@@LessonsUnlocked Looking for a base that can track our shop's expenses in category like shop and cafe, the tricky part is to have it grouped by week (Monday - Sunday) and by Quater. Is that too specific?

Not too specific at all, my initial recommendation is to create a separate table that outlines your weeks as a record with another column for which quarter that week belongs to. For example, Week 1 is the record with start and end dates as columns then a column with quarters and assign Q1 to it. After you create the table, link it to your expenses and then do a lookup and pull the quarter after assigning the week the expense belongs to. From there you should have the data points to group the records in a view by quarter and by weeks. Hope that make sense, I know that was a detailed response 😂, I’ll see if I can make a video on it…

Thank you for watching! To answer your question you can have one workspace with many bases, so it’s a one to many relationship. You can move as many bases into a workspace and can move bases across different workspaces if you wish. Hope that helps! 😊

Well explained ! I'm sure Airtable can be used as database for Microsoft Flight Simulator 2020. Need to oragnize all my purchases, aircrafts, airports, sceneries, add-ons. Aircrafts information needs to broken to type, jet, piston, prop, turbo prop...vendor for purchase. You get the idea :) It has become messy to find and know what I've got, and where I bought it. I'm sure Airtable can accomodate for all this.

It certainly sounds like it can, the information can be organized in a table with all those attributes and linked to all your purchases, definitely doable 😊

@@LessonsUnlocked Thx for quick reply ! Guess what, I went back to good old Microsoft Access 2010 :) I discovered that AirTable for iOS limited, for example Formulas missing. It became too hard to follow tutorials from KZbin :( Tried briefly Windows version but didn’t quite like it. I’ve worked a lot with MS Access 2010, even if it’s old, still works fine !

Ah yes, if you’re looking for more customization and advanced formulas, that’s not really Airtable‘s place. MS Access is a bit more advance but less user friendly for most people since you actually have to create your own tables, entities, relationships, SQL queries and etc. Everyone’s use case will be different but if you need more custom or advance database needs, MS Access pretty much does the job, the learning curve is steep though but glad you found something that works for you!

@@LessonsUnlocked Even if Access 2010 is old, probably not longer supported, it suits me perfectly :) In my ICT days 15 years ago, I designed Access for consumable inventory, stocktake, purchase and “sales”. Not really sales, it was supplying the users with consumables. It was quite fun, keep track of everything and produce reports per department when needed.

Hi, is there a way to add multiple team members to one task? Do you have a specific video for that? Thanks AirTable

Hi Tracy, there are two ways that I know of, one is creating a Collaborator field type (assuming your team members are Airtable users) and the second option is to create a Team table with the list of your team members. If you create a Team table you'll need to link it to the Task table and 'Allow linking to multiple records' which should allow you to select multiple team members. With that said, it really depends on how you plan on reporting task status, there are limitations to this method, if you are simply tracking who is doing what then these two options should accomplish that. Hi Andrea! Thanks for leaving a comment! I appreciate the feedback, I would say a template is always a good start and you can modify as you go. Once you learn the ropes you can create one from scratch. You can capture quotes in any of the field formats that allows short or long text, I would recommend the latter. You can always leverage input forms to capture this data or attach external documents containing feedback or quotes to a record or link it directly to a person if you like . Really good tutorial thanks. We have a table set up which has several fields. We need to send a few of the fields to our finance team which we have worked out how to group but the key thing is to isolate the data by month. We can see that you can filter dates but not by actual month it would appear? We don't want past month as that can cross over 2 months(14th Jan-14th Feb). I would have thought that if you picked within these dates you could use a calendar to select say 1/1/22-31/1/22? Any help would be appreciated, driving me a bit mad. Thanks

Hi Nick, you'll need to use a formula to extract the month from the date itself. Create a separate field using this formula - DATETIME_FORMAT({date}, 'MMMM YYYY') - replace the {date} with the field name you are using for the date. If you don't need the year, remove the YYYY. After you pull the month name itself, you can easily group the data by month. Hope that helps!

I run a business that is dependent upon the amount of hours my employees put toward a project. For example, if I have a project titled 2021 company a, I would like to know how much time is attached to that job. I imagine that this would include permissions for my employees to enter their hours and tasks. I would need to measure their costs for each job, which entails measuring the amount of time.

