Hi Mynda, I am a beginner and this is the most comprehensive Power BI tutorial I have seen. The way you teach really simple to follow, you make it look very easy. I would really appreciate if you can guide me to a tutorial regarding preparing / structuring / formatting your excel sheets / CSV files to import in PBI. Also I would love to see a tutorial apart from sales, budgeting or forecasts, like a online survey result where there are no dates involved (it would be a great help). Great to hear you found this video helpful, Suhair! The data model in Power BI requires the data in a tabular format, but you can use the built in Power Query tool to get and clean the data from Excel worksheets, CSV files etc. and convert it into a tabular layout if it isn't already. Really appreciate your instruction on building this report. I followed it step by step and learned a lot. Couple things would like to share. For the date columns in the source excel, they are formatted in UK dates for e.g. 1/2/2020 actually for 2/1/2020. So for USA learners like me, we need to format them to US dates otherwise the time related vis such as Line Chart won't work correctly. The other is about the running total measure, I created the formula with your code and checked it with data table. The numbers were not correct. I used the Quick Measure tool to generate the formular and checked it to make sure it worked. The one I have is: ISONORAFTER('Actuals'[Date], MIN('Actuals'[Date]), DESC) instead of MAX('Actuals'[Date], DESC). Thanks again for your wonderful teaching. Keep up the good work!

Glad you found it helpful! Yes, in the READ_ME_FIRST.txt file included with the data download for this video I explain the date issue and a link to a tutorial on changing type using Locale. Hopefully you found it and didn't waste time trying to figure out why the dates were wonky for you. MAX or MIN in the running total formula yields the same results, so there's no right or wrong.

@@MyOnlineTrainingHub Thank you for the explaination. I tried use the Locale to convert the date to US but didn't work. I then used "Split column" and "Merge column" to finally get it right. This was a good learning experience and helped me using different way to solve the problem. For the running total, you are correct, both MAX and MIN will work with the right sorting direction. I think for MAX, the sorting needs to be ASC. Thank you again for the wonderful lecture.

Thank you so much for your wonderful video! I have one question. I am trying to follow your steps but my PowerBI is recognizing all dates as January. I tried to change the local setting to UK and US to see if it makes any difference but still no luck. Do you have any tips for these problems? Thanks!

To fix the dates, you need to go to the first Changed Type step in Power Query and delete it. Then right-click the date columns (one by one) and choose 'Change Type' > 'Using Locale...' > select Date for the data type and 'English (Australia)' for the locale.

Hie Mynda, I was tasked to learn Power bi and your video was my first stop. I am very happy with your training, its exceptional. I got stuck the on line charts graphs around (17mins). I can not seem to get the line chart to appear in months, it only appears in days and years. Could you assist me? Thanks

Great to hear. Not sure what's up with the line chart, but I suspect the date hierarchy ins't correct in the axis field. Perhaps try building it again.

@@MyOnlineTrainingHub I started everything from scratch and I am still having the same problem. Did you update your data? I noticed when placing the commas in your actual column (11.12mins), your starts from March whereas mine from January. My gauge reading of the actual vs budget is 145m ranging from 0 to 289 which is far different from yours. By the way I re downloaded the files, so now I more confused, could you please help me figure out the error? thanks

Thank you for explaining the reports in an eloquent manner. I downloaded the files and created the reports side by side watching your video. I had a bit of problem with the date ... turns out I have to set the date format to English (Australia), irrespective of what region you are in. I am in Canada

U said change type to Ur local country date format one so I changed to English (canada) but it still captures till 12th Jan cause the format doesn't change. But don't worry about it, I figured out eventually that the it has to be for Australia country type only. Also, I watched the revenue analysis video. That was awesome too!

Rather important amendment to your tutorial: In your budget file the untransformed loading of the budget column works only in English speaking countries, where your Thousands separator is a Comma and the decimal separator is a point. In other countries, as for example Germany, the separators are the other way. Thus you have to transform the budget column in the budget file as follows: - delete the Item "Changed Type" in the Query settings on the right edge. That unfortunately resets all the already automatically recognized and changed data types in all colums to Text, but unfortunately you can not change a once wrongly recognized column to another type. - now set the data type of all undoubted columns by "Detect Data Type" (Datentyp erkennen) - rightclick on the header of the suspicious column (wich is recognized as text due to the issues described below) --> context menu - Typ ändern (change data type) - Mit Gebietsschema (with locale settings) - change data type to decimal - *AND* change locale (Gebietsschema) to English (Australia) I am not sure about the corect menu denominations in the English version. Only now you have correct data. Otherwise you would have 30 data sets with values in the millions where the two thousands separators would be confused for two decimal separators, wich then cause an error in those 30 rows. Also check and transform all other files of unknown / foreign provenience that contain columns with date values or currency values.

