On a form we want to pull the list of choices from SharePoint choice field and then set the default on the the field based on a selection from a different field...just not working. Thinking it has to do with the fact powerapps see that field as a record with all the fields of SharePoint in it. Going to tinker more when I get time to see if I can make it work.

Hello Shane, thank you so much for producing PowerApps videos that are easy to follow and explain the mechanics. Sure it is possible to secure what a user has access to by security groups. For example in my app I need give teams of people access to specific areas in the app through the gallery. For instance say my departments are Peru, India, Ireland, and US, a team needs the ability to access Peru, but not see the other departments. Thank you in advance for your help. Great tutorial Shane but my issue is a bit different. I need to filter values from a table BEFORE loading those items into a gallery. The attribute I need to filter by is a type 'Choices' in the CDS/Dataverse table. I was able to filter against a simple text attribute.

I'm looking for a little more help, I have a table (TruckData) that contains a column named "Status" and the two options for status are "in service" or "out of service". I'm looking to create buttons (3 buttons "view all trucks" "view in service trucks" "view out of service trucks") that allow me to filter (or search) my results based on the text in the status field. I feel like this video is close to what I'm looking for but can't get it to populate correctly. Any suggestions?

Yes. Each gallery you control what fields you show so should work.

You need to read up on Delegation in PowerApps. docs.microsoft.com/en-us/powerapps/maker/canvas-apps/delegation-overview Long story short for that much info I think you will need to consider a different data source.

Shane, you are simply the "go to" for so many of us - thank you! The videos are fantastic. I wondered if you can point me to a video where you show how to use "If" with Filter. So for example a gallery would only display those who's favourite colour was RED but only IF they were older than 32 (trying to put this in terms of your data). I have tried using two labels (one showing a criteria for IF and a second for the FILTER criteria. Something like If(AgeBox.Value > 32, Filter('Employees', FavouriteColourBox.Text = FavouriteColour.Value), "")) but I am missing something. Text is always in quotes. Sometimes column names inside of functions are in quotes. (Like SortByColumns and Search). I don't know I have a solid answer here. You Just have to kind of figure it out. The best way is if you look at what the formula is suggesting in the dropdown as you type that is a hint. Sorry for a weak answer.

Hi Shane, another great video! :) I have a bit of an issue with date picking and live filtering; the drop-down boxes and input fields all auto-filter the gallery I'm wanting to fix, but the date-picker (I have two pickers to determine a range) doesn't auto-filter. If another input is changed it'll filter then, but it doesn't filter by itself/doesn't filter live like other. Apologies for the bombardments of questions lately

Hi Shane, in your search video I watched before this, you had the issue (right at the end) where you created your app from a Sharepoint List which only searched based on Title, and you mentioned looking at and fixing that issue in the filter video. I still can't seem to work this out...my app only searches on my title, but I have a contact list where I want users to be able to lookup contacts based on contact persons name, title (organisation), contact number or email address etc...So I want search to work based on multiple fields. No matter what I try, I get an error message - usually along the lines of 'Wrong type. Expects text type'. I would love for end users to be able to search for items by the 'Week' choice column in the Sharepoint list (eg: Week-01, Week-02 ...etc).

Shane, I'm having similar issues as threewiseman1. Looks like I am running into delegation problems when I try to filter by the choice column from the sharepoint list. I've figured out that I can create a collection from the sharepoint list, add a new column using the values from the choice column and then filter from the newly added column to get the gallery to show what I want. However, this doesn't help the overall project I'm working on because I still need to be able to edit and update the original sharepoint connection in the edit screen. How would I do that? The project I'm working on is a simple status update app that a field agent can use to respond to new task requests entered in the sharepoint list. The sharepoint choice column that I'm referencing and having trouble with happens to be a status column. SInce there are many rows in the list, it only makes sense to display SP list records that are "open" and filter out the ones that are "complete." Am I on the right track with using a collection on the gallery?

