Except for he starts somewhere other than the beginning of the process. How did he get the Acrobat values (PDF TEMPLATE) into an Excel spreadsheet? That would be a better stating point instead of the 10 stories off the ground he choose to start from!!

I'm not one to comment on videos, but this has been SUPER helpful! I have never done anything with excel or VBA before and this was a knockout explanation. I'm hoping to cut down manual input and boost continuity within our office and this might just be the perfect fit!

Thank you for explaining what each step does and for the apostrophe tip! When I run the first check (around 14:10) I keep getting: Compile error: Sub or Fucntion not defined, for the OpenURL "" & PDFTemplateFile & "", Show_Maximized. I re typed the code from scratch numerous times but it keeps popping up.

Normally never comment on a video. Was trying to automate this process using the JSObject and couldn't for the life of me get it to work. Wish I had seen your tutorial before going down that rabbit hole. The applications for this are boundless. Bypassing the APIs and going right to simple inputting the data like a user would is genius. Can you help me openurl statement ? when I put OpenURL "" & pdftemplatefile & "", Show_Maximized show maximized gives compile error: variable not defined. This erroe it gives on show_maximized highlighted

Hi thanks you will not want to use OpenURL (this was not a good idea by me) You an use Application.FollowHyperlink pdftemplaefile You can also download my copy, which has the FollowHypperlink code, using hte links in the description. (i hope this helps)

Amazing tutorial. Succinct and useful. I see you'd have to set you default printer beforehand, but that's easy enough to do when this is saving you so many keystrokes. Thanks for a great tutorial with downloads.

Really excellent tutorial, for some reason when it comes to the save step it doesn't open on the screen but sits in the task bar Any ideas?

Thanks and I am glad you like it. I would try save the file using just your keyboard only to see what shortcuts are required, then you can transfer that shortcut to VBA using sendkeys

This is fantastic. It really opened my eyes to the possibilities of interaction between excel and other applications. Keep up the great videos. Do you know if there is a way to use sendkeys with formatted font options instead of just black... i.e. red, or bold ...or both. Thanks.

SendKeys can be used perhaps you can if you use the same keys for the formatting however it does depend on the host application and how they determine the formatting. I hope this helps. I appreciate this video! Great work. A suggestion would be to slightly alter the code so that instead of writing a new PDF file each time, that instead, you save the template with the patient-appt date file name. That way, the form-based PDF could be forwarded to the patient for them to fill in any blank fields, and more importantly, give them the ability to edit any fields that might have incorrect information. OOPS - I just read the comment from Ruth Block a few comments back - and your reply that answers this need!

Hi JG, Thanks so much. I was just thinking to redo this video next week but to add more 1) Start with a form that is not fillable, and also do it from scratch, starting with a blank worksheet. So it would go from: Static/Scanned in PDF > Fillable PDF with Fields > Automatically Add in Data from a table > Email, Print, Save the form All from scratch. What are your thoughts?

It's awesome, I've tried some of your tutorials including this one, n it's cool very helpful. Thank you. I've issue on saving the file, it doesn't wanna save into the directory n it goes to the next tab, typed the saved file name n overwrote the template itself

Thank you for your very helpful video! You can use an image field in a pdf form as well. Is there any way to have the macro fill in that as well? (With a picture of the patient for instance.)

hmm its a good question Sophie, I have not tried it, but perhaps it's possible. The way to know is this. Put away your mouse and see if you can add a picture with ONLY keyboard shortcuts. If it's possible, then write down all of the steps required, then write those steps in VBA using Sendkeys, and put in some Application.Wait lines to slow down the code as well. I hope this helps. Hi Deither, usually its the spacebar to check/uncheck or select/unselect these options. (you can try it with your keyboard on your pdf) You would then use an If Then statement within VBA to see if a check is necessary and if so use a space such as If sheet1.range("A1").value = True then Sendkeys " " Sendkeys "{TAB}" Else: Sendkeys "{TAB}" End If Perhaps something like that. If you wanted to send just the selected one, you would not need to run a loop, you would just define the selected row into a variable and use that. Such as SelRow = ActiveCell.Row Then use this SelRow data to fill the PDF Data. I hope this helps. First, thanks for this very helpful video! Second, a question. I have customized what I need to and it runs perfectly, however I need it to save as a PDF (not print to PDF) because it is a fillable form that needs to remain fillable after being saved. I've adjusted the code to run a "Save as", and have gotten it to the point where the dialogue box opens and it needs to enter the file name, however, it does not change the filename from the template, so it does not go any further. Any ideas on how I can get that filename field to populate correctly?

