Notion doesn't provide us with a way to handle recurring tasks natively inside the Notion app. However, using the Notion API, we can create our own solution to automatically handle recurring tasks!
This tutorial will show you how to implement recurring tasks in Notion using my Ultimate Tasks template as an example. Then, I'll show you how to automate the processing of those tasks (un-checking the Done checkbox & moving the due date) using two tools - Make.com (formerly Integromat) and Automate.io.

UPDATE: My team and I have built an even easier solution for this: thomasjfrank.com/notion-automated-recurring-tasks/ The new solution uses Pipedream instead of Make, which comes with several benefits: - Pipedream is free, and the free account has far fewer limitations than Make's - The blog post linked above has a Pipedream template that you can simply copy into your own Pipedream account. This is much, much faster than building the Make workflow from scratch.

Thanks for the reply @ThomasFrankExplains ! Been looking into automation videos and your explanation is a lot better then other resources out here. Do you also have a solution to duplicate databases? Been struggling to find a solution to easily duplicate a full page with content (like a product wiki) into another database. They have more body then tasks :x

Amazing, thank you! I've added this to my UB database. My biggest con for Ultimate Tasks and UB was that I can't recur automatically, but after this is done, I think this is probably the best productivity system on the internet.

Impressive effort to bring recurring tasks to Notion! However, for beginners, survey on alternatives could also make life easier. The root issue with Notion is the lack of general automation to support recurring operations on Notion constructs (not limited to database). Coda instead got automation built-in without the need for external integration, not to mention more natural table or database relations. Nonetheless, it is appreciated to see both compete head-to-head with each other.

Thanks very much for creating a very clear guide Thomas, on the use of these workflow automation platforms with Notion. It's been a pretty big disappointment for me thus far, after the huge excitement of the Notion API's release, that features like what you've described would actually be quite impenetrable for novices to figure out, and would end up becoming quite costly to run too. After all of this time, I feel you've made the first, genuinely useful video to reap the benefits we were all promised, and get it to be free too - kudos.

This works great!! i've been using this setup for about a week and its running smoothly. I had 1 issue with the UTC offset. you have to make sure you use the non-DST offset, for me in Chicago, that was -6. I started using -5 and it pushing the daily an extra day out. I figured it out after re-reading the instructions 😀

@@minewtk in Notion in the "UTC Offset" field. You might check your user settings in Make to ensure its all on your timezone. I think it was like Denver by default.

Thank you so much for the template and for the tutorial on Make. I was able to improve the ultimate tasks and the Make workflow to keep the start time and end time of a task. The only thing left to try to solve is how to keep the reminders after updating the task

Indeed! I'm thinking a habit tracker would need to actually create new rows and do some more advanced tracking, since it needs to keep a streak tally. We're going to be looking into an automation-driven habit tracking template at some point in the near future.

I was just looking at your recurring task wikia and can't wait for this video to come up and right at this minute it did! I love your template so far, I wanted notion to act like a personal assistance and this is exactly what I need! Can you also teach how I can replicate a google calendar type of scheduling in notion using the All Task database? Meaning I want to dump my task into All Task and from All Task I can see in like a google calendar format what tasks I have today with the hours at the left side.

I have a question about the "next due" formula and the need to add the "UTC offset" property in the table as it is a formula returning only the number "0" (from what I can see from your template), coudn't we simplify the formula or does it serve another purpose? @@joaoarthurbandeira in all the bits where you add the dates, add the format with times, too, something like yyyy/mm/dad/hh/mm but I don’t recall the precise format although it was one of the suggested formats on Make

Hi Thomas, or anyone who happens to be reading this, I had a question about setting up a Make scenario to integrate a version of this into my tasks database in Notion. In the blog post version of this tutorial there's a line that says "Instead of editing the task you checked off, it could create a duplicate of that task with the new due date." I'd rather set it up this way if possible, that way I can look back at my completed tasks and they will still be there. Is there a way to set up duplicating the page like this in make? If so, how would you set that up? Any help is appreciated, thanks so much!

Hi ! Thank you for this channel ! This is helping me for a lot of things for work and for private life. I have a question. If the automation is done correctly, are the tasks supposed to be positioned in the right way in the calendar view? In my case, a task with a first deadline that has passed, ends up with a new deadline. So far so good. It even appears in the list of tasks for "today", "tomorrow" and the "next seven days"! But, it doesn't appear anywhere in the calendar view.

