Separating your document information using a table can often give your document a cleaner look and help the reader understand the information better. However, sometimes you may not realise this until after your document has been written and you proof read it and realise that perhaps it would be much better if some of the written text was placed into the lines of a table. Not forgetting of course that a table can have many different styles and uses and can often make a document look very professional.
In this video simple text (numbers and words) are used as examples of how you might convert your text into a table. the tutorial demonstrates how using the tab key between columns you may have made need to be identical. It also gives you tips on troubleshooting when Word creates too many columns or cells, there is a very simple solution.
Unfortunately converting a table back to text is not the exact opposite of converting converting text into a table. There is a completely separate icon for it in the TABLE TOOLS section.
Converting paragraph text into a table can also produce some interesting results if you simply highlight the text and click ‘convert to table’. You need to know how to read and manipulate the dialogue box that gives you the many options. In this video I demonstrate how to use the dialogue box along with knowledge of how Word makes it’s conversions to ensure you get the desired results.
I also teach you how to separate sections of a paragraph into their own unique cells by using a marker. This marker is a symbol such as *£$%& which you then place after the full stop within your paragraph where you want to separate the sentences. I demonstrate where you have to insert this symbol to tell Word where it needs to separate out your sentences into cells. A very simple process and extremely helpful.
Sometimes the cells don't initially separate out as you want them to so you have to ensure that you have made the correct choices in the dialogue box. How may columns have you selected? How may row are going to be produced according to how may RETURN spaces you've made? I show you how word interprets the information you give and how you can manipulate that information to get the desired results.
Of course, once you have the table in it's correct format, you can then go and change how the table looks in the FORMAT TABLE tab. There are a large number of table designs to choose from, with different colour themes, highlighted rows or columns and font changes. Depending on your project will depend on how you want your table to look. Perhaps if you are designing something for a professional presentation you would need to keep it more monotone with grays, whites and black, but if your project was a more fun, party, toy theme, you might want to think about making it far more colourful and even a little more playful.
Formatting a document in MS Word can get really difficult yet extremely easy. Confused? The beauty lies in how much of the tool you are acquainted with. If you know the features in and out, you can complete your tasks in seconds and if you don’t, it could take hours.
Take for example, moving a diagram that consists of multiple elements or applying borders to pages, texts, paragraphs and objects. Recently, I was working on some columns of text and towards the end of my job I realized that it would look better if organized in a table.
The data was such immense that I could not erase everything and start afresh. With little research I found an easy solution and quickly converted the entire text to table.