Hi Helen, thanks so much for your message. In a PDF generally the space or spacebar is used to select a checkbox and a Tab is used to skip it. So you can add something like this If .Range("N" & CustRow).value = "Yes" then Application.SendKeys " ",True Else Application.SendKeys "{Tab}", True You can just adapt it for your workbook. Hi Randy, Can you use VBA code to match field names in a pdf? When you go into Acrobat DC, you can import data from Excel, similar to a mail merge. So long as the field names in Excel are the same in the pdf, it will work. I cannot use the "tab" process because I will be using multiple forms that have the same field names, but the tab stops on each might not be the same. I want to automate the process of choosing a form and pushing the data from Excel to pdf then save. What do you think? Thank you! :)

You are a great teacher! Just wanted to point out that VBA doesn’t allow you to declare a group of variables to be a particular data type by separating the variables with commas. For example, though valid, the following statement does not declare all the variables as Integers: Dim i, j, k As Integer In this example, only k is declared to be an Integer; the other variables default to the Variant data type.

Awesome video! I'm new to programming and having trouble with the SavePDFFolder button. I've got the code typed in verbatim (with the range changed for my form) but when I click on the button it won't let me select a folder. It still wants me to pick a PDF like the PDFTemplate button. Hi Cody, thanks for your comment. If you are using a different PDF Viewer the shortcuts may be different. Always do the steps with your keyboard first, making sure you have all the shortcuts right. Hi thanks for your comment. You can have different fill macros based on a form. So You have a list of form names and next to that a list of macros assigned to that form. You can then assign a form name to each Customer (if that is your data type) then as you cycle through your customers, you would know the form name used, and therefore the macro to run. Hello, Thank you for your video. It is very detailed. I see that you are using the same form to create multiple forms i.e. you are closing the form only after you finish the loop. I am trying to add some more code to the base code as i want to append another page to the form. As my new append page is different for each form, i am looking for something that will close form for each line and will open a new form for each line. I am using your code structure with some edits. I was able to append page for 1 line.

The best way to approach this is to put away your mouse and find the manual keystrokes that will allow you to do what actions you want to perform, using your keyboard only. Once you have those keys you can then transfer those steps into sendkeys in VBA. I hope this helps. Hey! Great video! It was exactly what I needed! Thanks! I do have an issue and it doesn't happen all of the time. After the save, it doesn't always activate the PDF Template to populate the next row of information. I have a feeling it is a setting in PDF, but I'm not sure. Any help will be GREATLY appreciated!

Hi you can run and advanced filter after each time a user enters a value, You have your original list / Row Source, then after they chose this in option one, lets say "Value1" you will use an advanced filter with "Value1", then you use the original list and it will return all of the values that are not "Value1" then you repeat this process for each drop down list. So I set this up this Macro a month ago and it worked beautifully. I went back to it for more pre-populated forms from the same list of info. Only this time, the macro did not close the document after saving it. Does this line of code no longer work? Next CustRow Application.SendKeys "^(q)", True The document continues to be filled on the next line with the next row of information, instead of starting off a new blank document. Any advice?