Hi Shane, thanks for the great instructional videos. This may be a SharePoint question, but it relates to PowerApps. I have a course catalog (SharePoint list) with a SME (Subject Matter Expert) column containing multiple names of individuals. This SME column will not pull into PowerApps as a field for the list. My end goal is to filter the list of courses by those associated with the SMEs. Some courses have the names of multiple SMEs associated with it and who need to comment on the course updates. SortByColumns(Filter('Report database', ( (StartsWith('Customer_name',TextSearchBox1.Text) || StartsWith('Customer_country',TextSearchBox1.Text)) || (StartsWith('Customer_city',TextSearchBox1.Text) || StartsWith('Key_Account_Manager_Name',TextSearchBox1.Text)) ) ) , "Report_x0020_date", If(SortDescending1, Descending, Ascending)) The magic with the blocks of brackets is as far as I know necessary, since || can only check two statements and not a row of more than two - so for many columns it will be brackets and brackets and brackets and brackets. At least it did not work without the brackets for me, with brackets it works. If anyone knows better, please let me know. I have a sharepoint list with 30+ columns and am trying to build a power app to enable me to better manage that data (it's an order tracker for hosted telephony). I can display the fields I want in a data table but only want the records that are not marked as complete to show in the table (so as to track the states of in progress orders). My sharepoint list has a field called "Order Status" which, in sharepoint is a "Choice" field. WHen I am trying to filter the info in this data table, I am hitting errors. I'm very new to this so am probably missing something really simple, but the filter statement is along the lines of "Filter('PBX Systems'.'Order Status', 'Order Status' "Complete")". Can you tell me what I am missing?

Filter can have multiple conditions. Filter(DataSource, Subfields = SearchInput.text, Title = SearchInput.Text) Something like that should work.

Hi Shane, with regards to delegation. If you have use a function that starts filtering, and is able to delegate, enclosed in another function that isn't able to delegate do you think the filter returns < 500 items to the client which then applies the outer function. Or does the delegation try to pass the entire function group to the server, and fail to delegate?

I seem to recall the documentation says that if any part of a formula is not delegable, then none of it is delegated. But when I experimented it appeared that if the *inner* functions are delegable then they are processed first (with delegation) before the outer (non-delegable) functions run. I have a video where I put a GroupBy (non-delegable) around a SortByColumns (delegable) and the SortByColumns *is* still delegated - check around the 23 minute mark: kzbin.info/www/bejne/m5q9apJ7jLioeM0 Tip: when testing delegation you can now set the (normally 500) 'Data row limit for non-delegable queries' to a lower level so it is more apparent what is being delegated and what isn't (go to File, App Settings, Experimental Features).

Thanks so much for these Shane. I am wondering if it is possible to filter on multiple SharePoint lists at the same time. I have three lists with a shared column name through each of the of "Independent_Contractor_name" (There are more columns with the same names but this is my example) and I want to build an app that lets someone see the information from all three lists at the same time. I am pretty sure it is possible but haven't gone far enough into your videos to find it yet.

Powerapps doesn’t really do type ahead. Try a combobox with IsSearchable set to true. Might be what you need

Hey Shane could you help? Every Time I try to use the Filter function my powerapps doesnt recognize my Sharepointlist... Means for example: Filter(Test, Filterbox.Text = Title) doesnt work. Ther always stands no DataSource used so i think the problem is it doesnt recognize "Test" the Sharepoint List as a Database... Any idea?

Have you added Test as a data source to your app? Can you view the list in a gallery? Oh... try flipping it around. Filter(test, title = field.text) better?

Another great video Shane. I would really like to see a parent-child and a parent-child-grandchild application where you are not just pulling data but writing back data to SharePoint list. Say a Purchase Requisition (PR) or Purchase Order (PO) system with a PR/PO header, PR/PR Line items and some of the items may have lines of details attached to them. For the Child/Grandchild form can you edit multiple lines in one screen/form then post back/save all the items back to the data source with a link to the parent.

Every time I watch one of your videos, I up my game that much more. This is great! I am creating an app that will allow complete management of items in a list without having to go to the list at all. One of my galleries is used along with a form to input new records. I have the this gallery filtered to show only items created by the current user and created today(). The app opens to this screen. What settings do I need to change so the frame and first item separator of the gallery are visible before any new records are added? The page is empty except for the Title I added and the NewForm. The gallery itself is not visible until the first record in the current session is added.

What about gallery filters based off numbers? "in" will cause delegation issues, Startswith doesn't work on numbers, and using "=" will work only on exact matches. Is there a proper fix which will search for parts of numbers (let's say a staff number), but also be delegable?
