It does not, it’s separate. E5 just gives basic Planner. The cost isn’t astronomical, though, because only people creating projects need licenses - not assignees.

Thank you for this video, solved my problem exporting data to power bi. However I am experiencing an issue when changing the names of the flags as it is not updating in my output. For example, previously I called a flag colour label (cranberry )" engagement+ ready" which worked however when changing it to "engagement+" it doesn't update? Also is there a limit to the number of flags? I added a new label but it's not picking it up. Any help is much appreciated, thank you!

When you change names of flags, you can update it but it’s a total pain. First you have to update it in the array if you used the names there, run the flow to update the file, then you refresh in the query editor (this is important) and have to update it in the JSON expansion step (select the columns to expand) and if you did a “remove other columns” step update that to make sure you’re not removing it there. Premium Planner handles the flag data a lot better, you don’t need to update anything at all because they’re all stored in a data table that you can just directly pull.

Hi, when i try to send email, it send emails to all the email address that i have used as per the steps. Generally it should go to 1 person at times if an item has been added or modified in SharePoint

This flow is about using Power BI with Power Automate to send emails, if your source is a SharePoint list you probably want to just use the SharePoint triggers instead and not go through the steps in this video. But there is a for-each loop here that is looping over the recipients and sending an email per, so if yours isn't looping properly perhaps there is an issue with either the loop or the thing you're looping over? If your recipients are in a string instead of an array that could cause this behavior.

So whenever there is an update in SharePoint list i need an update, i am using a trigger " The flow is as below. When an item is created (SP)>Run a query against dataset(PBI)>ParseJSON>InitializeVariable>AppendArrayVariable>Compose>SendEmail So whenever the flow runs it send email to all the entries instead of the new/modified entry. It send 100 of emails to everyone whose email id is there in the list, i want the flow to send email to just the new entry.

Lists have a form, that's how the data is entered when a new item is created. Forms are a way for users to enter data into fields in a table. Not sure what your definition of form is. :)

I’m having trouble getting the tick to publish onto the online platform. In the app I can see subtasks with the box un ticked and the completed tasks ticked, but when I publish it, it only shows them all as boxes not ticks. I changed the unichar codes and still get the same, it doesn’t want to show the ticks for some reason!

That's strange! Try a different character maybe, just to troubleshoot? There's filled squares and circles and various other options.

Yes, but the data doesn't live in the same place and the process for getting it is a bit involved. I would only recommended it for pulling your own data or your team's data, not for an entire organization - you can't connect directly to it. Thanks! Either part 2 or part 3 has how to get the priorities (I thiiink part 2?) - they're not in the UI, but you can get them with an expression... they come through as numbers that you have to re-map to the text labels. 😅

Thank you for this detailed, thorough video! I have this set up and it’s sending multiple copies of some emails and not forwarding others. This shared inbox is for the AP department and some suppliers send invoices instead of sending the invoices to the email address for our online OCR. I also added a step where after it forwards the email it moved it to a subfolder. It moves the emails to the subfolder but if there are 30 invoices it sends 20 of them 4 - 5 times each. Any suggestions on a fix?

Are you looping on something when you send the email? It shouldn't be sending multiple copies from the get-go. I'm wondering if perhaps the moving to a subfolder action is creating a copy of the message when it moves and that's where the duplication is happening. I used the send-as for years and didn't have issues with duplicates, but I wasn't trying to move the messages. Have you tried setting a forwarding rule to move in Exchange instead of using Power Automate?

@@bi-omeHello, thank you for your quick response. I tried this two different ways. The first way as a scheduled flow where it had a recurring setting for every 10 minutes to check the shared mailbox. That flow still had the move to subfolder setting after it was forwarded figuring when it checked 10 minutes later it would forward any new emails. When that sent multiple emails I thought the recurring setting might be the problem so I deleted the flow and used the describe and design feature and it doesn’t have a recurring setting but now it still sends multiple copies of some emails but it doesn’t forward all emails but it does move all emails to the subfolder. Based on your reply I’m going to build two flows. The first will move the emails to the subfolder and the second will forward the email from the subfolder. Hopefully 🤞🏽 that takes care of it. @@rwfrench66GenX Sure! You don't even necessarily need to use Power Automate to do the forwarding and moving, what I mean is you could set a rule on the mailbox in Exchange settings. That way it doesn't have to check for the messages, it just sends it along when the subject or whatever matches a pattern.

I have tried the Workflow. It worked when I created it for a specific plan but when amended for all plans I get the following error. Are you able to advise how I can resolve please?: Flow save failed with code 'InvalidTemplate' and message 'The template validation failed: 'The inputs of template action 'For_each_Bucket' at line '1 and column '3667' cannot reference action 'List_buckets'. The action 'List_buckets' is nested in a foreach scope of multiple levels. Referencing repetition actions from outside the scope is supported only when there are no multiple levels of nesting.'.'.

