Can you describe how to set a Transaction with a Set Email Template by default ? In other words, Customer Payment, Book the Payment and then Save and Email without having to open the Email form and select the template.

How to create recurring month-end book close activities (tasks) assigned to the team, recurring monthly?
@SuiteCrisСағат бұрын
If you want to create a monthly-recurring Task that certain teammates have to do, that is crazy easy. Just create a new Task, set the time, set what has to be done, make it recurring by month (the popup window is very straightforward) and add the necessary teammates. HOWEVER, if you want to add tasks to the official Month End Close checklist, that is simply not possible in native NetSuite.

Is Suite Project required? or this functionality is available in the Basic project?

Basic is fine. SuiteProject Pro (previously known as OpenAir) is a completely different module created by Oracle.

Hi Chris! My company is going to be starting our netsuite implementation in about 2 weeks. I have never used the program before and i will be only 1 of 2 people working on the implementation and i will be the NetSuite Admin moving forward. My question is- at what point would you recommend taking on of your courses? Would it be better to start one now, even though i dont really have access to the program yet? Or would it be better to wait until after implementation?
@SuiteCris18 күн бұрын
I always recommend training with an actual account and not just videos, so you may want to wait two weeks until you have signed your contracts and can actually tinker around in the system. But I would NOT recommend waiting until AFTER implementation to start your training. Much MUCH better to have your users trained and familiar while you're going through Implementation, you'll be able to steer your Implementation Partner team in the ideal direction for you. Good luck!

@SuiteCris hi can import the transaction data from netsuite throught API?
@SuiteCris22 күн бұрын
Yes, but why would you want to? CSV is preferred for many reasons. In the rare use case where it is better to use an API, check out this link for more information how to accomplish it using a REST API. docs.oracle.com/en/cloud/saas/netsuite/ns-online-help/section_157797198485.html

@@SuiteCris Thank you for your response. I tried using the CSV approach, but it isn't compatible with my credentials. Instead, I’m retrieving data into Power BI using a Python script. While I can fetch customer and invoice data with the same credentials, I’m encountering a 401 error when retrieving transaction data.

Hi Cris, there's also inbound shipments and you can add the landed costs on that record. How does it all work together? When do you use that record to input the landed costs vs what you showed?
@SuiteCris26 күн бұрын
Yeah you're exactly right, inbound shipments can play a key role in applying landed costs to many item receipts at once. I'll keep that in mind as the subject for a future video.

Hi Chris I have been watching your videos since start of this week to learn more about NetSuite. I have benefited a lot, the videos are really good. I have 8 years of experience with QB Desktop, Online and Xero. So I find NetSuite very easy but I wanted to test my assumption that it's very similar to QuickBooks Enterprise and it is except some additional features which I'm learning from your videos. Although the very first step for me and the most important one is to import all my transactions of last 15 years of my company from QuickBooks to NetSuite. I didn't find any helpful an overall video which actually explains how do I move from another legacy system to Netsuite, Even in the Import masterclass you only focused on Sales orders import. I'm guessing now that I have to import all my transactions separately, Invoices, SOs, POs, Bills, Journal Entries, Banks
@SuiteCris26 күн бұрын
Yeah I need to do a much more detailed video (or probably a mini-course) on migrating from Quickbooks to NetSuite. I get asked about it all the time. In regards to QB compared to NS, I agree that most ERPs have a lot of similarities. However, I wouldn't say that you can just step from QB right into NS, they have a lot of differences in terms of record organization, tool functionality, and of course UI. You are right that you need to import the other records, however, I'd start with the higher level records like Customers, Vendors, Items, etc before importing transaction records.
@TomDickson6627 күн бұрын
xlookup would have found the InternalID earlier. And formatting Items as a table you could use the column names. Not convinced you have to Copy>Past as Values if you're saving as a csv. Also NetSuite can have special characters if you don't use the default csv, but use the UTF-8 version of csv which ought to be standard for all international workers, as it handles accents and plenty of special characters. CHAR(160) is a swine in text fields, and trailing spaces. Recommend NotePad++ so you can visually spot naughty spaces. Fabulous series Cris!
@SuiteCris26 күн бұрын
Definitely true that XLookUp is a great alternative to Vlookup. Thanks for the other pointers!

