How Categories work with Products and Services using QuickBooks Online

I was really hoping there was a cleaner way to hide items or categories of items for certain users in estimates and invoices. Our sales team is overwhelmed with the amount of items we have in QB. We are a portable building manufacturer who also sells retail parts, lumber and makes custom roofing trim. It's a LOT to sort through. It would be great if you could quickly filter by category in invoices too. Perhaps we need a POS.

Bit disappointed with QB products and services selection using categories. I was hoping upon pressing product selection upon creating invoice it would first show catagory name then when click then show all products or services under that catagory that can be clicked.

Hi Question not about this but have you done or seen a good video which explains setting up inventory for a Used car dealer where the inventory is purchased from and auction and resold. I need a better explanation to use either Expense or Bill. As all the "Products" are different it can become huge if one uses this to create inventory. Hope this is understandable.

I have a question for you. I have a small KZbin channel and I am trying to set up income categories that make sense. quickbooks wants me to put all of my revenue in as if I am selling a product. I don't sell any products, or offer any services. All of my revenue is from KZbin ads and affiliate sales. Should I classify all of my revenue as a service since I am selling advertising space on my channel?

We have 2 scenarios and it depends on how rich you want your reporting. Option A - don't use the products/services and add the sales according to your chart of account. You can create a new income account for KZbin and another for affiliate income. Then when they hit your bank you just code according. Option 2 - Create new service items that are mapped to youtube and affiliate and then create sales receipts for each deposit. If you do option 2 you would have the ability to run sales reports by product/service.

@@SteveChase1 The problem I'm having is that QuickBooks Will not let me classify it in a way that makes sense to me. I can't choose to create a main category simply called revenue. I can only create revenue subcategories under either sales or other income. I don't sell anything. I don't have any inventory. I don't have any customers. I put content on the web and I hope people click on things. Is this just like an accounting convention where I have to call all of my revenue sales, or is that a quick books thing where they're forcing me to call it sales?

@@DIYAudioGuy Oh, I see what you are talking about now as they just introduced this new feature. Wondering if you can get around this by clicking the gear icon then select Switch to Accountant view. After that see if you can go to the chart of accounts to create the new income accounts to your liking.

@@SteveChase1 thank you very much! It's still forcing me to categorize under the sales main category. But at least I now have the ability to customize into a miscellaneous category under sales. Now I need to figure out how to move my miscategorized revenue.

@@DIYAudioGuy If you can add an accountant user to your QBO, then they would have the ability to do batch reclass in just a small amount of time rather than one by one.
