Hi Audrey, thanks for watching! Great question. If you want to have a project as a "Template" without actually being a template, you should: 1. Create a project, add the sections, tasks, and any additional information. 2. Next step, rename the project to easily identify it as a "Template". 3. Every time you need to use it, just Duplicate the project. I don't think we have any videos for bookkeeping, but I'll add that idea to our list. Hope this helps!

Hi mate. I have just started using Asana and I want to build it to monitor my KPIs. How do I do that? I don’t see how I can use it to monitor safety and quality KPIS (percentages, money savings, how many inspections done per month, etc).

Hey there, thanks for watching! In order to create accurate and useful dashboards, in your case to visualize KPIs, you need to have all the information living in the projects. Our organization consists of a large design team. Our design team consists of sub teams, UX Team, UI Team, UXR Team, UXW Team, SD Team, Dev Team, PO Team. All these teams are working on a Mobile App. When setting up a project, how to do we connect or assign specific teams to a project?

Hey, thanks for watching! You can only assign one "Asana Team" to a project in Asana. However, if you want people from multiple teams as members of one specific project, you have to create the project in a particular team and then manually add members from other teams. Now, if you need to move the project to another team, simply go to the project details (click the arrow next to the project's name and select "Edit project details") and switch the team. I don't watch anything on KZbin, I sometimes watch yours :) do you want to record some stuff together, like discussion style? that's my favorite format at the moment. I believe that's great to watch, great to shoot and doesn't need as much preparation as a demo. It is also usually evergreen.

Great video! Thank you very much for your great work. It´s great you gave us an insight as to all that can be done with Asana, but concentrated on the basics. The only thing that would be nice to know as well, are the limits of the paid version, as a lot of the features you show are with a paid version. (My only comment is that I just found the background music very distracting, until I finally got used to it). ;)

Seems like a great tool. Video "a must guide for all beginners" - Overwhelming for a beginner user and one who is not a native tech person; speed was way to fast; takeaways: there is a lot of stuff to learn and not much remembered. Speaker could share how long it might actually take to learn all this material. If I was going to redo this video, I'd take half as long, go over the highlights rather than click and show every option.

My mind was blown at least 8 times! Thank you for the in depth walkthrough. The case study situations really helped to humanize the process you built out. Quick question: our team is internal, and we use individual projects for each new activation / campaign we do as a marketing team. For example, we might activate at an event each year, and the event is the milestone - so we'll have articles, social, lots of supporting design, and copy all involved. Our main problem is that there are so many tasks and sub tasks, which gets super overwhelming. How would you recommend adapting something like that to the structure you've got here? Is it a shift in how we are thinking about GTMs, or is there a video you've got that might solve this? Thank you :)

Thanks so much for watching. I'm glad the video helped! If one project per campaign is too much to handle with the different tasks and subtasks, I would try creating a project for each aspect of the campaign. One for design assets, one for social media, one for paid ads, etc. Then you can house of group all of those projects into a portfolio so see the progress of each deliverable. This route also gives you the option to report on each project and give an individual status update on each project. I hope that helps!

The subtasks are simply multi homed to either a new project as tasks, or multi homed to the same project so that they act as tasks.

Thanks! This is such an effective use case! I'm curious, I'm on an Advanced plan as an organization though I am not able to have projects be a dropdown for a particular team like you've setup. It looks like you've got CRM Lite as a team, with projects of Contacts, Deal Pipeline, and Newsletter Subscribers that can be seen underneath in the left sidebar. How did you do that? Hi Hrehan, I am glad you liked the video! Great question, what you saw is a part of an A/B testing that Asana was doing when the video was filmed. If you want to visualize the projects living under a Team, you can hover over the Team's name and all the projects will show up in a pop-up. Thanks for this incredible video, I do have 2 questions, 1, In agile, we have what is called sprint, which happens every 2 weeks, You use backlog and story in the scrum stage, Great, l guess the 'story' represents product/project backlog. Do you think it might be more meaningful if you switch it around, turning the "story" into backlog while "backlog' represent Sprint?

Good question. The story number in the scrum stage is for visibility and tracking, but not needed. Feel free to change it around. I always encourage viewers to consider their own use case, so do what makes sense for you. I’d keep the backlog it’s own project and pull in items for each sprint into a master sprint board that never changes, or a templated sprint project for each new (2 week) sprint. Hope that helps!

Hey Marquis, I'd be interested to get your thoughts on how an agency that has multiple clients and team members working across multiple clients would use Asana to operate Scrum. Is there a backlog per client on one large backlog with a client name custom field? Is there a sprint project per client or one sprint with all client work in it? How would stories work in these instances? Each client is going to have stories that are different from others. Should you have a [Client name} Story custom field or just lump them all into one custom field? Thanks for any feedback or resources you're able to provide.

Great question! Like anything, this would require testing, but I’d start with a separate client backlog for everyone. You can use the new ID tag custom field to classify each client and then add each client item to a master sprint board by multi homing those items/tasks to the appropriate sprint period and lump them into one. Then you can have the ID field to see which client they’re in. You’d also be able to use the “Projects” field, but IDs could serve as a quick reference for you. Hope that helps.

Hi Marquis, thanks for the great video. Question for you: I am building a new product, so I have hundreds of user stories. In your example, would your stories be more like epics? Seems like this approach could be tedious if I had to make a label for every story ("Story 1", "Story 2", ... "Story 150"). Or is that just what I need to do?

Good question. I’d say that at the time, this is what you would have to do, but you can now use ID tag custom fields to generate the story numbers automatically when items are added to a sprint. Look into that to see if it would work for your use case.
