At times terms like Data and Information are used interchangeably and it is difficult to see the difference between them. But these are two different terms and in case you are handling complex projects you need to know the difference between them very clearly.
This Video is all about how these three terms Work Performance Data, Work Performance Information, and Work Performance Reports are different and closely related to each other.
Work Performance Data is the raw observations and measurements identified during tasks performed during the project.
For example:
• I am expected to facilitate the requirement gathering session; it got postponed.
• I am expected to buy 100 computers, but I could buy 50 computers only.
Work Performance Information is the performance data collected from controlling processes, analyzed in comparison with project management plan components.
For Example-
• CPI=0.83 or SPI = 0.86 - We may be behind the schedule.
• The defect rate is 10% higher than the previous month
Difference between WPD and WPI:
Work Performance Data are the initial measurements and details about activities gathered during Project (Executing)
•During controlling the work performance data is analyzed to make sure they conform to the Project Management Plan and to asses what they mean for the project as a whole. The result is known as Work Performance Information
•Work Performance information can be organized into work performance reports which are distributed to various stakeholders.
Work Performance Data goes to all the controlling process of 10 Knowledge Areas but is not processed into WPI in all the knowledge areas. This Work Performance report is consumed by updating the project management plan, it is also used by the change control process and communication process. This updated project management plan again goes to the EXECUTING process group, and this cycle continues.
The overall consolidation is done in one complete process; Monitor & Control Project work process to produce Work Performance Report as an Output of it.
Work Performance Report is an aggregation, compilation of Work Performance Information we have gathered and analyzed using variance analysis, earned value calculations, or forecasts.
Once we get the report, we send it to all the stakeholders. It is also used by integrated change control in case of changes. We plan and replan and repeat it and finally update the project management plan.
