I've been using Todoist for well over a year and its Gmail integration is indeed very sweet. Instead of keeping those action mails in the inbox, I just create a task in Todoist and then archive the mail. While I agree that the mail integration is superb, we also must recognize the other awesome features it has. Tasks can be assigned to projects - and this is very straightfoward. Better still, tasks can be nested and assigned a priority flag between 1 and 4. Even better yet, projects can also be nested and color coded. And if that isn't enough, Todoist brings out the organic cohesion by allowing users to use tags. This means that if you search by tag, all tasks, regardless of project, show up. Perhaps one of the most powerful features are reminders and recursive reminders. It has the usual calendar and hour interface and one can also use real language to setup up recurisve reminders. In many ways what Evernote is for notes, Todoist is for task lists. It's simple to use, packs a bucket load of power under the hood and at the same time is flexible to any use case. Yeah, it works great as an extension for Gmail, but it can also be so many other things - it really comes down to how one wants to use it - just like Evernote! Maybe some future videos to spotlight other Todoist functions? Just sayin' :-)

Steve, You've said it so well!! Determining the best choice for a task management app was a bit daunting and took me innumerable hours of homework before I "pulled the trigger." I am new to mac and by no-stretch-of-the-imagination a techie! I've fallen head over heels for mac and hope to use it optimally. My work and home life are exhaustive with tasks and projects and the plan is to ditch the cumbersome backpack and go paperless. So, I downloaded Evernote, taskclone, and todoist on my macbook air and android. Completely overwhelmed, but your videos have been invaluable! Thank you!!

This video which seemed shorter than 7 minutes. (I'm spoiled from your awesome webinars. This is the only channel I support through Patreon ) I am unable to figure out how to add sub projects to a "parent" project. If you just hit the plus sign, you can create either/or. If you select sub project, it shows up as a separate entity. I was unable to find anything on their website or the demo KZbin videos. It's frustrating because I am a premium ToDoist subscriber and this is one of the perks. Although this is the most helpful task manager app I've used,I must say. You can also create tasks from websites in the ToDoist Chrome browser extension which is just as awesome as creating a task from an email for me;)

Nice app! Todoist seems to update ONCE PER DAY between Google Calendar and itself... that's a bit sketchy. But, ZAPIER lets you have every Todoist Task update Google Tasks almost instantly, and vice-versa. Each Project in Todoist takes one pair of ZAPS, so if you go crazy in Todoist with the number of Projects you are going to have to have access to a boat-load of "Zaps".

Nice video and I think you "did a good job". Very interesting speaker! The only thing I don't like about Todoist is that reminders pop up in my email list which I am sure I can click on something to change that other than that I do like Todoist better than Google Tasks! Very reasonable price for Todoist per year!

Hey +Glen Reitz I use both, the challenge I have is I am always trying out new Software so I can showcase it, and as a result I settle on very few appls. I can say without hesitation that BOTH are excellent! I like ToDoist integration with Gmail and I love tyne power of Asana for larger projects.

Steve - Thanks for some superb tutorials! I purchased Todoist a few months ago and I'm not too thrilled with it. I find that nesting sub-tasks is rather rudimentary, especially on the app where users basically "indent" tasks. How do you feel about this? Also, I watched your tutorial on Google Tasks and I'm thinking about using that instead, especially since I use gmail. Which do you prefer, Google Tasks or Todoist? Thanks.

Steve, I like the tool, but it does not integrate with Mac Mail. I have to have that type of integration as you mention. I asked for a refund which they do which is cool. As soon as they get that right, I'm in.

dottotech I do use Mail Tags and Mail Act-On which integrate so nicely with Mac Mail. Love them, but rather pricey. Arguably, you can do something with these to recreate a ToDo like thing, but not really.