Using the following flow: 1. Get Files from Folder for the PDF, 2. Launching the excel sheet, 3. Saving the excel sheet, 4. Extracting Tables from PDF. The PDf essentially has three tables two towards the top and a third in the middle. Power Automate extracts the three different tables, but i need the top two from each page removed and then the middle bottom one to extract line by line from 30 pdf pages. The top two tables all start with the same words, so those should be easy to ignore. Then the table I want has the same header and each line is number from 1, 2, 3, etc, all the way down the pages of PDF

If you're trying to extract full very-regular tables, you might try Power Query (it can use files and folders of PDFs as a source) or one of the AI OCR tools. They're better for more structured data--

@@bi-ome thanks, the data is pretty structured inside the PDF. The problem is that the invoice puts a "header" at the top with the invoice information before the lines items. However, it's not a true Adobe Header that I can remove.

@@pearltechnologyllc674 I'm not sure what the issue with having a header is - if you try Power Query or an AI tool, it should let you recognize it as a header, or if it thinks its a row (Power Query does this sometimes), you can remove the top 1 row to get rid of it usually. You get a lot of transformation options with Power Query too, to split out account IDs/fill down the rows/that sort of thing-- the technique in this video is more about how to pull out a few specific single text strings, it's not really meant for extracting full tables.

BUCKET SORT - after publishing this, it dawned on me that you might want to grab a field or two from the buckets table to sort the buckets on the order they appear in Planner. You can get this directly in tasks by expanding msdyn_projectbucket(msdyn_projectbucket) and the msdyn_displayorder field there, similar to how we pulled in the goal info. TASKS WITH CHILDREN - we do a calculation to get this in the video, but it turns out msdyn_summary true/false also identifies the same thing, so you can just use this vs PATH() hijinks. I didn't realize that was what this was about until after I compared the two columns. 😅 My guess is this should probably be used as a filter on measurement efforts to avoid double-summing effort between the parents and children e.g. Sum Effort (assignable only) = CALCULATE([Sum Effort], KEEPFILTERS(Tasks[Summary Task (has children)?] = FALSE())) Here's links to the things mentioned in the video! Great solution, thank you! However I stumbled into kind of a big problem: I dragged the measure into the matrix values separately, adjusted the coditional formatting and went on to remove the measure. Turns out it just does not allow me to remove it anymore, even after deleting the dynamic formatting again. Has anyone experienced something similar or has an idea how to fix it?

It should let you remove it... is there not an "x" over the field in the well to click? Not sure if you're using the on-visual UI or not, that one is set up a little differently.

If you’re not able to expand it properly in the query editor, it’s usually because the JSON isn’t structured right - if you miss a comma, have an extra comma, miss a double quote etc those can make the expansion not function.

Are you in the modern UI? If yes, try toggling modern off in the toolbar. It can mess with all kinds of things, it’s a bit wonky still.

Cool! It depends on what particular thing is null - if you mean something in the text of the content you're displaying, it just essentially skips putting in a value for the nulls. E.g. if you make something that counts tasks saying "you have xyz tasks", and a person has no tasks, by default it'll say "you have tasks" - there's just nothing where the number would be and it's awkward but doesn't cause the whole thing to fail. You can change that behavior by putting the logic you want for nulls into your measure that the content is drawing on - some people use +0 to force nulls to zero, or use an if statement and say if it's null, return 0 instead in the count measure.

Hi! Very helpful video, I stumbled on it because I am searching a solution for my problem. I have a report with many pages and various maps. I would like to be able to select a hexbin on a map and then apply this selection to every page of the report. I am trying with drillthrough but it is not really what I need. Any idea on how I could achieve this? Thanks!

Thanks! I don’t think there’s a good way to do what you’re asking. The best solution I can think of would be to just put the content on a single page instead of multiple - you could add bookmark “tabs” or have it scroll down to show the rest instead of going into other pages. Otherwise synced slicers or the filter pane, but I can’t think of a way to do it via a map visual without drill.

@@bi-ome Thank a lot! I hoped there was a way maybe with Power Automate to get the selection of the user in an Excel and then maybe read this Excel back to filter the rest of the model. Put everything on one page could be the solution but I would need to add a sort of page navigation. I already tried with synced slicers but the users would need to select from a list of technical values (hexbins) and this is not really ideal. I tried putting the city as a slicer and this could be a possible solution. I will try with the one page idea, thanks!

@@carlottafabris225​​⁠ You could, but you’d have to store it somewhere and direct query (Dataverse or SQL - you can’t direct query Excel) it I think - like get the latest entry in the table for the given user and use that in the slicer. 7/10 jank level haha. I’m not sure that would necessarily work either, they might need to refresh the page or something iirc…

I am having issue on the conditional formatting for taskDue and TaskStatus, I can only see "Count of" instead of "First" value as option can you help me please

Make sure you have the right field selected in the conditional formatting menu - it doesn't always default to the field that you are accessing via the menu. It should always give you different summarization options in the dropdown on the right unless you have a measure or calculated column selected instead.

When adding milestones on this Gantt the bar completely disappear :( Anyone knows how to overcome that? I tested several other Gantt chart available but the only one that let's me properly configure it is a paid version.