Thanks a lot for this video, it is amazing !! BUT I have question : When I automate a task to repeat every week for example, at midnight the program runs and our task is updated but she disappeared from yesterday tasks. So, I can't keep track of my progress week after week and I would like to know how to fix that. So more simply, as up this date the program moves the task from today to next week if this task as been done. And I would like to leave this task in today ans duplicate it for the next week so that I can still see that I have done this task today. I hope that I am clear, thank you for anyone that can help me.

Thank you for sharing this tutorial and the template. I find it very useful:) But I have one quick question. I followed the instructions on setting up the recurring task and place in the recurring interval and so forth, where it shows the next recurring date. However, I am wondering why the tick box does not appear in my calendar view? Is there a need to change the setting somewhere?

Hi Thomas ! I have a question about what you explain at the 7:30 mark. When I do it myself on my notion and as soon as I add week days to the "Days (Only if Set to 1 Day(s))" property, it puts me on a Due Date of September 28, 1998. I don't know why...although living in Switzerland I did change my UTC offset to +1. Thanks for your help!

We haven't tested this method, but you'd probably use a similar setup to what I do in this video except you'd create a new db item instead of updating the old one. Then you'd pass relevant properties from the old one - in the case of a task in Ultimate Tasks, you'd pass the Task Name, Kanban State, Priority, and then pass the formatted Next Due date to the Due property.

Sweet! One thing I’ll note is that if you’re using Ultimate Tasks, all the views are sorted by some of the properties set up to handle sub-tasks. If you delete those properties, I ~think~ everything should still work, but you might want to check the Sorts anyway

Join the waitlist and be the first to know when it launches: thomasjfrank.com/brain/ --- For people asking why Notion hasn't included recurring tasks natively yet, here's a bit of context. Other productivity apps are completely purpose-built; the programmers create features, and you use them. Notion has a different approach; for the most part, they give us building blocks to make our own tools. This means that certain things which would be trivial to create in a purpose-built tool (Todoist, Asana, etc), are really, really hard to create in Notion - because the design challenge is completely different. For Notion, the challenge wouldn't be simply "add recurring tasks", it would be a much broader, "Allow writeable properties to automatically be changed by other properties." Right now, properties are either directly writeable (such as dates, text, numbers, etc) or they're read-only (Formulas, Rollups) and they change based on how other properties affect them (e.g. a Formula pulling in a date from a Date property). So making this change would be one of the single largest updates to Notion, ever. This is the trade-off in software - hitting a combination of customizability and user-friendliness is immensely hard. It's why website builders were so bad for so long (some of you will remember Macromedia Dreamweaver 2004 and shudder with me).

I would have you consider using Obsidian instead for anything second-brain-related. Notion does not have Offline functionality just yet, this means that all of your data are stored in the cloud and if anything happens to it, you might not get access to your precious data. I see Notion as a management app than anything, really. Excellent for managing and viewing tasks, projects, but not ideal for storing long-term information.

Thanks for such a great video. I am currently just using the "manual" method of changing the due date to "Next Due," but I'm struggling to figure out a way to include a few of my tasks. For example, I have a task that occurs on the 1st and 3rd Saturday of every month. I was wondering if this would be possible with the current setup, or would the code need to be modified. Thanks!

I believe the code would need to be modified; however, doing so would likely be quite difficult. The current Next Due formula took my developer Martin almost 2 months to do. Likely the best option would be to add a new property that extends Next Due. For example, you could create a property called "Odd Recurrences", which might contain choices like "1st and 3rd Saturday of Each Month". Then, you'd create an alternative to Next Due - maybe call it Next Due Extended. If Odd Recurrences has a selection, Next Due Extended would take the date from Next Due and modify it further. This would likely still be quite complex to pull off, but it's better than trying to add directly to Next Due. We've found that adding any more code to Next Due makes the formula so long that it degrades Notion performance.

If I need this to happen without me checking done (I want to repeat a weekly menu on a 9 week basis), can I make a first automation that checks my done box if the date equals today? Or make an "if date equals today change the date to..."? (I saw your comment that the automation is not working, but also saw others who have made it work after that date. Is the error sorted?)

Awesome video, Thomas! Now that you spoke about recurring tasks, I'm wondering if there is a way to make a task recur a specific number of times (or until a specfic date), is there a way to make this happen without much complexity?

This could be done with a bit of added complexity. My first thought would be a "recur until" date property. Then you could compare Next Due with that property during the bot's runtime, and only proceed if the recur until property was later than Next Due. If it doesn't, the task would stay checked off for good.

Hey Thomas, thanks for the video. It's amazing. I am facing a problem 14:10 when you search for the "top item" in the database, the drop-down menu didn't show up. Will it be a problem? I am using Mac with Brave browser. I anyone else can help, I will be greatly appreciated it.