HI that may have something to do with the pdf software you are using, Try using this shortcut key using your keyboard directly in the software. Also try slowing down your code to see what is going on. It most likely has to do with the speed or the pdf software you are using. I hope this helps. Hi Peter, Thanks for your comment and I am glad you like the video. there may be ways of hiding Excel (or perhaps minimizing the window) so that it is not visible, also I used Adobe Acrobat Pro to create this however there are many that can create 'fillable pdf forms' I hope this helps and thanks again.

Another worthy tip for anyone interested, one of the reasons why SendKeys is discouraged is because with this methodology, it sends the keystroke to what's the active window, which can be disastrous for your macro. To that end, be sure that you enable focus on the application you are sending keys to.

Thanks for this great video! Is there a way to automatically check / tick a checkbox in PDF based on a certain value in excel? e.g. if an excel value is ‘ Option A’, then the ‘Option A’ checkbox should be marked accordingly in the PDF

Hi and thanks for your comment. Yes you can use the spacebar (or a space " ") in Sendkeys which will automatically check, or uncheck, a box in a PDF. I hope this helps and thanks so much.

Thanks for sharing valuable knowledge. I have a question I am preparing the invoice form in acrobat but I have the product list and there prices. I want to link with Excel file to pdf and when I update the prices than pdf form also update these prices of the product

Thank you very much!! It helps me a lot to tackle the current problem that I am trying to solve. I have a question though. What should I do if I want to run this VBA only with the rows that I have selected? For example, I just want to run it with row 14. The reason I ask this is that I don't want to wait for the whole programme to run from row 5 to the last row each time I make a new entry. I just want to run it on my latest entry. Hi i am so glad you liked the video. It's a great question you have. Assuming you were to hold down the Ctrl key and select various rows, then click the button, you could add some different code (instead of the existing For Next Loop) as well. Something like: Dim cel As Range Dim selectedRange As Range Dim SelRow as Long Set selectedRange = Application.Selection For Each cel In selectedRange.Cells SelRow = cel.Row 'The rest of the code here now you can use the "SelRow" Next cel

Thanks! It seems to be too early for me to ask you the question that I asked. Right now, I am stuck at putting your macro to my own excel and pdf form to use. I intended to only have a single text field to be filled for each procedure, just like your video. But I encountered a problem. There were multiple text fields being filled up by the same cell when I ran my VBA. It is like when you run your macro, the cell that shows the last name, would show up in the text fields of Last Name, First Name, State. The other text fields are not supposed to be filled as they should only be able to filled when macro ran the "Tab" procedure. Would you happen to know the solution of this problem? This could be a silly question as I have just started learning VBA. I hope I don't trouble you too much. Thanks again!

Hello, do you know how to get and change coordinates of a specific text (Ex. "Figure 1" in the right coner of page, for example) on a PDF page. PDF page has only text. I am writing VBA code and cannot figure it out.

Hi that would be an OCR program to read specific text on a PDF. I am not familiar with this however there is PDF software that can do this specifically. Thanks for your comment.

I did small change regarding saving pdf. Not going with print function but with save as. Problem which I am getting now is with pdf save folder, macro is not taking mine browse folder. Do I need to change something in pdf folder macro?

While an older video, it is new to me and absolutely stunning! It helped me immensely! Is there a way to alter the code into a separate macro that would allow you to do the same thing but for an individual row based on a data validation drop down? Such as if this amazing program has already run, but you would update new/existing users into the table and would then only need to have it run for a specified user?

This is the most valuable use of vba that I have found. Great job. I am running into one problem. I format numbers using ###,###. Zero decimals. When the amount is negative, it shows up as: -###,###. I would like to show it as (###,###). I'm not having much luck using the excel formatting rules. Any suggestions? Thank you.

Hi Robert, thanks so much and I am glad you like it. Excel formats would not help in this case since it would only format the visible value in Excel. You would want to use the format in VBA right before it is added in a pdf using either of the following lines of code Format(YourString,"(###,###)") Application.WorksheetFunction.Text(YourString,"(###,###)") You would want to use an If/Then statement so only the values you want formatted are added to the PDF and you would want to add this to the SendKeys command.
