I use individual sheets in one Numbers Budget file to document where I spend my money. I also use a different Numbers file to tally expenditures. Two questions: 1. Is there a way to make the tally file immediately transfer the correct tally directly into the Budget. and, 2. Each quarter, and at the end of the year, I like to analyze where my money is and has gone. How do I generate reports from individual worksheets? The values are in different fields in different sheets, although the header columns do have the same names. Thanks in advance! Great videos!

Yes. But how you do it specifically depends on how you have things set up. You can easily just refer to cells in tables in other sheets. See kzbin.info/www/bejne/fXmtZ61paKh1prc

I’ve just recently discovered your channel and have enjoyed watching your videos. I’ve learned quite a bit and this one on pivot tables got me thinking they would be very useful for tracking and analyzing our expenses to get a handle on our budget. I believe Excel can convert a table from a PDF document (bank or credit card statement) to a worksheet. I haven’t found an equivalent capability in Numbers. Is that possible, or is there an easy way to achieve the same result some how? Thanks for providing all this great information.

Thanks Gary, I had no idea what a pivot table was until I watched this video. I’ve been trying out the options. Really useful. I have a Mac mini and an iPad Pro. I have found that can’t create a pivot table on the iPad but once it has been created using the Mac you can make changes on the iPad. Note you can! See comments below …

Hi Peter, you can create pivot tables on an iPad. To do this, select the spreadsheet by pressing on the circle on the top left-hand side. One of the menu options that pops up with you do this is "Table Options ...". Select this and you will see that one of the items is "Create Pivot Table". I hope this helps!

Long time user of Excel pivot tables. Numbers absence of pivots kept me from changing from Excel. Looks like I will have to rethink that. Not sure if I purchased your pivot class yet. If not, I will add to my library.

I have several pivot tables in my Numbers document, located on several sheets in the file. Is there a way to update all the pivot tables at once, or do I have to update each of them individually? Excel has a "Refresh All" command that updates all pivot tables in the spreadsheet, so I am wondering if there is an equivalent command in Numbers. Thanks, Gary, for another great video!

Not sure if you monitor this but two questions. 1, can you eliminate the grand total columns and rows somehow, and 2, can you use conditional formatting on pivot table data to highlight specific results?

I don't think you can do either. Experiment, but you may not need to use pivot tables at all. There are other ways to analyze data depending on what you are trying to do, specifically.

This is so helpful!! My Checkboxes I made didn't pivot over correctly as it gives me False True instead. Anyway to make it Checkboxes?

I don't think so. Checkboxes are just true/false values, so that's why you are seeing it. Since you can't change the values directly in the Pivot table, it makes sense that it shows true/false instead of showing something that would appear clickable but isn't.

Finally Pivot arrives at Numbers. If the drop-down menu can refer to a specific range, and the text-to-column feature is also present, then goodbye to excel. Numbers is truly visually stunning compared to other spreadsheet apps.

In my opinion: Using Categories is the easiest and fastest way to group data by specific columns. Other spreadsheet applications do not have this feature. I'm a big fan. Using Pivot is better if the calculations and grouping are more complex like this video.

I track weight loss vs calories vs exercise vs carbs in a spreadsheet with categories (daily, monthly, yearly). It works so much better than anything I can do with pivot tables. This morning I discovered I can copy just the monthly summaries with NO daily data, and then add additional columns and sorting that is amazing in the ability to analyze data. Only problem is updating - but I will just wait until I have an additional month of data, add it onto the copied monthly summaries, then resort.

Hi there!! Thanks for your videos. I have seen many excel sheets with buttons which we click and certain data appears in a chart, for instance. In excel, they create a form (like a button) and add a "data segmentation". Is there any similar feature in Numbers? Thanks!!

Hard to say without knowing exactly what those "buttons" are doing. All I can suggest is to learn the new pivot tables and explore the functionality in them to see if they fit your needs.

I don't think so, but experiment. If not, I would use a regular table to calculate and filter those sums instead.

Hi Gary, Love your channel. Do you know if there is a way to make an interactive chart that you can change the data via a drop-down? I’m looking to create a pie chart where it will update as I select a given row in a huge table where each row is a unique record. I’ve seen where the interactive table gives you the ability to do this, but the controls become unruly when it’s for 1000s of rows instead of just a handful. Any tips or thoughts would be hugely appreciated.

Yes, you can create complex things like that. Changing one value in a cell would change the values referenced in another table, and that table is the one used for the chart. It will take some work if you have never anything like it before. Lots to learn.

@@macmost Thanks Gary. I’m thinking maybe pop-up menu + a table using vlookup to grab the value from the pop-up to then search a larger table for the data to populate. Not sure if this is the most efficient way though.

A running balance in a pivot table? Those are two different things. You would have the running balance in a regular table, not a pivot table.

Great video, Gary. Thank you! I've been doing a lot of experimentation with Numbers' pivot tables and there's one thing (so far) I have not been able to figure out that I'm hoping you can answer. At around 35 minutes, you create a separate single cell table for your invoice using a formula. Numbers automatically makes the cell references absolute. I often want to do a single column or a multi column table with formulas based on the pivot table. However, I usually do not want the cells to be absolute references, so I can easily copy a formula from one cell to another in the new table. When I manually remove the $ to change the cell reference to relative from absolute, numbers refuses to accept the edit and continues to leave it as an absolute reference. Is there a solution? If not, creating formulas in a separate table, can be very laborious.

Not sure why that is happening for you. Are these references to cells in a Pivot Table, or a regular table. Maybe that's the difference.

@@macmost yes, these are references to cells in the pivot table, just like your example for the invoice total. I noticed that even for your example, the cell reference was absolute. That’s ok if you’re just dealing with a single cell table but not if your new table has multiple rows and columns. I know I can do this in Excel and Google sheets (ie relative references) when referencing a pivot table but was hoping I could do it in Numbers. Any thoughts? Am I missing anything?
