I’ve kind of morphed into this way of doing things too Carl. I used to (maybe like other new enthusiastic GTDers) write every single task. But that makes A LOT OF TASKS! Now I’ll just say, work on X and X is like a project with sun tasks. I used to work with no structure and now there’s just a little bit more which ends up working out well. Thanks again and keep it up! 😊

Extremely helpful….I have a lot of client follow up that I need to stay up on and it gets lost in my Todoist. Client follow up is only one of many responsibilities I have. Gonna give this a try I love how clean this is. As always thank you Carl I’ve gotten a lot of value out of your posts.

What about follow up on team assigned tasks, or more on emails sent and unanswered or done by team? (These are follow ups that gives me hard time). (I still cannot get used to the new trackpad and keyboard setup similar to yours)

When you quickly capture tasks throughout the day do you still put them initially in todoist and then during daily planning move them?

I don't think I've ever needed to add anything to a follow-up list direct from Todoist, as deciding whether I need to follow something up is more deliberate than that. For example, I send an email and I realise I need to track the response, I would add it directly to my follow up list.

Seem to be a fair system to have; however, the prospects' follow-up list got me a little confused, 😐 since one of the prospects Mr. Kidd (row 24) showed the first contact on 7th July 2022, the last contact column showed a date of 6th June 2022 and the next contact to be was scheduled for 06 Feb 2023. This is visibly the case for others as well which makes it a case of wrong labeling for the columns on this particular sheet. Stay blessed.

This is a demo sheet I created two or three years ago. Even the names are fake (they are all James Bond movie characters) The point is not the accuracy of the data in the sheet, it’s to show how you can use it for manipulating data.

I like the concept. Since I’ve been following your Time Sector system I’ve been really enjoying having a simple, but effective task list. Previously I always ended up trying to use every feature an app had and then usually fell off track a month or two in. Also, I always love spotting your use of James Bond related names and trivia in your demos!

Seem to be a very complicated system. You have to have Todoist. You have to have separate spreadsheet. You have to have separate Evernote note. You have to have a special calendar. Why? Todoist allows to have all the information in one place So it’s not necessary to jump from one app to another. Why don’t make it simpler?

I prefer Carl’s method. It is more logical. When You know your system it is really simple.

I agree with Jakub (below). I use Todoist to plan the day. If I have every opportunity/ person I owe calls to, it make prioritizing much more complex and crowds out the other activities slated for the day. "Make calls// write chapter// finish client reports, etc is way more useful for planning and management than Make call 1// make call2//make call 3... etc. If all the single calls/ reports and topics are in the list for the day, I will spend too much time going back and forth and will not be able to see the entire list for the purposes of planning.

Hi Арман, you don't "have to" have any of these apps. I showed the principle using the tools I use. You could do the same with any app or apps you choose.

Just a shame that EverNote and Excel will not draw from a single database where much data is repeated for a single edit if and when it changes - ah yes CRM systems. : )))))) And yes - as much as 'we' have spoken of some of GTD is out of date, this is the classic 'context' field entry todo similar things in one (or two sweeps) so as not to be bounced around by an unmanaged random list on a scrap of paper where it is unsortable (just like tables in Evernote even.)... Spreadsheets are clearly the generalist way to bridge that gap and work well.

I think that's largely because the vast majority of people who use these tools are not going to spend the time to learn how to manipulate data in this way. I'm one of those people LOL

A great idea... but Excel will not cooperate. The idea of linking to call lists and running a simplified CRM is genius. I tried setting it up in a Google sheet (my usual spreadsheet tool) and could not make a link work- except the overly large and complex one that Evernote provides- calling the web version only. Same issue in Excel- no ability to customize the label and no response to the local system link. It DID work in Numbers. Any luck with a call to the local Evernote instead of the web version?

I never tried the internal link for Evernote as was using my demo computer. I guess it's a unique thing for Numbers that you can press Command + K and insert the link.
