In this video, you will learn how to create PowerApps repeating tables like you had in InfoPath. We will use SharePoint lists as the data sources and create an expense report. We will do this by customizing a gallery to make it the repeating table including full tab support for easy data entry.

Shane, you are totally awesome! I combined the Animation video mechanics with these mechanics and I have a blinking label that comes up instead of the icon! The instructions are precise , but allows building blocks like the blinking label. I would not have successfully completed my project(s) without these videos. Hi Shane, congratulations for your video. It's very helpful. MasterID column is a text column or a search column? I think if it's a search column, It won't work. How can you obtain a text MasterID column from the expense máster list? Thanks a lot

I had a little bit of how to do this one also but then figured out... The ID column is already a column that was not default shown in the "Master" list view. If you go in and change your view to include the "ID" column it may make more sense.

Shane, you are a GODSEND! You were referred to me by ANOTHER genius. That says a lot. I hope you get paid in some way for your time. I'm sorry if you've answered this already. 230 comments to ready through - heavy sigh. I really don't want two lists - unless I have to. My project is for the following : one purchase order for several items that need price adjustments. So, let's say I have 3 list items on 1 PO that need correcting. Once entered, a workflow will kick off. It's important that only one PO is assigned to those 3 items so only one action will be performed. So my problem is staying in the realm of the collection and the one list. At least I think that's my problem. I have too many errors to list.

Made one small improvement; Added a Patch(CollectName), Defaults(CollectionName), {}) to the save button; that way if someone does not click add line item row; the current row data gets saved by auto adding a blank row.

Hi StefanieHow did you get the Line Items to the Details List? On my app the Master list updates but not the Details List. I think it is an issue with the MasterID column - did you create this column manually in the list?ThanksTracey

Hey Shane. This worked really well for me, so thanks very much for that! I'm creating a table of entries in a gallery of the various levels of a building. Some levels are above the first floor, and some are below. I want to be able to ask the user how many floors are above and below, and then create the corresponding entries in the gallery (with values of zero in each field for each record, which can be filled in by the user later), and also indicate which of those entries correspond to the levels above and below the first floor. I created a button that creates a new blank entry, with the following as the ONSELECT value: Collect(Ch2AreaCollection, {LvlName: "", LvlExArea: 0, LvlNewArea: 0, LvlTotArea: 0}) What I don't know how to do is repeat that function the amount of times, based on the user's input. Do you have any suggestions, and is that even the best approach? Thanks very much, and keep up the amazing work!

One change I made is I put my detail labels on the canvas, outside the gallery so they act as a 'header' row. Saves a lot of real estate that way.

Very nice Shane. Your videos are straight to the point. That is what I like about them. I personally prefer to click on “add new item” after save, instead of just tab. Can you touch on that concept please? Thank you.

Thanks Ziad - I actually had that in the original version and took it out. They way I did it was: I made a floating button at the bottom of the gallery. I show you how to do that in this video: kzbin.info/www/bejne/epCuk2p3jbh4ZtU Then set the Onselect in that button to create a new row in your collection. Does that help?

Thanks Shane - I know this is an old video, but it works great. I had a few issues at the start - I was getting blank rows in my SP list, but I found the error and it works great now. I had to use ThisItem for the naming convention of the textinputs.

Hi Shane, thanks for the brilliant tutorials. I have watched quite a few now and everyone has helped me to learn more about PowerApps and sharepoint. I have successfully created the basis of an app using your repeating tables video but I was wondering if there was a way to keep the new blank row at the top of the gallery rather than scrolling down as you add rows.

Thing is, every time I try to create a new item on the 'gallery', it gets created but the first/last one is deleted. @@ShanesCows - I found it. My error was to add text input boxes but not changing the default value which was "". Then I changed for my custom names (LineItem in your example) and works like a charm. Thanks!!!

I'm new at this and watching your videos has been very helpful. I was wondering about setting up the repeated table, if the first box could be a drop down that pulls information from a SharePoint list that then will auto populate other boxes? I have built number of InfoPath forms in this way to save time and hoping this will work in PowerApps as well.

Many thanks, Shane! This looks very promising. In my case, my PowerApps is for a customized SPO list. I added the gallery inside a custom card in the form, and in previewing, it seems to work fine. When the SPO item is opened in Edit mode, I'll figure out how to get the collection from the 2nd list to populate the items. After publishing, the 1st row in the gallery doesn't appear, though. Has anyone else tried this method with a customized SPO list? Thanks! Steve in Spain

Hi Shane, Great Video really helped me move from an ancient sharepoint system using infopath forms to using powerapps, One quick question, is there a way to save all the items added to a gallery rather than having them save each line before adding the next item ? So to save all the gallery items input them submit them to sharepoint ? Thanks

If you had a dropdown you would set the Items property to be the SharePoint list. Also, make sure you set the Default of the dropdown to ThisItem.ColumnName

I just love the style of your tutorials. I learn a lot while actually doing and that suits me perfectly and I am slowly building up a stockpile of useful bits and bobs. However, some bumps on the road for the beginner - especially when you do PowerApps in Scandinavian - right now I am a dead halt when setting button1 up for the ClearCollect function; it simply will not accept the syntax within the brackets and it is driving me bonkers.

