For the most part, making cakes is so much fun! I am so grateful for my customers, many who have become good friends of mine. But, unfortunately, sometimes customers can be a headache. After 20 years of making cakes, I've seen a lot. And in this video, I'm going to go over 10 different types of difficult customers I have encountered, how I handled the situations, and what I put in place to make sure it doesn't happen again!

I started cakes about 2 years ago. Your videos are great. I love making cakes but customers are my stresser. There is always that one person who will have something negative to say. For example everyone will be super happy with the cake but that one person that says oh its dry. 🥴 I try to remember that some people are just mean. Or the people who make ordering the cake a nightmare. Like asking"How many does this feed" 20 times. Instead of telling me how many people they needed it for. Or changing their mind 10 times. I'm not where you are with rules🙈

Girl, I so ❤ you!!! Family members are the worst- you know the family discount, uh NO. This business takes time and a lot of preparation. Thanks for the situations! When people fall into those brackets you discussed, I literally listen to my husband on a cussing rant about my time mostly because people don’t get it. I love this business and I’m learning more and more everyday and I love it!! You are my fave❤

Friends and family, it's difficult because they expect it. But I find that if you give options that they will get the point! (I'll give you free cupcakes, or a simple cake for $100 or a detailed cake for $300, for example)

Hey Karolyn, when you turn down cakes or give people back their deposit do they ever give you bad reviews? Do you have any bad reviews? I get worried all the time about that starting a new business that they paint me in a corner.

I'm sure I have some bad reviews, although I haven't really searched to see them. Just remember this...you can't worry about negative feedback because you'll never grow. It hurts, yes. However, you can learn from it and move on. Same goes for me and my channel. I know I'm not everyone's cup of tea. I've gotten some negative comments but I don't harp on them.

Omg I could have done this video myself! So relatable!!! My biggest issue is the fact that I do everything alone, sometimes I get overwhelmed with requests and inquiries and don’t have the chance to get to every message in a timely fashion, because I’m shopping, ordering supplies, baking, taking inventory, baking, making fondant figures, etc and maybe sometimes trying to eat, sleep, and walk my dog!! How do you deal with people that hound you for an answer? There are only so many hours in a day, and people have gotten downright NASTY when they don’t receive a response. Many times they asking for a cake for that same week!! I feel like no response IS a response. I’m only human. Not a machine. Thx for letting me vent 😂

I run into this issue as well as I do everything myself too. Try to understand that people don't realize you're that busy. They are just inquiring to see if you can make a cake. Or want to get the details about their cake squared away. I never ignore people. I set aside an hour in the morning before I start working to reply to emails. Sometimes if I'm really busy, the email reply says, "I got your email. I'm finishing up a busy week but will get back to you this weekend. Just didn't want you to think I was ignoring you!" That way they know their message got to you. Or, I have also set up an automatic reply when I'm booked saying something like, "Thank you for your inquiry! If you want to order a cake, please let me know the date, theme / design and # of servings you'll need. Right now I am completely booked until June 17th. So if you need a cake before then, unfortunately I won't be able to do it. If you need a cake after June 17th, I will reply within 48 hours."

A few weeks ago, someone wanted a law school graduation cake for about 100 people, and told me in the message, "you give me a good discounted price and you'll get lots of orders off this cake because there's going to be a lot of people there." I ignored that statement and gave her my full price without hesitation. She never got back to me, haha. Although, I don't think I would have done the cake anyway because of what she expected of me from the beginning. She may have tried to get money back after she received the cake.