Hi Jason, thanks for leaving a comment. It really depends on whether the employee tasks are standardized or not. If they are, I can be as simple as creating an input form the employees can fill out, select a project, select the tasks and add hours to it. This approach will not require access to the Airtable base, just the input form itself. However, if we’re talking about estimating a project and creating tasks that are not standardized and can be anything, then yes, they’ll need to learn how to input those into a plan that is structured in the base. However that runs into a risk of data integrity. Another approach would be for them to fill out a spreadsheet which you can then import it into Airtable which then they can input hours through an input form. With all that said, there are many different ways to approach this but it’s a bit difficult without knowing all the details. But hopefully some of those ideas may help. What if you have unique tasks that are specific to a stage of a project, can that all be in one base and how do you link them together?

It really depends on your use case, so without knowing much about what you're trying to achieve, you can simply have a table that acts like your Task Library and in your main project table you can have a drop down field listing all the phases. After that, you can link the project table to the task table and select the specific task you want. You can then group the project table by project ID and then by phase in a single view. Honestly, it's hard to explain via messages but that would essentially get you to the view you need. However, if you're looking for something more robust that automates task creation based on a project template, that's a different level of complexity that requires automated scripts. Not sure if that helps but short answer is yes, you can have unique tasks tied to specific stages of a project in one base.

@@LessonsUnlocked Ok So to give an update I basically have it setup as follows; "Projects > "Stages > Tasks > Subtasks"... Basically For a Project I have many stages mainly A,B,C so on and so forth kinda like in Production for a film, Then within those Stages, There are Tasks that I have to complete, and within those Tasks there are sub-tasks; detailed tasks that are used to help complete the main tasks... Apologizes in advance if it seems confusing, I'm trying to improve my planning so I can improve my life and organization on projects. LoL

@@visualsound2489 ah ok, honestly you may be better off using a project management tool like Asana vs building a custom solution with Airtable. Airtable is essentially a data driven solution that can be used for project management up to a certain degree. When you’re talking about sub tasks and etc., you’ll need something more robust of the primary goal is to manage projects and tasks. There are dedicated tools like Asana that does that as well as some equivalent tools that competes with them.

@@visualsound2489 Asana should be free up to 15 team members from what I recall, There’s another one I’ve used as well which is Monday.com but it’s only free up to 2 members. Clickup is another one I got some exposure to on a client project but haven’t personally used it deeply. I believe that has a free personal account as well.

I’m trying to create a price sheet for my services that I’m offering for my swim business. How will I be able to link the pricing rates and the packaged deals it’s 2 separate tables ? I’ve tried linking and it doesn’t work. I essentially want to have this work as a form that I can send out for my clients to pick which package they want. Will really appreciate your help with this. Can I create table form to automatically count the number of times barcode scanned each time I scan my barcode and also automatically group the scanned item according to the types of item?

I’m not familiar with how scanning barcodes integrate with Airtable but assuming barcodes are unique IDs you can create a transaction table that has their own unique ID per scan and associate it with a barcode, from there you can group and track the number of times it was scanned. But again, I’m not sure how barcode scanning integrates with Airtable to automate the input of that transaction. Something needs to input the data, normally online you can use Zapier automation, but barcode scanning I’m not sure...

That sounds like an embedded survey which you can build using Airtable and add it to your website for them to fill it out. I assume that’s what you are trying to do? It’s an input form you need to create and then go to the share form option which will provide you an embed link for your website.

Great question! It depends on your use case but it can be versatile when you can leverage relational database features with built in views and support attachments, notes, record logs, and layer automation and applications on top. Plus you can embed custom input forms to collect data directly into your database. It’ll give you more versatility and it’s cloud base so you can access through an app or browser. So it really depends on what you’re using it for 😊, I love excel but like any other platform or software, it’ll have its limitations

@@LessonsUnlocked thanks for the reply! We’re looking for a tool to monitor and coordinate our activities in schools. We currently work with google, docs, sheets, forms and Asana. We were told Airtable could potentially be an all in one for us and maybe more…your thoughts?

Without knowing the type of data you’re managing and how you’re using each tool, from the sound of it, Airtable can address a lot of those formats as well as project management and organization similar to Asana, I would say try Airtable out and see if you can replicate everything before really thinking about fully converting over to make sure it meets your needs.

It depends what level of access you want to give them, you should see an option for “share view” for a specific view in the table and at the top right corner you’ll see an option to share which gives you the choice between sharing an entire workspace or the entire base itself.
