You better set logistic the way you don’t have to pay employee to sit whole day waiting for delivery or inspector … sorry but worst advice especially for starters . That’s actually the last guy you want to hire when you have plenty of cash flow and constant sales .

Do you recommend Monday or Asana?

I personally use Asana for tracking simple projects with my VAs. I find it more simple than Monday. From my clients who use Monday, they end up leaving it because it has too many features and they try to use it as a project management tool. It is better to find a construction related project management tool than tweak monday to manage construction projects.

How often should SOPs be updated?

When you are first implementing a new process, they should be reviewed and updated through a feedback loop everyday/every week. Once the the process is going smoothly and being fully followed, you can space it out a bit to every 3-6 months. However, ideally, these SOPs would become a part of your weekly cadence, the person who is responsible for them presents them and makes sure everyone is on the same page. It teaches leadership skills and keeps them updated and everyone remembering the process. This should only take about 3-5 minutes in a meeting.

I like to start out with one folder that is labeled "Operations." This folder is shared with everyone in the company. Inside that folder are several other folders organizing the different departments (marketing, sales/estimating, production, etc). Then for this particular SOP for a technician or installer, it would be filed under the production folder. The reason I start out with the operations folder shared with everyone is because it makes it easier to have another employee fill in and already have access. Or, if someone wants to learn and grow in your company, they can take the initiative and learn how other team members are doing their job.
