Hi, when you set up the service you can assign specific staff, in your case just the one instructor. Even though the other staff, like yourself can support the service it does not mean you have to. Just got to the staff section of the service and uncheck all names except the one person.

Hi Heather, I was trying to think of a way of using Bookings to allow colleagues to book onto a specific date and time for in person events (usually one off). But it looks like you can’t specify a time(s) for one off services, is that correct? Basically I just need colleagues to be able to book onto a specific date and time, allow them to cancel, get an outlook calendar invite and be able to download the attendance list. I was thinking Teams Webinars for the booking element but been asked not to use Teams to stop any confusion. 😅

Hi, I had to have a think on this. What will probably work best for you is personal bookings using Bookable Time in your Outlook calendar. The only way I can see to specify time(s) is to go to Use Custom Availability Hours and then only put the times you are willing to set aside for your events. This way you can set up restricted date ranges and restricted times vs, let people book in whenever I am free.

Edit Update: Did find a way to cancel and reschedule. There is a link in the meeting invite to meet that criteria. I did not additional testing and found that personal bookings meets your critera, at least the way I understand them. 1. Book at a specific time and date 2. Got an email with a link to a meeting invite 3. The email has a link that says Manage Meeting. They can use this to cancel and reschedule. 4. After the meeting, which, if online, is going to be in Teams, I could download the attendance. The cancel and rescheduling may take some user education because that link is easy to miss but they can find it in the calendar invite in outlook.

I am creating a webinar and plan on having video and mics off for the participants but will be having breakout rooms. What happens with their mics and video when participants are in their rooms? Do they have to unmute and turn their cameras on, on their own or does it happen automatically? Thanks!

Hi, I am on the new Teams Calendar experience and it turns out that Breakout rooms are a little broken because the room options where you publish the breakout rooms goes to meeting settings instead of room settings. This means I cannot test this right now. But from memory, I believe that they have to manually turn on their camera and mic.

Hi, please keep in mind that this video was published over a year ago, at the time Delete was an option. But Microsoft, being Microsoft, has changed things again, and now they have taken away this choice. The best you can do is mute a chat, which will eventually move it to the bottom of the list so you don't see it up top. I am guessing they remove the option becasue it was never a true delete since the person on the other side of the conversation could still see it. There were a lot of technical support questions, at least where I worked, about this so I bet they just abandoned the idea.

What an EXCELLENT presentation! Your voice, your pacing, your articulate clear explanations. Outstanding! I do have a questions about using the Likert type of question where people rate themselves Poor, Fair, Good, etc on a series of items in a single grouped question. I would want them to be able to assess their results based on Poor being scored as 1 and Excellent being scored as 5 and then the total amounts for all the items in the question. Is that possible? I don't want them to have to go through 25 individual questions if I can do it in a single question. I hope that makes sense. Thanks!

Hi, with the Likert question there are two statements by default when the question is inserted. Below the second statement is a + Add statement link. In my test example, this would be question 2 on my quiz and when I added 4 statements they all show as the same question grouped together. The scoring is a bit clunky. If you assign a max point number then when the person responds the Likert question is marked as needs review. You, the form owner, go into the response and assign points based on the answers. We don't have auto scoring.

It's a type of survey that I'd like people to get an immediate, accurate response of where they're at on a scale from 1-125 over 25 questions. So, it looks like I won't be able to do this. FYI: I also noticed that the Likert scale only allows a maximum of 20 items. I really appreciate your quick response! 😊😊👍👍

Thank you for this detailed tutorial, it was very useful. However, I want to know how do I reject one registered attendee? I tried to find a way but I couldn't find any. I sent the registration link to my mentees (they are from outside y organization), and one attendee is not among the ones I had sent an email to the registration. It's an outsider. How can I reject theme before the webinar date?

Hi, the option to reject a person from the webinar before the event is only available in Teams Premium. Unfortunately, the standard Teams most of us have the best you can do is send someone an email letting them know they are not approved for the event. When the event starts you can set up the lobby so that everyone must be approved to enter, then only approve those who should be there. That can be a lot of work to decline one person if you have lots of others. Another option is to let everyone in and check the people pane to see who is in the event and remove anyone from the event that should not be there. I know both options are clunky, but it is what we have for now unless your company wants to pay for Teams Premium.

Hi, I do understand your question and had the same issues. Given the available actions in Power Automate I never found a way to make the comments on the List go to the Planner Notes section. I did go and check just now in case the actions have been updated. But no luck there either, it still show only task name, due dates, assigned people, and tags. No option for Notes. Wish I had a better answer. P.S. You English is just fine and much better than I could do in a foreign language. As hard as I have tried to learn other languages it does not stick in my brain. So I am impressed .

I really like your videos. Do you use full script? If so what is the process of filming ,reading and showing the steps at the same time?

