Hi Lauren! In case I missed it, for your task list and to-do priorities list; do you have to flip back and forth each time you want to reference them, or do you insert each week? For the following up and seperate Supervisor task list, do you name a day for you to do one item on each list or leave it as something you need to do that week at some point? Thanks! 🥰

Hi Roberta, I'm only going to be referencing my Ongoing Tasks Insert 1x/ week (while I'm planning out the next week on Friday evening). During that planning session, I will physically transfer tasks that I have time for from the Ongoing Tasks sheet to the weekly spread. The high priority tasks list that is written on the sidebar is to catch high priority tasks as they come in that week (e.g. after I meet with my PI or I get assignments through emails). As I am planning out the next week's MITs, I'll be pulling from the current week's sidebar high priority task list first. The Follow-up and Supervisor tasks are tasks that don't have specific days assigned to them, they just need to be completed that week in certain situations. I'll reference these lists when they are relevant (e.g. I'll check the follow-up list when I'm working on emails and the supervisor list when I'm about to review what needs to get done that day with the individual(s) being supervised. The Supervisor list usually has projects that I'd like them to work on.)

Thank you Lauren for this video, it's very interesting to see how you use your paper planner to organize your work. Do you use a shared digital calendar too ? If yes, how do you manage both (paper and digital) ?

Hi Natacha, We use the calendar for Outlook for meetings and when samples are scheduled to be collected, as well as several shared Google calendars for reserving TC rooms and instruments. I use the digital calendars only as a way to communicate with co-workers (or to receive communication) about when things take place. I am not adding anything to them unless I need someone else to know about that meeting or reservation. For the Outlook calendar, I always receive an email when a meeting I need to attend or sample I need to process is added. As I'm checking my emails, I add each meeting/sample collection to my paper planner and then I RSVP to the calendar invite. Outlook automatically moves the email to my Deleted Items folder after I RSVP to the calendar invite. For the shared Google calendars, it is me who is signing up, so I sign up on the digital calendar first for the time I want to reserve, then I add the time (as a time block) to my paper planner. If I were to invite co-workers to a meeting using Outlook, then I would take the same approach where I add it to the digital, then immediately add it to the paper planner afterwards.
