Hi Lisa, I am learning access with your videos. I am pretty handy in excel, but this is a different way of thinking. I had a similar enter value (error) message. I had a query with columns of sums. In the next colums i used these "sums-of" for the next calculations. This created the enter value message. I solved it by creating another, separate query, functioning "as the next step"... Best regards Bjorn

You are a great instructional designer and educator, thanks! This video helped me see how I can import my very wide spreadsheets (covering multiple topics) into a staging table, then divide out those fields into their appropriate separate tables. 1 Mass import, an append queries for each permanent table, then clear the staging table via a delete query. Next up, VBA code to automation the process. 😊

Does this field uses the storage size of the Access database or does it use another way to store the files so that the database storage will not get consumed so fast? I understand that the maximum size of an Access database is just like 2Gb
@lfriedrichsenАй бұрын
@@beholderer yes the Attachment field data type works as if it stores the file directly within the .accdb database file. If you have so many pictures that you would push to the maximum access database file size, then you might go with the Hyperlink data type which only stores a path to the file.
@TheNetbugАй бұрын
@@lfriedrichsen Can this be done in such a way that the image is still displayed within the access form (as opposed to an icon or hyperlink)? For example, could I maintain a directory of images that the DB could access and display in the Access form? We're attempting to create a new parts inventory system for my father and right now all the data is in Excel and jpg images, but the images would exceed the 2GB cap quite handily.
@lfriedrichsenАй бұрын
Some thoughts -- 1. Would very low quality .jpg images be acceptable? If so, you store the .jpg images in an Attachment field data type. That would be very straight forward and simple. Often, pictures we take with our cameras and phones are at a much higher quality than needed for viewing on a screen. 2. If you stored the .jpg images in another folder and used the Hyperlink data type to store the path to the file all it would take is another click on the form or report to open that Hyperlink which would bring up that image. 3. One time I worked with images in a database that we only needed for a short period of time. So we inserted them in the database using the Attachment field data type so we could run our reports, but then ran a macro each Friday that deleted older images we didn't need any more. (We also had the images stored in an external folder just in case we needed to insert them into the database again). I don't think this sounds like it would be your best option, but sometimes these types of ideas are helpful too. Best wishes!

Hi lisa, cannot solve the issue as 1. Microsoft has blocked macros from running because the source of this file is untrusted 2. The path cannot be added into Trusted Location for security reason How could I solve this? Thank you
@lfriedrichsen2 ай бұрын
Try this: Check the "Allow Trusted Locations on my network (not recommended)" check box at the bottom of the Trusted Locations dialog box in the Trust Center. File|Options|Trust Center|Trust Center Settings|Trusted Locations

A .jpg file in an Attachment field can/will show up on either a form or a report, but it sounds like your problem may be that you do not know how to add new fields to an existing report. Try starting with the Report Wizard, and then choosing the fields you want on that report including the Attachment field that contains your .jpg. That will create a starting report that shows the .jpg file that you can modify later as needed.

Have used MS Access since version 1.1, right after Microsoft bought it. It was much speedier with version 2.0 as they incorporated indexing technology they acquired from another purchased company. That company had created FoxBase and FoxBase Mac and a few users later put out Microsoft FoxPro. All good databases along with Paradox, Reflex, Clarion, Alpha Four and others in the 1990s.

Great video! I have more questions. What makes this better than Excel? I can do all of these things with Excel using Power query and building a data model. How is Access intended to be used by stakeholders? Is there a stand alone app or web interface for the forms for data entry that they use? Can you automate reports by email? How does Access compare to MS SQL Server? How well does Access play with BI products like PowerBI, Tableau, etc?
@lfriedrichsen4 ай бұрын
Access is superior to Excel in two major ways: 1. the power and benefits of managing data in a relational database vs. a flat file and 2. it is an application development tool (queries, forms, and reports) as opposed to a spreadsheet view (see the first two KZbins in my "Microsoft Access A to Z playlist for explanations of both of these)
@lfriedrichsen4 ай бұрын
stakeholders -- exactly who are you referring to? Access is primarily used as an internal tool. Again, see the first 2 videos in my "Access A to Z" playlist for a better explanation of where, why, and how Access is the best tool for the job.

web interface -- yes, if used with SharePoint.

automate reports by email -- yes, Access does that inherently using macros and VBA through Outlook

compare with MS SQL Server -- that's also a relational database management product but not an application development platform. SQL Server is intended for enterprise-level applications and has a much larger data storage capacity

Sometimes it is helpful to watch the KZbin again and refer to it in your question. That way, you can say "at time x:x I cannot do y" ... you get the idea.

I think you're asking about the .laccdb file. If so, first off I have to explain that you don't want to open it or modify it in any way. It is a temporary file that takes care of itself (opening, then closing and deleting itself) when you open an Access .accdb file properly. Yes, there are times when the .laccdb file persists even after you've opened and closed an Access .accdb file properly. If that happens, so problem, just delete it. It will recreate itself when you open the .accdb Access database file again. But to directly answer your question, find the .laccdb file in Windows Explorer. Right-click, Show More Options, Properties. On the General tab, Change, and you can then find the application that you want to open the file with that specific extension. But again -- you should not ever need to do this. Please watch the KZbin again in its entirety to have a sense of how the .laccdb file works and why you really never need to directly interact with it.