Interesting tool for Todoist. How to set up an iCal "link" so that you can have your ToDoist activities show in the Mac calendar, iPhone/iPad calendar, google calendar, Sunrise etc or any iCal compatible calendar automatically.. I’ve had a much different experience with Todoist. They seem to be a productivity killer and don’t understand data integrity. They’re a little upgrade crazy with ads and nudges to upgrade. I like what I see in the feature comparison so I click upgrade. The upgrade banner and click site sends me a you’re not authorized internal 403 error twice. This is not very secure so I used a different credit card and I feel like I have to have the original card cancelled and order a new one. I get charged twice and I still have no upgrade. I order a 3rd time on a different card and the process works error free. The next day my iPhone version of the Todoist app won’t sync iPhone to web or any other platform. Support instructs me to uninstall the app and then re-install but tells me I will need to write down on paper all the input I have in the phone. I’m not exactly impressed by this experience so far. I’ve had the app 3 days and have phantom credit credit card charges twice, uninstall and re-install but lose all my data.

READ THIS BEFORE PAYING FOR TODOIST. You cannot share tasks from within a project if the entire project has not been shared. Take for example the following comment on their website from a user: I have many tasks I want to assign to others, but I don't need or want to share the entire project and I certainly don't want them to control the project. Consider HR. If I have a project to hire a new employee, I could have the following tasks: Send new hire packet to employee (me) Finalize salary for employee (their manager) Complete benefits forms (the employee) Complete waivers and confidentiality paperwork (the employee) Setup in payroll system and create employee file (my assistant) Setup new office (facilities manager) Setup new computer (IT manager) Run background check (outside vendor) and a dozen others... As you can see, it wouldn't make sense for me to share the entire project with all of these people, but I want to share and assign the tasks with others. HOWEVER, YOU CANNOT DO THIS. To share tasks, you have to share the entire project with all the people you intend to assign tasks.

So you just praise the software without actually showing the interface. I downloaded this on Windows Phone since I got the premium account with a bundle, the interface is horrible. Even just the settings tab doesn't react to touch, they ported on windows phone just so they can say they support that platform. I know I'm like one of three windows phone users, but I like my phone. Guess I'm not gonna be ToDoing any time soon.

I thought the video was going to be a tutorial on Todosist. What it is is a stream-of-consciousness description of how much you like using Todoist with your gmail account. It is more a sales pitch than anything else. Then at the end you beg for a subscription and say..."if you found this video "incredibly valuable"...would it kill you to give us a like." Are you really proud of this crap. What annoys me most is that no matter how bad a video is, it always has many more time the "likes" than "dislikes." This only results in the bad driving out the good. If people were a little more judicious and discriminating, the average quality of videos would go up...benefitting everyone. Keep in mind: You opened you video to comments, so you have to expect that some people will speak their mind. See Mycon below.

1. You though it was going to be a tutorial on ToDoIst, But it is a 4, nearly 5 year old video, If you are looking for tutorials I would look to something newer. 2. I do ask for interaction, but constructive criticism and outright insults are 2 different things. This was an early video in our channel, we have evolved a lot, based on constructive feedback from the community. Your comment was offensive and glib. Suggest that I title my videos more accurately, ask a question about a product, be respectful, don't just snipe from the sidelines. Trust me because I have crazy ADHD and I'm always looking for the best task manager app. I've tried them all and Todoist is King.

As you said at the start Steve this is a busy space and Todoist falls at the first hurdle for me. You cannot add attachments on the free version and there's quite a few limitations on the free version. When there are so many others out there that give you so much more for free i'm afraid Todoist isn't going to cut it for me. Currently playing with Wunderlist, Asana, Trello and Producteev - all are well specified even on the free versions. I like them all but think Producteev and Trello will be seeing the most use from me. Always look forward to your videos :)

I agree 100%. Your comments at the beginning of this video is exactly what I said to my professional colleagues literally yesterday whereas any to-do/project management application MUST integrate with emails since using dedicated SaaS software for projects mandates the recipients of the tasks to always have to remember their password for yet another system. I just need the ability to send someone/anyone a task or project details and when they respond to the email, their comments get appended to the specific task. This is why Outlook 2016 tasks absolutely are useless as it does not do this even when assigned to them, so after hearing your video, you confirmed my biggest requirement which is why today i will be upgrading to todoist premium. thanks

Steve, been using todoist for about 3 moths which really helps me. I tend to and new items by using the email function where you forward the email to a certain email,address and this puts the email into your todoist inbox.