In the files you downloaded from our site there is a file called READ_ME_FIRST.txt and in this file I explain how to change the data types for the dates using 'From Locale', as explained here: kzbin.info/www/bejne/h3zKhGaep9egrNk This is the same issue you're having, except for thousand separators.

@@MyOnlineTrainingHub Yes: "except for thousand separators". But those are much more difficult do deal with. And they are usually much more. Of course I have read "READ ME" and watched that video, but sincerely: what are the odds to read a "READ ME" file? And as I mentioned in the comments there, the checkbox "column qualiy" doesn't work reliably, so if one is not so experienced with odd data and not so curious as me, he wouldn't even realize that he has a data problem - before a later step in the processing of that data. And if he wouldn't have figures over 1,000,000 he probably wouldn't realize it at all, because a 17,100 turned 17.1 will not even throw an error message. Therefor my recommendation for all people dealing with numerics of unknown origin (dates and numbers and percentages): check your data in Notepad++ (your file might be too long for Excel) and search with the following regular expressions for the existance of possibly problematic numbers: ".*,.?.?.?" - for numbers over one Thousand (containing one Thousands separator) ".*,.*,.?.?.?" - for numbers over one Million (containing at least two Thousands separators) The formulation of the regular expressions might be different in different local settings due to the same exasperating Comma-Point-Problem. Hi! I had the same problem, but there is another way to solve it. Firstly, I deleted the "Changed Type" as well, but then I split the column "Budget" by delimiter (comma) and finally merged the columns again. I am not sure if it is a final or correct solution, but for the example it helps.

Hi Mynda, hope you are going well. This video has motivated me to bring out my question :) - I am trying to put together budget forecast vs actuals vs approved visuals for my IT project. Constraints are : my team of 6 work some % to another project (shared resources), calendar working days in each moth differ, their leaves to incorporated, some resources work 8hrs per day and some 7.5hrs. budget is catogorised as capex, opex and some vendor costs. with all this info. how many Excel tables I need and which visuals i need to incorporate it ? please advise . I have downloaded the available resources from the link provided and its a bit different to what my constraints are.. can you please assist ? many thanks in advance

Hi Mynda,This tutorial is really helpful, but because I am from Indonesia, the use of commas for thousand separators is a bit different since here we use "." instead of ",". So, there are some challenges when getting data, and I have to manually change it first in the CSV file. Overall, thank you for the tutorial!

​@@MyOnlineTrainingHub Hi Mynda, I didn't figure out how to upload my file, So I will try rephrase my question, each month, there will be over 100 items purchase as products materials. and in order to analyses the trend, power BI is used for the analysis of each month's data ; there would be multiple sort options to be needed, first, data will be sorted by months, then we would like to sort out the items by value in the current period to focus on the top 20 or 50 ones; and review their trends from the highest value item to the lower value ones; hope this is better to understand. The question is POWER BI can only sort out items by all periods' accumulated total value, and cannot sort the items out per any single period's value. Thank you

Good day Mayda, have another question and try to find the solution; how can I sort out category's value per specific month while maintaining other periods'' value as well? It seems Power BI only can sort out by total if keep every single month's value. It would be much appreciated if you can provide some guidance.

Excellent video. Do you need to add a calendar table for time / date slicer? Am i able to use the inbuilt date to calculate full year forecast where i select March for example and it will pick up Jan to Mar actuals and add up all remaining forecast values. Thanks

Yes, you can use the inbuilt date hierarchy for Slicers. In the earlier days of Power BI there were some limitations to working with the date hierarchy fields in measures etc. so as habit, I create my own date hierarchy.

Hi! Just got started with your tutorial after having completed some other projects... I followed everything step by step but for some reason, the QnA AI visual doesn't work in my case. It can create a table for Actuals vs Budget but It just won't create a gauge, the visual just stays blank. And when I created one manually, the data comes out to be different than yours... Instead of 123M, my actuals are 145M and the budget in my visual is 289M as opposed to 246M in yours. What is it that's going wrong with my report ?

Remember, at the end of the video, I add more data to my model, so you will be working with the entire dataset and I am only working with part of it until the end. I don't think Q&A will create a gauge. Not all visuals are supported by Q&A.