Hmm - are you using an ad-blocker at all? Brave runs on Chromium, so the browser itself shouldn't be an issue here. If that's not the issue, try disabling any other extensions, and as a last resort I'd reach out to Make.com support.

Hello and thank you for the clear video. One question about recurring tasks. If I have for example a task which is twice a week, like Mondays and Wednesdays, in the Task Calendar view for the month I see only the next date. I would expect to see all future tasks. Thank you Elisheva

Yep, this is because our solution only moves the task's Due date forward to the next interval once you've finished it. It is the "task manager" way to do recurring tasks, not the "digital calendar" way. To see the event multiple times on your calendar, you'd need to change the automation so that it copies the recurring tasks and creates new rows with the same information, except a different due date. The way apps like Google Calendar do it is actually more interesting than that - you'll noticed that you can click into a recurring event anywhere, and change its details, description, location - and that'll update it across all instances. So that tells me Google Calendar actually has a single event record in its database, but with many date properties. It's actually impossible to do that with Notion - you can only set a Calendar view to "Calendar By" a single Date property, and each record can only have one date set on that Date property.

Thank you for this awesome tutorial! Recurring tasks is a very important thing for me, but Inam looking for a solution not to lose the old task. For example I have a task like „monthly summary“ where I want to write some things down every month inside the task. This should be done every month and I don’t want to lose the task which I already did. Your solution here unchecks the done box and sets a new due date, so it is always the same task. I would find it very helpful if make could copy the task on the interval and then I could fill in all necessary data. What do you think of that? LG, Thomas

Some of my task in another time zone and for that I had to use that reminder option. so when it automate recreate my tase i hate to change the time zone every single time. is there any way it automate the time zone too. On your tutorial you mentioned to look for the three items but I don't have recur unit, days. I think you mentioned you updated this product...how do I update it or get those two missing items? Unfortunately no; it was developed with the overdue logic from the start. I wish I could just edit it and give you a version that doesn't contain that logic, but the formula is EXTREMELY complex. I still don't fully understand it, as it took my developer Martin 2 months of full-time work to build. Perhaps I'll be able to release a version of the formula without overdue logic in the future, but currently Martin has a few other big projects on his plate.

Hi! Is there any way to create recurring tasks that populate a new page in the future? So instead of changing the date on the same task, I could click 'done' or change the status to 'complete' and then it would somehow magically populate a blank duplicate of the task (maybe a template) for the future? I know things are changing all the time so thought I'd ask. Thanks!

You can do this, but it requires setting up your automation in a different way. In short, you'd pull the details from the completed task just like you do in this tutorial. But then, instead of updating the original page with new details, you create a new page with the modified details. This may be possible with Make, but it's definitely possible with some JavaScript. I followed this tutorial and checked the Ultimate Tasks (Latest Updates) on the website and it's making my Notion setup extremely slow(my database has 94 tasks). Every operation is taking 5-7 seconds to perform making it a painful user experience. Any suggestions on the optimizations?

At 12:45, you switched from a "Table" view to the "All tasks" view, to get the database ID, but is that really required? Won't the database ID remain the same for all the views, and only the view ID (?v=) be the value that changes?

This is near perfect for what I am doing with it. After fully implementing I am currently facing two challenges. I'm not sure exactly when but starting with either 10 or 11 PM MST. When a task rolls over it skips a day. For example a task due on 4/8/22, if marked Done, and if processed by make, will set the new Due date to 4/10. My understanding is that Make is taking the value of the Next Due column, and setting it to the Due column. However in my case, the Next Due read 4/9, but the Due was still updated to 4/11 rather than 4/10. I'd love to understand why the value being set isn't what is being displayed in notion. I'm also open to any creative ideas to remedy this either on the Notion side, or the Make side.

My developer and I were made aware of this issue yesterday and spent hours trying to get to the bottom of it. Turns out that no matter what timezone you specify in your Make.com settings, Make "sees" your Notion workspace from the perspective of UTC time. This throws all sorts of problems our way that we're now trying to solve. Updates will be coming soon!

Hey, I keep looking for an updated version of your Ultimate Task template but the only one available is the one dated Dec 8, 2021 (I would expect to see a version around 3/17/22). Am I missing something or does that date shown in the "Changelog" at the bottom of the Template not get updated? I just want to make sure I am using the most recent version. Do you have a Due property in your target database? That error indicates that Make can’t find a property with that name.

Is there any way you can show us how to duplicate the tasks so there is some record of tasks done over time? Is it that much more of a leapt to duplicate rather thatn just update? Make seems a bit too complicated for me to figure it out, although I played with it some. Even just pointing me in the right direction would be greatly appreciated!