I have a question because I have learned recently that I need to ask for a deposit , how much do you charge for a deposit? Is it a percentage? Thank you so much for this video!! Here’s my sob story with my most difficult customer yet…..I had a very difficult customer just the other day. Worst I’ve ever had! He even went on my website and left me a 1 star review. He wanted a birthday cake for his “fiancé” which turned out to be a lie. He was trying to impress this woman who clearly didn’t want anything from him. I don’t do deliveries unless it’s a huge wedding cake but he said he was a truck driver and could not be here for her birthday and pretty please please. I said Ok since it was just 10 mins from my house. This is how I found out the girl was NOT his fiancé. Anyway his instructions for the cake was “make anything you want. You have 100% artistic freedom”. He didn’t send me any images for reference. Just anything I wanted. I made a beautiful Elegant fault line 6” cake with chocolate spheres, gold trim, fresh chocolate covered strawberries. The cake couldn’t have been more beautiful. When I sent him the picture of the cake he said it was “Awesome”. A couple of hours go by and he texts me that the girl hated the cake!! Not the flavor but the look. That this cake was either for an old woman or a child! Not for a young woman in her 20s. He said he also hated it. I was like that’s not what you texted me earlier…. So Karolyn and all of us cake makers, my question is …… how do you deal with people who tell you “make anything you want”. It makes uncomfortable not having an image as reference. Images can also be a pain as some have asked me to make an exact replica of an image they have just sent me. My answer to those requests is that I don’t do photo copies of cakes line you do with a photo copier at the office. But how do you handle those that give you 100% artistic freedom?

Well, look at the situation. You said he liked the cake. And it was for a girl who wanted nothing to do with him. I don't know about you, but if some creepy dude kept bothering me when I told him I didn't want him around, and then gave me a cake, I would say I hated it too! I don't think it's your design that's the issue (especially since he said he liked it). It's the situation. When people say I can do what I want, I will let them know the idea I have, showing pics of other cakes I've done so they kind of know what to expect. I'm sorry that happened to you!

BTW I am using your technique on the graduation cap video of yours. I think I’ve watched that video 100 times! Now I keep stopping it as I go along. My squares are done and drying for a week like you say to do. I have 3 graduation cakes to make for next week. The caps were done today and I’ll cover them in fondant tomorrow. Thank you again. So proud of you it just happened to me last weekend in a beautiful birthday cake. I charge super cheap. I am in California I charge $160 and the guy just write me a check of $60. It was so painful for me it’s even making me cry. I know that guy it’s a coworker. It's hard to have a voice, especially when you're starting out. Trust me, I've been there. I've been underpaid and expected to give discounts. Because of that, I always require payment IN FULL 10 days prior to pickup. That helps eliminate any misunderstandings. Sorry that happened to you!

Hurricane season....is the time of yr..when lots of weddings are being scheduled....I make sure they know that there's no refund...I will give them one date they can reschedule..(if) im available....I live where Hurricane Laura and Delta hit...being helpful, understanding, compassionate is very much needed in these times...but u gotta be clear and steadfast with ur terms..it ain't easy

I'm sure! It's difficult when unexpected events occur. Like when there are Nor'easter storms here and things get cancelled. The cake is made. It has to be frozen. I let people know in the seasons with bad weather that they are responsible for storing the frozen cake in the event of cancellations. And that I must be notified of any cancellations before the lockout period.

A customer once picked up the cake without paying balance. I had just started with very little knowledge of how to deal with this situation. I believed her she would pay after getting home. On the way cake broke due to harsh driving. Obviously it was my fault the cake wasn't strong enough. It took me a month to get my remaining balance

That makes me so angry! I'm sure they would never go to Target and get a cart full of stuff and not pay before they leave! It's the same stinkin thing. I know it can be challenging to have a voice and set boundaries. But you'll only let that happen once and never again!

Bethany, Thank you so much!! Your confidence does take a hit, but it happens. And you have to be able to learn from it and move on. Focus on all the people who love your cakes and who have appreciated them instead of the 1 or 2 who don't. And remember that we are all human. I still make mistakes to this day. All we can do is try to make it better with the customer and learn the lesson so we don't do it again. No one is perfect!

I've had people angry because I want there when they came to pick up even though I told them I wasn't going to be there. I had a lady tell me she was going to be late. I told her I had a delivery so the new time wouldn't work for me. She wanted me to be late for the delivery to wait for her. Uh, NO! She didn't want to change her schedule so she asked if I would leave the cake outside somewhere and she would pick it up. Unbelievable. And to make it worse, this was in the summer in Florida. Humans are funny.