For example, I have a start/end dates which need to be used for the bar, however I also want to see a mark on the "forecasted start date" and "request date", so that our response time and the amount of short notice requests to be easily understood. Anything for this? :)

@@NunoFerreira-w5m I would just drop it into the tooltip to show it on hover. I honestly don't know of a Gantt that will let you add extra fields to the display outside of the tooltips without coding (you could add code to the Bacci Deneb template to do it)... best I can think of is to maybe concatenate it into the existing text that's shown otherwise.

I have one problem I can't seem to resolve here and unable to find a clear answer online... upon loading the downloaded JSON file from Sharepoint to PowerBI, I get an error that "We have found an unexpected character in the JSON input." Any advice on how to move past this? Thank you!

Thanks!! You probably have a typo or missed/extra comma/quotation somewhere in one of the arrays in Power Automate. That will invalidate the JSON and it won’t be able to expand-

This is some fantastic underrated content, i gladly subbed to this, been following this guide, i do have on question, regarding this is there a way to pull all the notes from planner aswell, i'm trying to find a way to pull all the notes places under a task to have them saved under a single spot for that entire task so humans can find the notes in one spot

Hi Christine, great video! In the Tasks query, each tasks is duplicated 6 times. When I go to the model view I can’t edit the relationships between the 4 queries. Do you know how to fix that?

Thanks! Are the tasks duplicated in the JSON, or just in Power BI? If it's in the JSON, then there is an issue with your loops/arrays in Power Automate. If it's only in Power BI, then you expanded one of the multivalue fields there instead of in its own table (e.g. Assignees - that's why we duplicate the query and expand those separately from tasks). You should be able to edit the relationships, if they got auto-created you can delete them and start over - there's a button to get to a real UI for it in the toolbar. It won't let you have more than one active relationship between two tables at the same time, which if you're trying to add a relationship and one already exists might make it appear like it's not letting you edit?

Yeah, I went in and looked at the code - if you search on the word "sort" in the JSON, there's two sorts... one for the tasks and one for the groupings. You want the second one in the code - they look exactly the same so make sure you edit the right one (if it says taskSort you're in the wrong place). Just change the word "start" in the code to the field you want to sort by. It has to be something data-based. I have same question/issue, emails are sent from shared mailbox but I have a copy in my individual mailbox Sent items... can this be changed to have sent mails stored in shared mailbox Sent Items only?

Hi Christine, my flow works well but is not updating the json file I set whenever I test it 😢😢 would you have any idea how to troubleshoot this?

It says its successful, but it does not create the file. It was working well last week but i dont know what happened why its not creating the file anymore

Where are you noticing that it's not overwriting? Is the last-modified date in SharePoint not updating, or is it stale in PBI? If you check the flow history, it should show you exactly what it's doing for each step, so you can make sure that the step that composes the data array actually has updated data in it, and check that that is going into the file, and check where the file is going. Make sure you have "chunking" enabled for the create file, that's what allows the overwrite of the file. Also make sure you've refreshed it in Power BI desktop if that's where you're using it right now, both the query editor and the desktop app won't refresh unless you use the associated refresh button (the query editor loves to cache the data so it's normal for it to look stale unless you refresh there too). Once you publish you can schedule refresh. Sorry if this is old news, it's hard to tell what people's experience level is through comments. :)

@@bi-ome i have enabled "chunking" for the create function, but json file is not being updated everytime i manually run the flow or when the flow is scheduled to run. i tried to revise the folder location but its not creating a file now for some reason 🥲🥲

@@pumbaaable Does that step have an output when you look at the flow history? It should show you exactly what it's doing there, if anything.

@@bi-ome Yes. I have compared the outputs from the dates it successfully updated the file and when it did not. Seems the same to me. One guess I have is that i have exceeded the limit for a free license 😅 so its not creating the output file anymore. I have noticed also that the output of my file contains duplicates of the same task 13 times 😅 is this normal? I think reducing it to no duplicates can potentially help in not exceeding the limit. Thanks!

Hello Christine, thank you for all your helpful tutorials. I have a question, how can I get the name of the person who completed the task? Especially when the task is assigned to multiple persons I want to see in the power bi report who completed the task. Thank you!

That info isn't in the outputs for the list tasks or get task details steps, it only has created by, assigned by, and assigned-to user IDs. I don't see it in the API documentation, either, so I don't think it's accessible to us.

@@DariaOrlea Oh you know what, you're right - this is another one of those that doesn't show up at all in the UI. I was doing a search on outputs and didn't see it, I think because the plan I was looking at didn't have any completed tasks? I was able to get the completed-by user ID with the expression items('Apply_to_each')?['completedBy']?['user']?['id'] - you can feed that to the get user profile to get their name/email. Their display name seems to always be null.

@@lucavlad5669 I haven't made a flow modification for it, I will put it on my list to do. I just fiddled with a compose action until I got the ID reference right. It'd be handled similar to the assignees, but without a loop since there's only one value.