I don't usually use full scripts for my videos. I test things first and then do a bullet list of what I want to talk about. When I mess up the audio, which I do often due to the fact that I stutter sometimes, I cut the audio and do a voice over. The only time I use a full script is when something must be said in a specific way for it to be accurate. Because I test first and have a bullet list, much of the information is in my mind when I record. On a second screen I have the bullet list so I can glance over, see whats next, then keep going. In the edit I take out the long pause caused by reading the bullet list. I hope that makes sense.

Hi, I also use multiple accounts both business and free ones for personal accounts. All of them had automatic replies. So I did some digging. According to the Microsoft forums the two reasons that could impact the option to see Out of Office is: 1. The admin for the company turned the option off. 2. It could be a cached issue when using the desktop version of Outlook. But I have a possible workaround for you. You can also set Out of Office in Teams and there is a two way sync between Teams and Outlook for the message. In Teams go to the upper right corner and click the 3 dots for settings and more next the the circle icon with initials or your picture. Choose Settings > On the general tab the first option should be Out of office. Click Schedule.

Hi, I just did a quick test based on the meeting organizer leaving the standard meeting options. It was possible for someone how is invited to the meeting to add a poll. In the default settings everyone is a presenter and presenters can create polls. However, if the meeting organizer changed the default role and made everyone an attendee besides the organizer then you cannot create a poll. In my experience most people creating meetings don't bother to update the rolls so hopefully you can add them if you want to.

The settings in M365 are not under the profile icon (avatar) it is under the gear icon ⚙️. So, as I did some testing the only time I don't see an avatar is when using Outlook desktop so I am going to make an educated guess that is where you are at. The gear is 5th item from the right (X, Square, Dash, Lightbulb, Gear). If that still does not work, I suggest trying on Outlook for the web which is what I show in my video. I happen to be in the habit of using the web app for everything because the old version of Outlook desktop was missing a few features that I use daily.

About a year ago a colleague asked how they could clean up the messages in the Activity Section of Teams. She wanted to get rid of the messages that were taken care of. At the time it was not possible to hide or remove messages. With a big sigh, she said “I was hoping for clean this up to make my zero-inbox people happy.” It was an exciting day when I realized that Teams had implemented a feature that would let my colleague get to zero inbox. Yes, we are nerds, but this video is for my fellow nerds who are happy when we see a clean activity list to start our day.

I love the zoom and pan tool for Camtasia on MS Windows PC, but this tool is NOT available for Mac. You can still zoom and pan with the custom animation control, but its not near as easy and convenient . When I used to edit on Windows PC, it went so much faster than it does now. I don't know why its not available on Mac, but I sure do miss this tool !!

@Heather Majors I am facing an issue when I delete a chat with someone, then if I write in the search box any word we used between me and the deleted chat it gives me the word and it determines with whom it was (the deleted chat) as well as the date of it! Can I overcome this, please?

So, Microsoft using the word Delete is a bit incorrect because it would indicate that the message is gone for everyone. However, what happens is when you click delete it only removes if from your screen. It still exists for the other person(s) who participated in the chat. Because the message is still on the Microsoft server it can be found in search. To go one step further, if that person sends you another message it will pop back up in your chat pane.

Hi, just to make sure we are on the same page. There can only be one person in the organizer role per meeting. That is always the person who created the meeting. The organizer can then go to meeting settings and add a co-organizer in the roles section. I tried multiple variations adding a co-organizer to a standard meeting and it was never grayed out for me. If you are the organizer, the person person has been sent an invitation, they are not a guest (meaning external to your company) it should work. The Microsoft Forums adds that permissions to create a co-organizer can be limited based on a persons role. That would have been set up by your internal IT department.

This one was inspired by a colleague getting annoyed with trying to share just one message from a chat without adding more people. Yes we wanted to share that one work thing, but not the rest of the regular snarky banter in the rest of the messages. What can I say...our default is snark.

The subscription cost is too high for most consumers. Personally I've had it with memberships, subscriptions, and in-app purchases. I go out of my way to find alternatives. Sometimes, there are good ones too like Bitwarden in place of 1Password. Adobe and Microsoft are the worst, but at least they offer standalone limited versions for now (Adobe Premiere Elements, Photo Elements, and Acrobat (Student/Teacher). The stores with their memberships or programs are plain annoying. "Free" apps that aren't even usable at all with any features without clicking past several annoying ads. It's too easy to click on buy or sub without even realizing it. It looks like there is a perpetual version of Camtasia for education, which may help some. It's not for commercial use though. Too bad. I am a long-time Snag-it user. The $8 maintenance fee is reasonable, but subscriptions may have other looking for alternatives, and there are some good ones out there for that one. I know I will go that route when the perpetual is no longer available.

The more I teach Teams, the more little tips and tricks come to mind. Half of them I do by habit without realizing it. Recently a colleague was grumbling about constantly scrolling through teams to find information in a channel. I was like, "Just pin the channel; it is so much easier." They said, " I did not know you could do that. Show me how."
