First of all, thank you for putting this training together to teach us ignorant folks but that's not why I am leaving a comment. I'm on Microsoft Access 2010 Tutorial Part 05 of 12 - Customer Table, Part 2 at the 2:17 minute mark and saw the number 1-800-DRUIDIA and knew right away that was a Spaceballs plug. I really appreciated the laugh in the middle of your instructions. Thanks and have a good one my friend.

Sorry for taking 5 years to get back to you... but my Winnebago crash landed on some desert planet and I was lugging around my industrial strength hairdryer. I CAN'T LIVE WITHOUT IT!

Four lessons in and about to start Lesson 5 and I feel like I am accomplishing so much more than my previous attempts. Thank you and I have subscribed. I don't understand your first question about the check boxes and preventing "multiple duplications." Please elaborate.

You want to store information entered into a web page in your Access database. Yes, this is certainly possible. You have to use a server scripting language like ASP to do this. I cover it in some of my advanced seminars, but like I said before this is WAY too complex for me to help you here.

This is helping me so much, thank you! I would like your opinion on tables. If I were to create a library catalog of books, handbooks (no isbn, not mass published works), cd's, and notebooks. Would you make a separate table for each? I started that way, but there seem to be so many things that fall into a grey zone between each, very old military handbooks, for example. Is there a standard for how to determine what separate tables to create?

Always store phone numbers as text. The only time you want to use a NUMBER is if you're going to be performing CALCULATIONS on a value, as I talk about in the tutorial.

I would make ONE table for all of your books. You don't need to fill in every field for every book. If a book doesn't have an ISBN for example, leave it blank. You can categorize them with a CategoryID.

Sure. You can create an aggregate query, then add ZIP code twice: once GROUP BY and another COUNT. See my "Microsoft Access Aggregate Query" video for more info.

The answer to your second question is "no." You cannot have multiple fields in a table with the same name. Each field needs a unique name. If you're dealing with selecting multiple items, you should use a second, related table and most likely a subform.

Unless you have just 1 or 2 people, I would recommend using a second, related table to store individual employees for a company. I cover this in my Access Expert Level 1 class. See my web site for details.

In your video you say you like to use text fields instead of numbers when it comes to zip codes. So if you wanted to run a report on sayy, how many customers live in a certain zip code, would the report know what you're asking for? Even if its in a "text" field and a not a number field?

Question, I toyed with Access a bit after watching these this afternoon, and noticed that a full length phone number does NOT fit for "long integer" under numbering... I of course just set it to text after, but I wanted to play with something. This meant that a number with an area-code was truncated by 1 number space (so 5558884444 appeared as 555888444 and the last number wouldn't work) Suggestions? (I used decimal to fix this and set it to 0 decimal places).

I would make a COMBO BOX that has "boy" and "girl" in it. You could save the values in a Yes/No field and just make girl 0 and boy 1.

Hi What would be the Data type with a field that is a room number but the room number might have a letter in it. I will need to sort these room numbers from 1 to 5 as well as 1 to 5A 5B 6 7A 7B and so forth.

Hi, is CustomerID (the indexing) similar to excel row numbers? What is the difference between tables and table design? Why make CustomerID the primary key? What is the purpose for the primary key?

The purpose of the primary key is to maintain a unique identifier for each record. You may have 100 "Johns" in your database, and even 25 "John Smiths" in your database, but you'll never have more than one customer ID #82723.

I still have no idea what you're trying to do. Can you please be more specific? I assume you mean "linked" to an web page, but what are you trying to do? Import data from a web site? If so, that's WAY beyond the scope of these beginner lessons. Contact me privately for help.

Hi I have a question, I'm having such a hard time to add 4 or 5 contacts name in a contact, that I already created. The contact name that I created, it's under the name of the company, now what I would like to do it's to add the name of the people in charge and their positions. How can I do that??? I use two fields - one is the Autonumber ID that Access generates. Create a second field for yourself if you need to track a "real world" number.

I find that it becomes easier, later on, when you're working with forms and queries that have joined multiple tables together to refer to CustomerID and OrderID than have to remember the more complicated nomenclature of [CustomerT]![ID] and so on. Just one of my personal preferences. I like to name the primary key TableNameID.

Can the primary key be something else other than the Customer ID? I'm building a database of school children and each has a unique Admission Number.. Can this be my primary key?

I strongly recommend an Autonumber for your PK. Keep that admission number in their record, sure, but the PK should be an Autonumber. See 599cd.com/Autonumber

my access won't allow me to set the display control of YES/NO datatype fields to Text Box. It will allow check box, but I want a drop down box to appear so that i can click YES or NO. How do I resolve this?

This is not easy to do. I do cover how to do this in my SECURITY SEMINAR. You learn how to lock down your database properly, set up user logons, and track everything they do with an audit trail. It does require some programming. You can learn more about it on my web site at 599CD(dot)COM/XSECYTC
