Best Practice for User Overage Script:
In this video, I’m going to explain how to manage users on your site, which includes knowing what your purchased user count # is and how many active enrolled users you have in your Moodlerooms
environment. When you login to Behind.blackboard.com with the email address that’s associated with your profile, and go to the Home screen. In the upper right corner, you’ll see a “What’s new for…Moodlerooms” - When you click on the Users and Storage data
link right below that, it will take you to the Sites Summary page, which is the area that will list your Production and Sandbox environments. In addition to the site URLs, it also shows your Purchased User Count, Actual User count, and some other information.
Next, I wanted to show you a couple things in your Moodlerooms environment that will be helpful to manage your Actual User Count. When you go to Site Administration - Users - Accounts -
Browse List of Users, this will show you how many users you’ve created in your Moodlerooms environment. The way this number of users compares with your Actual User count is as follows: a user in the browse list of users area only gets counted towards your
Actual User count once they’re enrolled in a course. Taking it a step further, if one user is enrolled in multiple courses, that only counts as 1 Active User. So, if you purchased 250 users, you can have 500 users created in your browse list of users area
as long as all 500 of those users are not enrolled in a course.
With that being said, there is a way to keep users enrolled in a course, but not be counted towards the Actual User count. If you go to Site Administration - Courses - Manage Courses and
Categories, and let’s say you have a course that ended just recently, but you’re not ready to unenroll users from it or delete it. If you click on the “Eye” icon and Hide the course, it will remove those enrollments from being active enrollments.
Lastly, as of Moodlerooms 2.x, you can find Enrolled User information in the Site Administration - Moodlerooms - Active Enrolled Users area. Similar to what you see in the Sites Summary
page in Behind the Blackboard, you can see things like purchased users, the highest active enrolled users to date and some other information that will be helpful to understand how to manage active users. I hope this information is helpful. If you have any