#7😠🤯I just had to deal with this. I had not asked for the deposit yet, but I had already ordered special decorations for the wedding cake. I was worried that it would take too long. We had settled on date, time, size, sample flavors, cake top & decorations…..then she STOPPED answering my messages. I now see her asking for many other services on Facebook(this is where we met) pertaining to her wedding…decorations, makeup and hair…yard work, photographer… Asking through Facebook who to use group. This is where I was tagged by one of my regular customers who saw she was looking for a wedding cake. It frustrates me every time I see her posts because I wanna warmn the other businesses. I don’t really understand what happened. It’s never happened to me before. I try to not let it bother me but it’s hard.

It’s a lesson learned the hard way. Sorry that happened! I never buy anything until I have a deposit. And if I feel like I need the deposit because the items will take long to ship, I’ll say, “if you want this cake, I need the deposit today. I have to purchase items for this that will take a long time to arrive and I want to make sure I have everything. If I don’t get the deposit today, I won’t be able to make this for you.” It is firm but not rude. It sets boundaries and saves you time and money!

I had an aunt who asked for a graduatiion cake, so I went all out. My cost was $100.00 and told her I would let her have it at my cost. I delivered the cake and she paid me $20.00 and griped that she had been over charged. Never again!

I constantly find requests on facebook, where someone wants a cake for a certain date, and asks for quotes and example photo's of your work. I think it is very difficult to give a price without knowing how many guests they are planning to feed with the cake. Also, it becomes a competition when you put your price down, everybody tries to under cut you, and lastly the only cakes we have baked as been specific themes that the client has requested, how do you know what pictures to post.

I never post in the FB requests. I don't like the energy of it. Like we are begging for them to choose us. I find that the people who post that are really looking for whoever is cheapest, and I will never be that! 😂

Yes! The Facebook group wanting an over the top kids party cake that doesn't cost "arm and leg" one is the one that sends my blood pressure into outer limits. Do they think we are here rubbing our hands together saying "oh money money money"? That this little cottage business pays for a condo and private plane? That it's only eggs and flour and it gets done in one 30 minute episode like on TV? Like it doesn't take time to plan, and time to execute? I realize people don't know what they don't know, and I would never do this but I so wish I could come up with a polite, well written, diplomatic rebuttal explaining the process and why it's really NOT an arm and leg and that we probably make barely minimum wage (yet most people believe that's all we should make because 1) we're working from "home" and 2) it's not art or skill, it's the equivalent of working fast food) anyway....you get the rant lol. It's so upsetting and I know other event vendors experience the same. Especially weddings, people somehow believe that we charge more for wedding cakes when the reality is, they've probably never bought a cake to serve 100 people before so it sounds high to them. Try buying a slice of cake in a chain restaurant like Red Lobster etc. and you'll find the cake to be $7.95 per slice, now imagine buying 100 guests a dessert? Truthfully, I'd rather make a wedding cake over a tedious kids cake that takes days to make the figures any day of the week. My wedding cakes actually cost less per serving because these days, most wedding cake are more simplistic/elegant. Sorry to rant lol..... I just feel ya here.

How about the family? And I'm not talking about my mother, my daughters, my husband or my grandchildren. I'm talking about the niece of my grandfather's cousin. As soon as they know I'm a baker, they assume that they are my beloved sibling, .... and they deserve to have their wedding cake for free! I have many examples to share, but I know that everyone has at least 5 of these to share.