@@ShanesCows This is how it ended up looking, with some extra code from the ensuing videos - and it works too: NewForm(FormMasterData);;ClearCollect(ColExpenses;{LineItem:" "; LineCost: "0"; ShowSaveButtons: true});;Navigate(ScreenOpretPostering; ScreenTransition.None) The double semicolons are a Scandinavian formatting thing, but the real cruncher was the need of double quotes surrounding the 0. That took some hairpulling :)

I just have a question, how can we make our Collection updated in the case you does not have a button to go to your form screen? I mean, If you have just one Screen - the form, and you add the clearcollet on the OnVisible event of the Screen, the collection it is not update it, Why? How to solve this?

Yes save the file to a collection and then you can save it to the data source with a ForAll

Really great lesson. I think I might have bitten off more than I can chew(y). When I put in more than on record in the repeating table, It doesn't record more than the first creates multiple entries in the list but the are duplicates of one another (except for the ID). It kind of nullifies the whole point of it.... and the last week of learning powerapps.) You offered help, I am calling upon you to show this newbie what he has done wrong.

Stetson usually the issue is your patch formula isn't referenceing the values from the collection but instead you are calling the control names. That is why you get the duplicates. Good luck.

Great stuff! How do I accomplish something similar but with AAD users within a Dataverse table column? Requirements for my app have changed so that I believe it warrants migrating from SharePoint to Dataverse as the data source, however I cannot seem to replicate the People Picker multi-select functionality.

Thanks for the nice video on repeating table. I have a question, you have written onload of the form in 'Create New Expense' Button OnSelect Event instead can't we write the same in OnLoad of NewForm. I didn't find OnLoad method, how can we achieve it? Please suggest me. Basically I want to achieve this functionality in SharePoint list form for New, Edit, and View.

Hello @ShanesCows thank you for the excellent training. But my gallery delete the values entered when I click on Save button, the collection create a new line but delete the data in the previous line, it can keep the data as saved. Could you please help me?

Thank Shane. Your tutorial is very helpful. I see you use ForAll( ) in Form1 onSuccess to save the ExpenseDetails information to sharepoint List. If I don't have a master list and only need to save ExpenseDetail List. What code I should put in the SAVE button?

Hi Shane, love all your videos and this series of vids has helped my solve my InfoPath dilemma. One question, and using your Expense Form as an example, what is the best way to write the Total number of successful "ExpenseDetails" items to a field in the "MasterDetails" , so if the were 5 successful "ExpenseDetails" items, update a field (e.g ItemTotal) in "MasterDetails" with 5?

CountRows in your collection. Similar to how we update the total expense.

Shane, This was a great help in making up a POC app for my Company. Thank you so much. However, I ran into the same issues that a couple of commenters here described. Namely if a drop down control is included in the list/repeater then the selected value is not preserved if the page does a "postback" type operation. In this case it always reverts to the initial stae of the control (first record in my case). I can see WHY it would do this, but wondered if there might be a way to prevent this behaviour that you know of? In other framework tools I have seen, there is an "on pre render" event that fires after initial load that you can use in conjunction with Session (maybe Context in PwrApps) variables. If this existed (or better yet MS made a Repeater object), it would propel PowerApps to the head of many peoples queue for dev tools. IMHO an editable "one to (not sure how) many" relationship in forms and reports is an incredibly common scenario. We can work around this with page branching etc. but how many of our users really want the extra clicks and distraction of a new page? Anyway, like everyone hereI really do want to applaud you for the effort you put into these tutorials. Great job.

George if you set the dropdowns Default value to ThisItem.ColumnName it shouldn't revert.

Thanks for the great video Shane, I have learned a lot. One question, is there a way to make LineItem and itemcost mandatory text input so that way before a user clicks on 'Save' icon, it can show something like a validation message that either of the column are not populated, can you advise please.

Set the buttons display mode to disabled until those fields are not blank.

Thanks for hitting me back so quick :) On the "gallery" section, I have a couple of dropdowns that are linked to a sharepoint list, and I am not being able to get the default selected to blank - it always picks the first option or the option selected in the previous entry. The dropdowns on the "form" section, work fine with the default being blank... I noticed the dropdowns on the "form" use 'choice' function instead of 'distinct'... can you also help understand how these are different... and how i can make 'sort' work with 'choice' Here is the code snippets i have.. CertsCollection is the name of the collection. LineOrg and LineCert are the dropdowns. LineDate is a date (works fine), LineAgency is a text field (works fine)... On the Button... NewForm(FormMaster); ClearCollect(CertsCollection, {LineOrg: "", LineItem: "", LineDate: Today(),LineAgency:""}); Navigate(NewItem,ScreenTransition.Fade) LineItem Save Button... Patch(CertsCollection, ThisItem,{LineOrg: InputOrgDropDown.Selected.Value,LineItem: InputCertDropDown.Selected.Value, LineDate:InputDatePicker1.SelectedDate, LineAgency: InputAgencyName.Text}); Collect(CertsCollection,{LineOrg: "", LineItem: "",LineDate: Today(),LineAgency: ""}) This is how I have the Items property on the dropdown set... Hi Shane, great vid!!! How would i go about patching a date section when trying to adjust the "Save" button in the gallery? Also, in the "OnSuccess" section of the form, how did you manage to lookup the "ExpenseDetails" list? My form doesn't appear to recognise my second list. Thanks again.

