I have about a 2000 square-foot retail space recently leased for my business. It needs to be renovated. Would there be a different protocol for this magnitude?

This seems to be aimed at one big project, How every I am normally doing 3 to 5 different jobs per day. so planing 3 weeks out is not relevant when I won't even know what jobs my crew has until that morning

It should be the person above you that does know the jobs then. Maybe make it a recommendation. My grandpa always said you can say whatever you feel. Just say it the right way
