Thank you so much for this video! I'm going to have to watch it a few times for inspiration on my own structure. I had been trying to figure out if toggl was the direction I want to go in. Knowing that there are other people that use this to master their personal time as well is really encouraging. I appreciate that you didn't just show us how to use the app, but also took the time to walk us through your thought process in setting up your tracking system. Very useful, especially the distinction between Toggl clients (not real clients!) and Toggl projects (where my actual clients will go). Also helpful to see the progression of how you've developed more helpful activity descriptions and groupings over time. Thanks

Thanks for the effort you put into making this video so perfect. I found it super helpful for getting started with Toggl. I'm not sure why, but my attention drifted away right before you start talking about the clients feature. I had to take the video back to that spot 3 or 4 times to actually hear your introduction to clients. The way you broke the video into sections was really helpful for that. I'm going to save this video and recommend it to anyone I work with who's new to Toggl.

Thank you! I was wanting to get into the whole time tracking thing, and someone mentioned Toggl in a comment. Downloaded the app and then went online to find tutorials on how to use it, but the majority of them were centered around business tracking, not personal tracking, so when you say up front you weren't covering using the app in a team environment, I knew I'd finally found a tutorial that would suit my needs; and you did.

Awesome video - thanks - logical structure, tightly edited, engaging and helpful. I'd be interested to see how you would extend your structure to incorporate work (but not teams) but still with the personal life goals underlying focus.

Thank you for such nice feedback, John! To answer your question - if I was to stick to my current structure of clients (Future, Joy, Joy & Future - explained towards the end of the video), then I would just create Work projects under those. Let's say "Work (F)" or "Work (J & F)". And under those projects, you can log individual tasks like "meetings", "emails", etc. But it all depends on what kind of reports you need in the end. Because if you wanted a report on "how much time I spent writing emails last month", then you would need to do a bit more clicking to get this number (since it's not a project on its own, just a task within a project). Not much extra clicking, but still. There are other options, but I don't want to overcomplicate it for you, because it all depends on what information is important for you and which information you'll need to access more often. My "Creative" stuff that I do can be considered as Work and that for me is project-based - I do my creative work for different projects and I track each project as its own "Toggl project", as I mentioned in the video. So if your work is also project-based and you want to see time spent on each project, that works well.

Right now it's Unlisted because nobody wants to watch a guy walk to the office and back 😅 This is indeed my first real YT channel (I tried something very briefly before but didn't stick to it). The subscribers will come... or not since I really niched down and focus on localization only. These few app tutorials drove 99% of the views, but I have to focus on the right thing. - Andrej

You should add some kind "Toggl for personal" descriptor in the SEO/Title (etc.) for this video. This was exactly what I was looking for.

Great Video mate, Would you say its better to start with how you did your clients the first time around? To get a feel for how our time is being spent then move on to the current way you have your clients. Excellent video

I'd say start with whatever is more simple and easier to build a habit with. If you overcomplicate it, maybe in two weeks you won't track anything

Very useful, thanks. I will give Toggl a try. I think I spend so much time in stupid stuff and I don´t like it. Hopefully this will show me where those things are and for how long I am doing it. I am separating mine Learning (which I love), Creativity (when I write or plan screenplays), No value (for Netflix and things like that) and Productivity which is more work related. I guess is trial and error... thanks

Great video, thank you for sharing the personal details of how you schedule your activities. By the way, why don't you use Tags instead of projects to distinguish let's say between activities you enjoy or do not enjoy?

Hey Antonio. It's simply because of the reports - you can only use tags as filters. So I would have to manually check what is my time for what I enjoy and then what I don't enjoy. With projects I have the aggregated numbers right away in one table/chart

Hey Sean, thanks and sorry for the late reply! :) I've never used tags, I find my current hierarchy sufficient. I think tags allow you to further classify your activities for reports. Now, how has this changed my life... that's a good question. Honestly, just being more aware of how I spend my time. Sometimes I feel like I missed my weekly goals and when I look at my numbers, I still feel better knowing how much time I put into my Future. Also, recently I've been thinking about how to bring more "joy" to my life while working on the important things. So I'm looking at outsourcing some of the "Future only" activities that became a routine for me, but they're important. With the numbers I have, I looked at how much time I spend on cooking and groceries... and also editing podcast. Both of these I don't enjoy that much and I could outsource (either get a meal delivery plan or find an editor). Based on the number I track, was able to pick which one to start with since I can't afford to outsource everything. So this is the thing... I don't feel like it has changed my life on its own, but it's a handy tool to have when you make important life decisions imho.

Welcome 😁 about your Q - are you serious about each class equally? Maybe there are classes you just turn up to, for others you may want to commit more time because it's your future or you like. So I'd probably separate it unless you think everything you do at school is equally worth your time. ~Andrej

I'm not sure what you mean by "pre-entering tasks"? You can manually insert time entries. I do not use tags as I didn't have the need for further classification of the data. You can use tags as filters, e.g. to get a report with a certain tag. But you can't create reports based on tags... :/

Amazing video, I liked your way to use client. Just a question: how do you record two different activities made at the same time? For example: I go running for one hour listening a 30 minutes podcast on my mobile. How can I track these two activities?

Great video! Is there a convenient way to "charge" 2 categories at once? For example, let's say I can combine cardio on the elliptical and reading a book. Is the best way to just make a new category called "Read_Cardio" (or something like that) or is there a better way?

I use "Continue task" most of the time (03:31), which starts a timer for a task you did before. So no need to enter anything, just find it in the list of previous tasks and tap the Play button. Toggl also has auto-suggest, so you don't have to type the whole thing all the time, it should suggest to you previous tasks based on what you type.

I'm not sure why you would want to put it as one time entry? Each time entry is based on when exactly in real life you did it... You can filter out a task in reports to see how much total you spent, but it's still multiple entries for each time you did it (= it reflects doing the work at a certain date and time). ~Andrej

Thank you for the tutorial! I would like to literally run the timer 24/7 with no gaps between an activity and the next one. Is there a way to do that so that every minute is accounted for?

hi Matthieu, yes absolutely. Just build the habit of starting the timer for a new activity when you switch what you're doing. That's how I track every minute, like right now, I'm tracking "comments" under my KZbin project. And when I finish this reply to you, I'll do something else and change the timer again :) it will be tough at first, but eventually you'll be doing it automatically. And when you go sleep, start tracking "sleep"... and when you wake up, first thing you do, is you change your timer again to what you're doing.

@@LocalizationAcademy Thank you for your reply! I’ve started using he shortcuts app in iPhone to make the process more seamless. Do you know if there is something similar for the Windows desktop app? I feel like it’s not fast enough, especially given that I take breaks sometimes, as short as 5 minutes and at the end of the day, I still want to account for those minutes. Thank you again for your “time” ;)

I usually listen to music on commute, so I'd track it as that. Or I reply to comments like now haha... If it's really just travel, I'd put it as commute and have it as part of "Survival"

This is so good so perfect so inspiring. LOVE IT. I was only using toggl for my studies and daily goals but when you add the no value project, the app just goes from hmm cool my study hours look promising -> Holy fuck!! i waste my time on such worthless shit.
