QT#80 - Create Power BI EMAIL SUBSCRIPTIONS with FILTERS Applied (without using Power Automate!)

In this video, you'll learn how to set up a Power BI email subscription with whatever report filters you chose applied.
Until this update, it was only possible to set up a Power BI email subscription at a report page level with the default filters applied.
Now it's possible to apply filters to a Power BI page and then set up a subscription to that page, with the filters applied.
For example, if you are a mechanical maintenance supervisor you can set up a subscription to send you an email with an image and link to a report displaying only the mechanical backlog work each week.
It's a small but significant change because prior to this update, you'd need to use Power Automate to achieve this functionality. This added a bit of extra complexity for something that should be simple.

That is what im searching for! Power BI still don't considers the RLS in the screenshot, when you create a Email Subscription with another users. So this video is a good alternative. This feature is an Idea on Power BI Community since 2021

Hi Shane, I'd have thought it should work for relative date filters but I haven't tested it. How did you get on setting this up? Cheers, Jason

@@jasondavidsondata Havent yet, will likely do a summarizetable with yesterday being yesterdays date and wtd be the last 7 days and use a fields parameter to add the options, as a filter in the filter pane. Something like this is in my mind, need to still test it

Can you send these subscriptions outside of your organization?

OK, so this might sound dumb, but can the end receiver undo the filters? Or is the report they receive restricted to the filters applied for the subscription? I think this isn't a substitute for row level security? Thanks for your info.

Think susbscrion mails are hitting the spam filter, can register multiple views suggesting its the view you had when you configured the subscription

Hi, I think the option to attach a pdf is only available with a premium capacity licence. I'll need to check though.

Hello, is it possible to add email subscriptions to reports that are housed on Power BI Report Server?

How do we add multiple reports in one subscription email with data filter for each, e.g. I have 2 categories - Product and Services. I want to subscribe to 3 pages in my dashboard, where each page has to be subscribed twice, once for data filtered for Products, one for Services. Now with this method i would get 6 emails, everyday, is there a way i can get all 3 pages in one single email? I can then have only 2 subscriptions, one for Products, other for Services

Hi Nitish, I don't think you can do that with a subscription. It would need to be separate emails. However are you on power bi premium? If you are it should be possible to create a power automate flow that does it.
