Kia ora John from Aotearoa, New Zealand, I have moved to a new school. The IT person at my old school toggled the 'on' button to allow files or shared drives to be shared by other users outside the school. When I tried to invite using my personal gmail or new school email, it still didn't allow the invitation. I was at my old school for 6 years, so I stand to lose so much work ... (I do know better now, I will create all content in personal gmail from now on.) PLEASE, please help me. Is there another step I can take?

The settings for classroom are different than the settings for drive. You need both districts to allow access to Google classroom for external users.

You would need to copy them manually to the new course.

Hey there! I'm a teacher who just moved districts and have transferred my files using Google Takeout. This was not successful at first since my district account shut down while I was transferring. I had them activate it again which I then tried it once more. It worked but now I have doubles of everything. Anyway, my main issue is that now I thought my tests that I built in Google Forms would have transferred along with it but realize they did not and from what I researched, they were converted into Word files. I really don't want to rebuild all my tests again in Forms. Is there a way around this or do I need to get access to my old account again and invite my new account to make a copy? Thanks!

Each to you initiate a transfer it will copy the file again, so having duplicates isn't surprising given your situation. Forms will copy provided you are the owner and they aren't in a shared drive. TBH, the takeout tool is a bit flaky sometimes if freaks out. 🤷

Hello John! Thank you for your super practical advice. I'm having the domain issue you talked about. My IT guy is totally willing to open up the permissions for the transfer to "External co-teachers" but we can't seem to find the option on the administrative side. Do you know the steps of what the IT guy actually has to do to grant that permission to "External co-teachers"?

Yes, it's in the Google classroom settings which you can access from the admin console. You will need to change the teacher permissions to "any Google account."

Most likely, your students will not be able to access a Google Classroom hosted outside of your school domain.

Can You confirm that the documents from last year's course are still in Google drive? If you deleted the files from drive, you will have trouble copying the course.

Your IT director would need to change your school's domain setting so that you can join your personal account as a co-teacher.

Takeout will download .JSON files...not really useful since you can't upload them to Classroom. 😥

I'm working with a teacher on copying classes. After 3 hours the classes still say "creating". The class has a lot of assignments. Is the copying process similar to Google Take out and is dependent on the amount of data?

Yes, it can take a while, although I have never waited three hours. You can always try making another copy. Sometimes they get "stuck"

It sounds like you are a student in the class. Only teachers can make copies.

I have the domain problem, and when I ask the IT manager to allow sharing outside the domain, she sent me the following explanation, from google classroom forum for education (I cant copy the image to here): "you can transfer ownership to a co teacher that uses Google classroom with a personal Google Account." In my country we uses google classroom trough our ministry of education.

Not really. Students can leave one class and join another but their work does not follow them.

My results are very different- I get an invitation in Gmail to join as the coteacher but it brings me into the initial account- nothing happens in the receiving Classroom

You will need to use an incognito window to prevent classroom from opening in your primary account.

Opening Google Classroom to users outside of the school domain seems risky. Is there a way to allow personal account access for teachers only (exclude students) to help mitigate that risk? If not, I can't imagine any IT admin who would be willing to make that change.

Unfortunately the settings for Google Classroom are domain-only. You can't change them for a specific OU. It's not quite as bad as it might appear; The only way someone can join the class is by receiving an invitation from the teacher. A stranger can't "sneak in." You can also white-list a domain, if the teacher has an account in their new district. This setting only needs to be open long enough for the teacher to send an invite to their personal account. After that, the IT department can revert back to a closed system.
