Outstanding work, thank you. I'm a project manager and use all of the tools you listed in various ways. I also use MS Project for Project Planning , Resource Planning, cost etc. but am by no means a "super user" I would very interested to see a video outlining the use of MS Project as a task management tool.

I'm in the same boat. I don't think Project for the Web is the suitable task management tool if say you manage 15-20 projects at a time and each project's task continue to grow/change.

This makes me crazy. MS is so powerful but the execution is so strange. Why not take all those tools and make a systemwide task management system with features that you can turn on or off as needed? So if I’m in excel and want to delegate something or in a Teams meeting and want to send myself a task, or in Outlook and want to create a task from an email it all has the same function. It should all work the same. Just open up a task pane that you can customize. It works in my brain anyway. I’m Not saying it’s easy to program, but certainly all the pieces are there, they just don’t work together.

YOu are absolutely right @matthewtaylor5126 I do agree that after 35 years of IT we still have not solved a common problem like task management in a comprehensive manner. As I mentioned, MS Project is almost perfect, but it has to be purchased separately and using it PROPERLY requires org-wide discipline. Check out my other best practices videos as well. Your videos are excellent! How would you implement the GTD method with Microsoft 365? Specifically my problem is: how do you keep track of lots of short term team projects?

Thanks @elefnti I have added GTD to my conent list. In my experrience, all these "methods" look very promising. But do not work in the long run. Why? Because most of these methods are not specific to a tool or technology. I am aware that there are some Outlook add-ins for GTD. But still, it does not work well because we do not use Outlook in isolattion. We have to combine multiple apps - as shown in this video. How to keep track of lots of short-term team projects? 1. Create a Group Chat for each project in Teams 2. Add Loop task list(s) and manage the execution. 3. Pin the post to top For longer projects 1. Create a Channel (Team in Teams) 2. Add Loop task list(s) to the channel conversation 3. Pin the post to top To get combined view of execution across projects 1. Create a Loop workspace and add a Loop Page 2. Copy paste every Loop task component you create in Teams to this Loop page Check out my other best practices videos as well. Yes, please create a video on using MS Lists as a task list. Unlike Planner it’s more flexible: you can create your own fields, you can choose which fields you want to show in the card view, there is a calendar and board view, you can assign labels based on company wide shared managed metadata, and if this isn’t enough you can use JSON code to even more fully customized the list, including creating a Gantt view, and it has version control and individual ‘@mention enabled commenting for each individual task. Just you’ll have build a Power Automate to send the data to MS To Do, which is a disadvantage, but I can see Planner, MS To Do, and MS Lists all being merged together into an app that lets you team plan like Planner, plan your individual day like To Do, but has the flexibility to customize your views like MS Lists. Hi Already created the SharePoint Lists for Tasks video. Have a look kzbin.info/www/bejne/rIvTqZ-GmJqkmqs I have not covered all List capabilities. Just focused on the Task app - classic SharePoint App. While Lists are infinitely customizable, for regular Task management, we want things out of the box. Customization, Content Types, JSON formatting, Lookups, Validations, Automation, etc are great features - but are too complex for most users.

Yes. Go to Loop.microsoft.com - Create a new loop page and then copy paste the loop components from Meetings (or elsewhere) into that page. That way you create a master list of all tasks. Something like "Assigned by Me"

Hi Project on desktop (any version), simply creates an MPP file for each project. Usually we have multiple projects running and we need to combine our consolidate them. This is done by using export and manual consolidation in Excel. This process is inherently slow, cumbersome and ineffective. the consolidated view is delayed and does not contribute to proactive project management Project online allows you to auto consolidate files created by Project desktop. In fact, from project desktop, you save directly to project online and eliminate the need for floating mpp files. If you want proactive and optimal project management across multiple projects with live view of toss for answers, causeway and resources then Project plan 3 should be there for project managers and Project plan one for people or resources who are just going to update individual task progress. This additional licencing requirement is a deterrent and that usually means most companies do not implement this fully. Same story - Amazing tool but not used fully 🥺

So if you add the task list app from classic SP, can you switch back to modern SP and get modern SP views similar to what you can do with the default events list? You need to add the events web part to a page to generate the default events list in site contents, then change the list settings to “new experience” then go into the list and switch to the all upcoming events view.

I am using the old version of outlook and have my outlook task list shown in the calendar as additonal panel. I drag and drop the tasks inside my calendar to schedule time for them but it seems the new outlook version won't allow you to do so. Do you have any workaround for this scenario? Thanks!!

