching my KZbin videos!

I also tried it with a Sanitized version (ie all tasks removed except for UID "0") for a Template in order keep the structure of the file for future use on other projects. When I did it that way, then, the first new task that I added, after calling up the Template, has a UID that is "1" which I'm happy to see (otherwise mine would have been 17000+). Thanks again for all your great videos and responses. Let me know when you make it back to St Louis.

Thanks for this video. Trying to determine the number of subscriptions needed for a large grant with about 20 direct resources working on tasks and an additional 25 stakeholders interested in tracking the progress/roadmap. Would you recommend 1 power user get Plan 5 and the other direct users get plan 3? Or could we get away with 5 power users at plan level three enabled to edit and mark task % complete? In the latter scenario, could the rest of the team view the project with Office 365? Or would they need a subscription?

Oh, good question! Thanks for asking and thanks for watching my KZbin videos. In your situation, I do not think that the one "power user" would need a Project Plan 5 license. Instead, get a Project Plan 3 license for your power users. For the team members who are working on tasks in the project, each of them would need a Project Plan 1 license to be able to view and update their tasks in Project Web App. Hope this helps.

Thanks for watching my KZbin videos! Yes, it is possible to create a master project consisting of about 100 subprojects in Microsoft Project. However, you would need a TON of memory in your computer, probably the maximum amount of RAM your computer can take. Plus, even with lots of memory, I think you will find that Microsoft Project is pretty slow in responding to changes you make in any of the subprojects. Take a look at my KZbin video on turning off the automatic recalculation feature, which is probably what you would want to do with a master project of this size. Good luck! And hope this helps.

Hi Dale, I ran through several scenarios with the initial setup as you show and seeing also that their Peak % is at 100% for the original Work Resource. When I add a helper Work Resource everything works as you say it should. Which is great, however, when I start with a single work resource or multiple ones, with their Peak % greater than 100%, I don't get a proportional split with the addition of a helper work resource using an Assignment value of 100%. Can you help me understand why that happens as it doesn't seem to match a real world situation. The setup I'm referring to is when someone is using Fixed Duration with Effort Driven On. Thanks in advance.

Dale - another great video. Question - is there any problem or issues that might arise if a PM decides to change either the task type and/or effort driven selection after a task has already started? Thanks, Dan Danahy

Dan -- Changing the Task Type on a task after the task has already started CAN change the behavior of the task if you change one of the three variables in the Microsoft Project scheduling engine. But the change in behavior will exactly match what I document in this video. Thanks for asking, and thanks for watching my KZbin channel!