Honestly I've used Todoist for a long time. The email thing is fine but it isn't the b all and end all. The major thing about Todoist is it is fully cross platform and the interface is identical reducing learning. Finally, you can decrease overwhelm in the visual field. Swipes though does a better job. Finally, antyone who uses gmail already has huges strikes against them. It is so yesterday and more importantly its IMAP is not consistent to the standard and it is kludged to death. Bad, bad, bad.

Sorry I didn't mean to imply gmail isn't alright and doesn't do it for a lot.The only thing I was getting at is it is a non-standard implementation of the IMAP protocol. So if you're hold it up in a fashion that this is just the ideal, it's not but only in terms of implementation. This really is probably only of interest to those that follow standards and the implementation. I find I have to have gmail whether I want it or not based on all the things gmail is required for. So this is not gmail bashing or putting down.

Normally I "live" in Evernote. But I have been using Google's task list for sometime. One thing that I use almost daily is being able to copy/paste a list from anywhere and have it quickly turn into a usable checklist rather than have to input each item individually. Is there any more robust to do list app out there that has that ability? All I have tried seem to require individual task input. I find myself occasionally saving a list to both Evernote - to get the web links and formatting (check boxes are not automatically added), and Google tasks, to get the quick checklist to use on the go.

Also you mention in one video "migrating everything from..." That is a huge stumbling block for me in trying a new app, especially if things must be migrated one at a time. Easy migration from another app or database would inspire me to try and perhaps switch to another, something app developers might want to consider.

Hei Steve, you din mention anything about taks list collaboration with teams.. So how does todoist compare to Asana ? Also i too use Gmail as my default todo list and i simply use the various markers and 3 simple segmentation, Important, just to read, have not read yet.

Dear Steve, I'm kind off a chaotic person for example i put everything in lists but at one point i made so many lists that i needed to make a list of all the lists i made :p So thats the reason i've been researching the past couple of day's about app's like Evernote, Wunderlist, Todoist and Trello but i cant decide witch one fits best for me, so i wanted to ask you witch one you prefer and why?? I already started to work with cloud storage (with dropbox and google drive) because i wanted to be able to acces my files all the time at any device. Kind regards and i hope you can help me!

Too funny Jop Zwanenburg I would recommend starting with Evernote. It works with all the other apps and I consider it to eb the basic building block of my system. Get to know what it does, and how you can use it, then start adding other pieces as you need them.

weird, my problem with todo list applications isn't much about usage. for me, it's just that they almost all work the same so i could use any of em.

+DontTakeCrack I am not sure I 100% agree, they have the same goal, but for example Trello and Asana are completely different. But I will say if you use them well they all will ACCOMPLISH the same thing.

Steve, great video as expected, but I think it's worth mentioning--did not see anyone else mention it-that you can get a simplified version of Todoist for free. Maybe that wasn't available a few months ago when you did the video, or they added capabilities, but it seems like a good way to get your feet wet before plunking down the $30 or so. Granted for you, the $30 option is not a factor because of your dependence on email integration as you mention, but for others it can definitely be a consideration.

Tuguy Esgin If you like Asana, I would just stay with it for tasks, if you find it a bit much my next choice would be Todoist, wunderlist is great, but does not scale into a team environment, it is the simplest, of the 3. Keep is competition to Evernote IMO, so you probably do not need to spend too much time with it.

The more I use Todoist, the more I love it. It has become my go to task manager because it is everywhere I need it. It's also a Card in CloudMagic, which makes adding tasks to Todoist as simple as clicking an icon. Boom. Done.

The great Productivityist has a blog post about Todoist filters and after reading the article and implementing his filter structure system (which I copied exactly, including colors), I have been able to better organize Todoist in a much more efficient and easy to use manner AAAAAND I've become better at writing run on sentences!