Use the New Planner - it is the modern way of managing Projects. It is not as comprehensive and sophisticated as the earstwhile MS Project + Project Online. But it does have robust project management features. Most important features for better project management are: 1. Linkages / Dependencies between tasks 2. Ability to see workload (tasks assigned across projects) for people 3. Ability for users to update progress without project manager's active intervention 4. Gantt Chart and other views.

You can certainly connect SharePoint list to PowerBI and create interactive reports. Power BI itself does not have a row limit. But usually, SharePoint list becomes slow after 5000 rows approx.

That is work in progress. Very soon, Project Tasks will sync with To Do - Assigned to Me. Outlook tasks are quite good for yourself and for delegation, the only problem I am facing it does not send me notification when delegated task is completed by the user.

Thanks @tariq.hassan You WILL receive a mail when task status changes. When you open the notification mail, the equivalent task in your task folder will be marked as complete. Project actually does have some gaps. For example, MS Planner allows dragging and dropping tasks to rearrange them, which is a very important feature for me. Also, Planner integrates better with other MS systems than Project.

Thanks @jhughes2485 Drag drop to rearrange is not available in MS Project because it has linked tasks. MS Project does integrate with MS - in fact, it is uses SharePoint, SQL Server and Azure AD behind the scenes. Its integration with To Do app is coming soon. Thanks @nicolevanderlinden2911 No. Unfortunately, there is no way to assign tasks unless other users also have MS Project (Plan 1) license. Secondly, creating multiple MPP files on desktop is also inefficient. Because consolidation needs to be done manually. That is why, ideally, we should have MS PROJECT Plan 2 (desktop + online) for project managers and Plan 1 for all other users. Great. Happy to begin to confirm the power of Project. It is the solution for our organization. Unfotunately, we don't have the sharepoint integration with Project yet. I am hoping we can afford it. we only have desktop and web application availability, but they are both disconnected! ...a major flaw. Planner has 5 big dissadvantages comparing to Trello. 1. No attachments drag and drop. 2. All attached files selected from PC land in the root folder of sharepoint. 3. No multiple task lists in card. 4. No card linking. You can copy a link to a card but it doesn't understand it. 5. No card templates. We wanted to switch from Trello since we use M365 already, but Planner is lacking most of the best functionalities of Trello, not mentioning brilliant Countdown addon.

I do not have access to Planner Premium as it is not provided by the company. Therefore, to manage project tasks, including to-dos, assigning tasks to team members, tracking progress (while ensuring that team members cannot delete tasks), and allowing all members to visually see which tasks are completed, pending, or behind schedule with warnings for easier identification, how would you approach this based on your experience?

Thanks @hoangcamapas Sadly, all To Do and Planner allow deletion by anyone. So not useful. Old Outlook delegation works perfectly - but only in peer to peer context. Hi. I need help! After watching your videos, I switched to Sharepoint Lists. Now I have to print my report with images and it won't let me. Please respond....Report due today and I have been researching how to do this without being a coder and I can't find any solution. When I print to pdf in the browser, it duplicates the prior 4 records from the previous page. I don't want to hate this, cause I love the way you teach.

I am having a particular issue I wonder if you would have a solution for. I assigned a recurring TASK with no end date to multiple people, which is set to recur on the 30th of every month. After doing so, my boss told me to change the recurrence date to the 25th of every month. Is there any way to accomplish this? If not, and it has to be done by the multiple people I assigned it to, how do they stop this TASK, with the wrong date, from recurring forever? I can't believe this has been so difficult to resolve. Been trying to figure this out for two days. If you have any words of wisdom, I would be very grateful. Thank you.

I don't think Project for the Web is the perfect tool for task management either. How can it be used if you are a project manager that manages 15-20 projects that constantly evolve and tasks continue to grow everyday. I don't think the Project for the Web can be used for task management /to do list functionality. But I'm very curious to see what you ate going to explain in your upcoming video. Any idea of when the video might come?

I'm currently using Microsoft Loop for my bi-weekly 1-on-1 meetings, but I find it's too slow and clunky. I really just need a shared location where we can track our previous and upcoming agendas, as well as ongoing actions and completed items for traceability. I like a lot about Microsoft Loop, but the performance issues are a major drawback. The sluggishness, whether from the various components and items it's trying to load, makes it very difficult for me to want to use. The time difference in seconds really adds up, especially for busy professionals. What are your thoughts on a better alternative for managing our 1-on-1 meeting tracking?

Create it as a recurring meeting. The agenda, notes and action items will carry forward. You can also add other relevant loop components to the shared notes. This will work. Try loop on Edge browser or on another PC. I have not seen performance issues frequently. Cheers Doc.
