Thanks Hope! I am not a wedding photographer, but an underwater portrait photographer. I absolutely agree with your approach here. Traveling for my underwater portrait work is definitely something I want to do more of as my children get a little older. So I have taken advantage of a couple of opportunities to do travel shoots at very little (or no) profit for the portfolio building AND experience of the travel. Two were to cities where family or close friends live - I was traveling with my kids already and was able to leave then with my sister or bestie while I did the low profit shoots. The other was a chance to travel to Cuba for a week. It has been a dream destination for years. The fees I was paid didn't quite cover my expenses, but I was able to spend a week on a dream trip, participate in an amazing retreat, and collect some incredible images for my portfolio. I think the key with something like that is to make sure you are clear with expectations. We were able to set it up in a way where everyone won. I only worked a couple hours each day, so I was really able to enjoy the week, while also capturing the branding images needed. But it was a trip I wouldn't have been able to go on otherwise. And it was a dream!!

Great breakdown, thank you! I'm curious however if you get any backlash from your clients when you ask for direct reimbursement for expenses - do they want you to pick the cheapest hotel, the cheapest airlines, etc? Or do you ever get clients who alternatively want you to splurge on business class? (I would accept this in lieu of a tip! haha)

Another hidden fee is car rental fee once you land so you can get from airport to venue, etc. Also, resort fees, tips for baggage and if the venue requires valet. My dream wedding happened a few years ago. They paid for me to stay 8 days in Hawaii. 😍😍😍 So thankful for the experience!

Hmm I like this but I actually have an option 4. It may not work for wedding photographers unless you enjoy shooting both Saturday and Sunday but it can definitely work for on location portrait photographers. Let's say I am shooting for my client on Saturday and they can give me a referral for another customer in their location for a Sunday shoot and that second potential customer actual does book me and enter into a contract I would consider give them a break on some or all of the travel fees (50% reduction on travel fees if they refer one client within a week of their shoot that pans out and full break on travel fees if they find me two or more clients in their area, for example if their wedding was on a Saturday and they referred me someone who was getting married the week after and then a mid week elopement in between) since they helped me land another paying client or job in their area that can be done as part of the same trip or simply by extending the trip a day or two and the extra money they helped bring in with the extra jobs is more than the cost to me of the travel. This is something I alway offer to clients I have to travel for if I have space in my schedule to stay at the location for extra days.