Connor you can use the Now or Today function to get the current date or time.

Extra observation, the save button icon, at least now, perhaps not when this video was created, when it is inserted, it seems its Tab index value defaults to -1, which means it won't be part of the tabbing function. Changing the Tab index property of the icon to 0, so that it is recognized, makes it work as expected.

Further to this, the whole point of the "tab index" property is to set which order properties are selelcted in when tabbing, so the whole "make the save button below the other fields" can be avoided by giving them all indexes in the order you want to tab between them in...

This is a great video series Shane! I'm following along to build my own app, but my gallery has dropdowns (not combo boxes) that lookup to separate lists. One thing that's happening when I click the save button on a row is that, although a new row appears, all the dropdowns on the previous row revert to the defaults. I've googled this and found posts talking about setting the "DefaultSelectedItems" property for the dropdowns so they retain the values I selected, but I can't for the life of me find it. Can you point me in the right direction? Thanks!

Thank you for this video. Really helpful. I was wondering if Form1.LastSubmit.ID mentioned @ 22:50 will always work? e.g. In case of a heavy use app where there might be near simultaneous submits. Can you please make a video explaining any other way to get the ID (like querying the DB for the correct ID)?

It will always work. Last submit is per user no worries.

Shane, I am trying to patch data (part information) from an SQL DB into a collection, so additional data (quantity) can be added but I am getting stuck. Right now, my syntax is Patch(CollectionName, DBName, {records}). I have no problem if the source info is a SharePoint list but not having luck with a DB.

An Idea I would like to see if how to properly create a SP or Excel list, or sheet, to work with PowerApps. Many times you see something and what is missing are basic settings on the data-source. How do you prepare a list for a Powerapp which will need to show a dropdown list, what are the problems, or gotchas? Also, moving something like the Budget Template from Excel to SharePoint which was started in the Friday Functions Series but never finished! ;) Just some ideas! Again, thank you for your great work. It is appreciated.

I'm using SharePoint lists - Parent list is "Scheduling", Child list is "Single" with a lookup field back to the title of Parent (SchedulingTitle), and Collection is DSingleCollection. My form is called 'Basics'. Lookup columns are the devil. If you are going to use them then you will have to find the special azure syntax for patching the complex column.

I've been using my variation of this app for quite a while now and it's been excellent - we've been using it for recording defects in a car production factory instead of invoicing. I have some questions about saving additional information against each line item. On the form I have a colour drop down and a shift drop down and i would like these to be saved against each line item like the master id is. Is there a way to code this in? I've also got things like dates which would be useful to have next to each line item as this helps to filter the powerbi data where the data is displayed for our directors. Currently I'm doing this manually but getting this done automatically would be so helpful! Thank you for this video - so easy to follow and has taught me so much about powerapps

Hey Beth. All things are possible. 🤩 I would guess if things like Shift are static when you are adding items setting that into the collection would be the way to go. Have the collection populate it with a variable and set the variable when they start adding data.

Any tips on prevent date picker/drop downs from being reset when the 'save button' is clicked. Data is save to collection, but confusing to any adding rows and seems like data from previously row went up in smoke. Any donation links?

This works great Shane! I do have one question - How can I get a DatePicker (Date field in SP)and Dropdown (choices field in SP) controls I inserted into my Gallery as part of my collection to transfer to SharePoint. I think I need to change the value when I make a collection using those types of controls. For example do I put "" or 0 or something else when I ClearCollect? "" works for both of those when I make the collection, but not on the OnSuccess of my form. It says it is expecting a record, but is seeing text. The only thing I can figure is that my collection formula is wrong for those two controls.

Use Today() for the date field and for the Dropdown it will depend on the structur of the SharePoint column you are writing to

Hi Shane...great video!! I was just wondering if you had any suggestions if I needed to have 2 repeating sections independent of each other in the same app? For example, one repeating section for the quantity and price of an item and another repeating section for the funding sources? Thank you.

Shane, are users able to use the "Edit in Quick View" to edit the data? It seems like all of the calculations are in PowerApps and that using the Quick View would not be recommended.

You could if the columns matched. I typically like ForAll since it give me more control. But collect could be used in some cases

Hi Shane, This was really great. I am using SharePoint list form customization, and I am running into issue with bulk submit to child list, onSuccess for submitting to parent list. SharePoint form is split across 5 screens.

@@ShanesCows Thanks Shane, I was able to figure it out. I found out that OnSuccess only works with SubmitRequest, not Patch. Currently my issue is gallery not rendering in preview mode, and modern page, where I had embeded the form.

ID column doesn't change. In the child list (Items) add a number column called MasterID. 😎😎