I have learned a lot from you other than this like excel keyboard shortcuts, but i still have a question about power BI on how to add the new period's data to existing Power BI file without starting this process from 0 again like adding next month's data (one by one when the period is coming.)? Hi, thank you for your video! It is very helpful. However, when I downloaded the datasets, most data is repeated and dates only range from Jan 1 to Jan 15. How can I fix this?

Great to hear. Sounds like you didn't read the file called 'READ_ME_FIRST.txt' that you downloaded along with the other files. In there you'll find an explanation as to why you only see January dates, which requires a locale fix: kzbin.info/www/bejne/h3zKhGaep9egrNk

Great video. I wish you would have went a little slower and described where to find each tab. I’m having issues sharing to my team. The options to create an app seems to be the best solution for my need. Tried the other ways and it’s requesting my colleagues to buy a subscription. Can you tell me to get there. Your video doesn’t mention. Is this on the desktop app, the web version or via teams? I’m having trouble finding it.

Thanks for watching! Power BI gets updates regularly, so the menus in this video will be slightly different to what you see today. Anyone you want to share your reports with via the app will require a subscription. No way around it unless you embed your report in a webpage, but then it's publicly available. Hi Hafiz, it sounds like your date format is mm/dd/yyyy and mine is dd/mm/yyyy. You need to remove the change type steps and re-apply them using change type > using locale. Choose data type, Date and locale as English (Australia).

Hi, is it possible to use excel pivot table as a data source for powerbi and every time I change something in my excel pivot table, this will be reflected in my powerbi ? My excel pivot table is connected to our GL therefore I have always the updated data. Thank you for your time.

Kind of. You wouldn't use the PivotTable, you'd use the same source data as your PivotTable i.e. connect Power BI to your GL.

Thanks for this video. On the line chart @14:10, there is no longer a Values field but there is a Y-axis where I added Actual, Budget, and Forecast. However, PowerBI aggregates the data in this field to include only sums or averages, not the actual data points for each month. There is no option for "Don't summarize". How do I get the data on the y-axis to display for each month along the x-axis?

I wonder if you have a locale issue with the dates when they were imported. If your region uses mm/dd/yyyy date format then you need to use this technique when getting the data with Power Query: kzbin.info/www/bejne/h3zKhGaep9egrNk

Hi Mynda. I have assigned to learn Power BI and apply it for our internal dashboard. Your videos are great help to me. Thank you so much. Still I get stuck with my data over years and a variety of KPIs to show. In such a case, I fail to show, let say each KPI 2020 Actual, 2021 Budget, 2021 Actual in a same chart, month wise, in which 2021 Actual is a line, the others are columns. I think my problem is firstly data organization but haven't found a solution yet. Can you please help me? Thanks a lot. I can explain better if I have an opportunity to email you a sample.

So pleased my video was helpful 😊 how long to become a Power BI expert is different for each person because it depends on your existing experience, how quickly you learn, and most importantly, how much work you put into practicing. It could take anything from a few months of intensive training to years. I’d err on the side of years for most people 😉

On the data source, do you know if QB Desktop P&L reports exported to Excel can be imported into PowerBi easily? I have made a few attempts but I'm realizing that the layout of the report as it stands doesn't fit into PowerBi as is and may need some updates. Do you have any videos on formating the data from the accounting software into a file that will be useful for PowerBi?

My pleasure! You can right click the query name in the query pane in Excel > copy. Then in Power BI create a new blank query and open the advanced editor and paste it in.

Hi Mynda, hope all is well! I have followed your instructions, ensure the file name and worksheet name are same. And simply refresh the Power BI with adding new period data, I noticed that total amount actually incudes the new period data, just the new period name didn't show up. Like, previously I have January and February in Power BI, when I added new period for March, the period March doesn't show up, instead of "Blank" show up. And when I went back to query and I found the list is "January, February and Null" . How should I fix it? Thank you

Hard to say what's causing this as I'm not sure if you're using my data or your own data. You could always Replace null with March.

Perfect view on PowerBI Desktop and Services. The case study, video, speed, voice, ...everything is ideally suited to study. Thanks Mynda. There are only problems with bringing in currency columns from the actuals (csv) . PowerBI does not import the values above $ 999,999.00 and shows 11 errors for the first 6 months. What could be the problem?

@@MyOnlineTrainingHub I Found the problem. Before changing the format I have to replace the , to . and after that one can change the text to numbers, otherwise there are numbers with two decimal signs, which causes that error.

Hi Ivy, you can leave your system settings as is. Just remove the first Changed Type step that's automatically applied. Then select the date column > right-click change type > Using Locale... In the dialog box choose 'Date' and Locale 'English (Australia)'. Mynda