How do I forward the invoice in Netsuite to the buyer for the quantity mismatch?
@SuiteCris27 күн бұрын
There's a few ways you can do that, but I assume you want a workflow. You can create one that has a Send Email action that's conditional based on the quantity mismatch.

Hi Chris, I am really finding your videos extremely helpful! I'm hoping you can help me with something. I have an issue where I lose a lot of detail in GL from anything that is journaled via revenue recognition. I have a transaction saved search that ties to the P&L and bring with it a ton of useful information relevant to the sales order, however when items are journaled via rev rec, I can't find any item detail to bring into the search. How can I pull item information via a saved search off transation for items that have been rev rec'd?
@SuiteCris28 күн бұрын
You should be able to do a Join Field that looks at the journal entries and pulls whatever relevant item info you want into the Search Results.

Hey you seem very knowledgeable and I’m hoping you can help me resolve an issue: lets say we have a 1-year contract that’s a “late renewal” meaning on 2/1/25 we invoice for a contract that’s started on 1/1/25. We would like to recognize two months of revenue in the period it was invoiced without impacting the prior months GL and then continue recognizing revenue each month as normal throughout the remaining life of the contract. Is this achievable?
@SuiteCris29 күн бұрын
Yep, that is achievable.
@philsheppard444628 күн бұрын
Thank you! I was originally planning on manually calculating the initial amount and spreading the remainder of the contract value over the life of the contract but we are using the exact days method and this leaves a lot of room for error so I am hoping there is a way to avoid the manual calculation. Please let me know if you have any suggestions!
@SuiteCris27 күн бұрын
No, you want to modify the Rev Rec rule to have the setup you want without manual entry.

We have a Client Script that sets the line Department field based on the SuiteKey selected, but we are having an issue where this doesn't happen when importing Sales Orders via CSV import. We have ensured that CSV Import is in the context filtering of the deployment and that "Run Server SuiteScript and trigger WorkFlows" is checked for the CSV Import as well. Any idea how to fix? It works when manually entering in lines on a Sales Order, just not during the CSV Import.
@SuiteCris29 күн бұрын
Hi Andrew, Client scripts are "Client-Side" meaning they trigger in the browser. They will not execute on "Server-Side" contexts like CSV imports or custom solutions that create records. If this is needed, you will need to also add the logic to a User Event script. You can use the Runtime module to specifically filter only CSV Import contexts as to not double run their logic between the two scripts. Hope that helps

In the vendor record, the Tax ID field is not visible. By any chance, do you know why it's not showing? When I customize the form, the 'Show' checkbox for the Tax ID field is checked, but the field still doesn't appear in the vendor record. Do you know why this might be?
@SuiteCrisАй бұрын
Could be a lot of things, I like to think about these things in layers. There are a lot of layers that could be causing the problem, it could be with the permissions on the role, it could be the Form settings, the Field Group, the Field, etc. Try to probe around and see what might be messing it up. Maybe you are customizing one form but then looking at the record using a different form. You can also try going to the same record from a different role and see if it's only a problem with your current role.

Thanks for this. Is there a way to pull "Check #" as a field for a saved search or report? Is there a setup tick box so I can create a report that shows the check numbers on paid bills.
@SuiteCris29 күн бұрын
Yep, if you're doing a search that pulls up Bill Payments, you'll want to add Document Number to the Results (which will pull up the Check #). If your Search is limited to Bills then you'll need to add a Join Field (the "..." ones) for "Paying Transaction..." or "Applied to Transaction..." , and then select Document Number.
