How to Remove Line Breaks or Hard Returns in Microsoft Word Documents

In this Microsoft Word tutorial, I'm going to teach you how to remove line breaks or hard returns from Microsoft Word documents. It happens all the time. Someone sends you a text file or an email, and you want to edit it in Microsoft Word, but when you copy it over, the lines are all cut off. They either pressed ENTER at the end of each line (which is a no-no) or their software did it automatically. Let's see how to fix it.

Thanks for this. When I need to search for hard line breaks I like to search for the end of paragraph and a bullet. Then I just go back and get rid of the bullet. Easy-peasy.

Sometimes a paragraph doesn't end with two line breaks, but with one line break plus indentation for the next paragraph, in which case you need to search and replace a little differently. It helps if the format is uniform throughout the document; e.g. an indentation is always a tab, or 5 spaces, etc., making search-and-replace easier. Also, Word needs a built-in feature for this, because I've had to do this countless times myself. Or we could a write a custom procedure with Word VBA to automate this, which would make a good extended cut.

Hi Richard, this is nice, thanks. I have one query and its just the opposite, if you can tell me it will be very helpful. I have a lots of paragraphs and I want to insert a (a hard return) paragraph break or a soft return after exactly 5 words, I mean, the 6th word should start in a new paragraph, how can I do it using find and replace ? I do not know what syntax to put in "find next" so it finds (or so that the cursor goes to the beginning of the 6th word) I do understand that in replace with I will have to enter ^p but my confusion is what should I enter in Find what box to do the above. I know < and right moves the cursor to the beginning of the next word. Thanks
