Excel Spreadsheet -- returns are relisted the day received back. Canceled orders that did not mail are re-listed immediately upon cancellation confirmation by eBay. Inventory is checked every 2 months or sooner for listing update or to just make sure the item is listed. New inventory is listed the same day/week received from whatever source acquired from. Each item is photographed or scanned and any imperfect items are listed separately with their own photos and description.

Hey there friend! Id list them as new/Open box or new with defects. Make a generalized note in the conditions section and ask the buyers to review pics closely. You could also put the word 'read' in the listing title and that will give the buyer a heads up that there's something wrong. By all means, don't be crazy making separate listings, unless they're worth 100s of dollars each and then I'd be a little more specific with each one. I've been selling 20 years, have 8500 listings, and don't sell a fraction of what you do, but that being said, "poofing" of listings has been going on from the beginning of my selling career, which at first as just a few hundred items. There were many discussions on the ebay boards over the years about it. Ebay has always denied it happens. Sometimes I notice a bunch of similar items disappear that were listed at once, like a tote of clothing, listed several months, suddenly has most pieces missing from my active listings. I pulled a bin of 25 items one day because I was wondering about some of them not selling. 13 were no longer listed. I don't have time to go through hundreds of totes and check things one by one. It's beyond frustrating. I also have had multi-quantity things adjust the quantity incorrectly when one sells.

Vanishing eBay listings is a real for all customers, if one wishes to reduce the probability (never to zero) then add a workflow to inventory one shelf or drawer of items each day, carrying your phone, search your active listings, if the item in your hand is missing from eBay active listings, then place that item on your listing table, and move on, it takes less than 10 minutes a day, on average

Inventory struggles are real! I've been picking one bin or shelf weekly to audit my inventory. If it's missing, I list it, or if it's old, I end the listing and create a new one. I learned from another reseller that creating a new listing instead of ending/relisting "tricks" the algorithm. Seems to be working well so far because I've sold things that have been listed for a long time within a few days of posting the new listing.

When I list funkos, box condition is very important to a buyer, I take many pics of the box, every angle. So I would recommend taking photos of EVERY box. It might take way longer to sell if you’re selling funkos without that. Collectors don’t like mystery box condition, lol

Yep ! Not only does Ebay delete entire listings but they delete quantity , shipping and price which we can't even post a listing without that filled in so I know it's them.

I waited until I had a helper, and picked a 'shelf' or 'box' and we went through each one, pulling items we couldn't find listed. Then I used multiple search terms to triple check before re-listing, (because ebay's search function is so poor that items I know are listed don't always show up when searching MY OWN store). Not taking any chances to duplicate items that I only have one of, lol. I now am using Flipwise and it's so much easier to keep track of everything.
