I Built my own spreadsheet a year ago and have loved it.......UNTIL.......I got my hands on Jason Hayes spreadsheet (PREMIUM). Though i track a lot of the same things in my spreadsheet, what really got me slapping the table and saying " This man is a genius" is, The "BINS"!!!! What an awesome idea and worth the purchase just because of this. Soooooo many times have i gone downstairs to try and find a half emptied bin to put items in, searching and searching. Now, I can look at my spreadsheet and KNOW such and such bin has plenty of room. Thank you for this Jason. Love it.

Hi Jason, Can you explain more about how to use the manual entry columns on the month tab? I understand the premise of entering your total inventory at the beginning of the month, and adding on you your number on the units listed tab as you add to your inventory....but do you subtract from that tab when you make a sale? and when a new month starts does "units listed" start at 0 until you add more inventory for the month?

Hey! No need to do any subtracting when you make a sale. Just add when you list items and enter total inventory at beginning of each month and your all set. Btw, this is mainly for you to know whether your inventory is growing or decreasing, by how much, and what your sell thru rate is. Great question! And, yes, units listed for the month will be zero at the start of each new month until you add to it :)

Hi Jason, still loving this spreadsheet! Quick question that I'm sure you'll have an answer for as I have tried my best to figure this out. The red arrows or triangles you mentioned, appear to be what lines up the format when you copy and paste your sold item? I have a column of 12 items that do not have that red thing. Once the item sells and I copy, and then paste that row is not aligned and the numbers in the sold price and shipping paid are white not green. Is there a quick fix? Thanks, Donna

Thank you for the tutorial! I am new to spreadsheets altogether. Huge learning curve for me. When I copy and paste a sale from active to sold, the columns do not line up. My spreadsheet also looks different (headings) than yours does. For example in my “2023 sales” my sheet has “platform” after “days to sell”. Yours does not. Help!😵💫

M Val, so glad you're enjoying the spreadsheet!! And great question! I always log each item on its own line in the sales tab. Then I divide the shipping received and paid by the amount of items. So, basically I'm taking the average shipping received/paid and inserting for each item. Does that make sense? If buyer purchases 2 items and pays $10 total for shipping, I will enter $5 received for each item in the shipping received column. Then, when I go to pay for shipping, if the label costs, say $9, I will then enter $4.50 in the shipping cost column for each item. Hope that helps!! Jason

Hi! I bought this today excited to transfer my excel spreadsheet data over to this one. I listed my categories, but they aren't all showing up in the drop down list?? I wanted them in a certain order so, just like in the spreadsheet, I would add a row above, then type in my new category. Those categories aren't showing?? Then I clicked on copy cause its right there. I saw the question below you answered for tattedmom. Here is the silly question...is my spreadsheet in my computer downloads? Donna, thanks for your order! After you click "make a copy" your saved sheet will automatically save to your google drive (as opposed to your computer). You can access it by going to your personal google drive (just google "google drive" and it should either prompt you to sign in or automatically pull up your saved files with this sheet in there). This program is awesome! When entering sold price under your sales, do I put in the sold price or the amount collected from buyer which includes sales tax? Ex. Item sold for $50, but Ebay collected an addition $3 for tax which is what the fees are based upon.

Chrissy, So glad you're enjoying it! You can do whatever you would like with that. I typically don't include sales tax since buyer pays that to ebay and then ebay then pays that. I just include the price it sold for and the shipping that i collected. Cheers! Jason

When you enter peice you paid for an item are you including tax as well or the flat rate you paid? if adding tax do you calculate that for each item since a receipt could have several items on it. Hope that makes sense

Susy, the way I do it is take the average that I paid for each item at that store. So if my receipt says I bought 10 items totaling $90 including tax, I would just enter a unit cost of $9 for each of those. Or you can just take the tax and divide it by each item and then add to each item if you want a more accurate figure

Hi Jason, I love this spreadsheet! I think I've messed up somewhere, I ran out of category space so I clicked "add 1000 more rows at the bottom". Since then, some categories no longer appear in the category drop-down menu on the Active Listings/Inventory tab. So the items assigned to those categories now have a red triangle in the corner. Please help! Thanks 😊

Hi Jason - Great spreadsheet! I'm currently watching the video (very helpful!) on how to get this setup and I have an odd question. The bulk of my inventory right now is my own personal collectables and items that I collected with my father over the years. Since I have no way of tracking "where" these were purchased, or "how much" was paid for these items, how should I go about entering these items on the spreadsheet? (My thought was $0.00 paid since I have no way of knowing, and then maybe personal collection as the store?)

Also, I am working on entering the few stores I have been to so far, and decided I wanted it to be sorted A-Z. After sorting it, the drop downs aren't working correctly. I'm not exactly sure how to fix it either.

Great question Angel! You don't need to do anything with sales tax on an ebay sale because ebay collects and then turns around and pays it, so I ignore sales tax

Do you ever use separate sheets to categorize your items? One way to quickly find what item you are looking for is by going to the active tab and hitting "Command F" or "Control F" on your computer (depending on what you have PC, Mac, Etc). I believe there is a way to download your sales from eBay. Give them a call and you may be able to copy and paste it? Not sure if this can be done. Maybe someone else who sells on eBay can help us out.

Mackenzie, Thanks for your order and comment! Glad you love it! Yes, I do this with my inventory. I list my oldest inventory at the top and then work my way down. Then once you make sales, regardless of whether its a 2022 or 2023 inventory item, you can still track that sale.

Jason, I am loving your premium spreadsheet but I think I may have messed up one the programmed formulas. When I am entering a sale into the sale tab, it is not automatically calculating the days to sell. On another note, is there a way that I can format the ACTIVE tab to be separated in 2 different ways. Is it possible to have anything with a listed date to be grouped together and alphabetized and the undated items to also be alphabetized? Or at the very least, the listed date items to be alphabetized. This will help me find items faster. Thank you!

Hey Jason! I just purchased, and I’m loving it so far. My first question.. (I’ll probably have more lol) since I’ve got autoposher, my listings are deleted and re listed. So I don’t think I have access to “listed” dates for all of my listings. Everything within the last 30 days I do, but anything older I don’t. Luckily for me I only have 184 active listings at the moment. Would you just make a random date to add everything I’ve had over a month? I don’t have an exact number but it’s probably 100-125 listings older than 30 days listed. Just curious how you would do it. Thanks!

Also, when you add the cost for the item do you divide the cost by the number of items? Or just $4.99? Technically I’m at $5.16 for most of my items.

Chase, thanks for your purchase! Glad you're loving the spreadsheet :) You don't have to put the listed date in there retroactively. Thats more for you to gage how long you've had certain inventory items. If you'd like, you can just start with the items that you are listing now and carry it forward with new listings. However, just know your days to sell column will be off because a listed date won't be included on the older items that sold. I have been doing the cost exactly as you described. Total amount spent at thrift/etc. divided by # of items. You can also enter the amount that you spent on each item individually if you'd like. The cost field is in there mainly to give you an idea of how much profit you're making per item. Make sense? Thanks for reaching out! Jason

Yo Jason, so my total listings on eBay compared to my spreadsheet are off by 3. Most likely forgot to remove a line once something sold. Any ideas on how to get these back in line with each other or do you think when I get the spreadsheet going into next year there is an easy way to get them synched? Thank you

Hi Jason. I am loving the spreadsheet but am having an issue. When I copy my data from the active tab and move it to sales I am getting an "invalid" message in the store and category columns. It says that input must fall within specified range and it wants me to choose date for sold and listed. If I do the entire entry manually it works. Hoping you can help me figure where I'm going wrong. Thanks

Paul, you're actually doing it correctly. That "invalid" message should be there. It doesn't affect anything. It's simply because you are copying a dropdown cell into a nondropdown cell. You'll notice that the data still pulls into the correct tabs and displays correctly. Thanks for your order!

You don't have to per se, but you'll then have to manually enter in each sale without the ability to copy and paste. This may add more work with the Store and Category columns.

Before I purchased this spreadsheet I kept everything manually in a notebook so I have everything logged from 2022 - cost, item, sale price, dates, fees, shipping. etc. What if I sell something that I purchased in 2022 and sell in 2023 as it is income. Thanks for your time :)

Yep! That is how I do it too. I add all of my active listings into the first tab regardless of when I purchased them. Then I just log all of my 2023 sales into the sales tab

I just purchased this spreadsheet and watched the tutorial. I have one question/suggestion. I use a SKU for each of my items and then tag the item and file it in a bin. Is there a place for a SKU and I missed it? I guess I could put the sku in the notes section?

@@jasonmhayes another question. My active inventory starts on line 55. I put my first item in on that line. I’m now at line 201 and it says up In the right corner I have 160 total. Yet I’ve only added 147 (counted to be sure). Why are the first 54 lines hidden? Are they supposed to be? And my count is off. Help…. 🧐

interesting. i have not bought yet. but one concern. returns does not seem to subtract from profits. this does not seem right. why not enter the return/refund amound under cost of goods column...as it is a cost of goods AND would then be correctly counted against profits. or am I missing something?

Rick, you are correct. Returns won't show up subtracted from profit.. BUT... the monthly tab DOES show you all your total refunds for the month. So calculating profit won't be difficult to see right there on the same tab.

I also track my home office expenses (under an old spreadsheet system I was using a couple years ago) for electric bills, etc. I am thinking I can put this under expenses in your system that I just purchased today (which is very impressive, BTW!). :) Can you think of any reason why it would NOT be good to track this type of expense in your system?

I have a question on the refund. Would it not be better to put in the new date on the item when relisting? Since you copied and pasted the information with the original listing date, would that not effect any data from before? For example you listed it on Jan 3 then sold on Jan 9th then refunded Feb 8th. Wouldn’t it be best to put Feb 8th down on as the date when relisting?I hope you understand what I’m trying to say.