Yesterday, I have a situation with a cake: one of my clients Order me a wedding cake, for a friend. The lady sent me a deposit. We were struggling with the weather: It was over the 100's and I don't have a air conditioner at home , since the cake was all buttercream I made the cake a few days before, like you teach me, put in the fridge, etc. for 3 days. I didn't receive a message, neither the rest of the money, but , since she was a good client, I supposed she was going to pay me the day of the pick up. When I call her , her box was full, so I could not leave a message. Yesterday, when I call her to let her know that the cake was ready, she told me that her friend cancelled the wedding, and that she was thinking of get her deposit back!!! I call the lady and told her that, since nobody told me about the cancelling, I was expecting the rest of the money and somebody has to pick up the cake, ASAP! She sent me the money and picked up the cake in about 20 minutes!!!

WOW! You're lucky that you got the balance AND the cake picked up! I definitely learned that lesson the hard way a few times. So now all cakes MUST be paid in full 10 days prior to the due date or I won't make it. I'm not going through that again!

I may have missed it in another video but, how far in advance do you require an order to be placed before pick up and does it affect your pricing? I assume i couldnt order a detailed 3 tier cake 2 days before pick up, OR are there circumstances where you would but at a price? And also, if theres a no show even if the cale has been paid for, do you re-sell the cake or what?

I won't make a cake if it's ordered with less than 10 days notice. So, no, I wouldn't make a detailed cake start to finish in 2 days. I'm not sure I would want to even if they offered to pay more. 2 days just isn't enough time for decorations to dry and it's way too stressful! I've never had a no-show for a fully paid cake. I've had a no-show for a cake when I used to collect cash balances at pickup (which I no longer do). When that happened, I gave it away.

Most customers will never understand the time, sweat, and sometimes tears we put into our creations. That's why I'm firm with my price, and my time. I don't hesitate to turn down projects. Took some L's along the way but i learned quickly.

The best way to learn is to make the mistakes so you know what not to do the next time. I run my business based on things that didn't go right and I wanted to make sure it never happened again! LOL

You are amazing and so correct. I have a home base baking business. I just have a question what to do if a customers have an issue with the cake size? Like at the pickup time they say oh I’m so disappointed with cake size. How to handle that situation?

I usually tell my customers the size of the cake I'll be making so there's no question. A lot of times, people have no idea how many servings are in a cake. I've had people tell me they need a 10" for 12 servings (a 10" feeds 30+!) They ask for something to feed 12 (which would be 6") and have a very different idea of what the cake will look like. So, for future reference, I would just make sure to be transparent so everyone is on the same page.

I sold my first cake yesterday to my first bad customer. Used his “Cancer Treatment” to guilt trip me into dropping the price by half when dropping it off. I ended up giving the cake to him for cheap because I didn’t want to deal. Will never do it again and will never have them back as a customer.

@@KarolynsKakes Not at all, he said it was beautiful but he was just very unhappy about the price. Prior to dropping it off, I told his wife that it was done and if she would like to see it? and she stated, "No, I am still upset about the price". It was a 10x10 square cake, 6 inches high with a lot of detail. Is there any way I can show you? I would love to, I am very proud of it, and thank you for your warm comment.

I'm a cake baker from Mumbai, India. I've been making cakes for many years now and have come across many types of clients, mostly appreciative of the cakes i make. Here, mostly people pay when they collect it. Sometimes people ( new clients mostly) pick up the cake and then call back or message that the cake is not good or tastes like cardboard etc. They even get nasty, ( even on social media)! How to handle these clients? Do you refund the amount? How to answer these kind of people? Please help!

Though I'm not in a scratch bakery I often get the feeling that people think I stand around just sprinkling sugar on things and so often times people don't value our time and our effort because they think we're not doing anything but we work hard 💪 lifting hevey boxes and bags and producing lots of products

When I was baking as a business I had nearly every one of these happen. Since my full time job was in a church office EveryOne thought they should have a discount. Working from home seems to make people think you have no expenses. I guess too people think you are baking the cake the day of. Do it's ok to change your mind 3 times. I knee which people to avoid personality wise, but it was disappointing when asked for a quote and people would say they were going to the box club instead.

@@KarolynsKakes Yes, it turned out fine. It was completely enclosed in a box, it wasn't a hot day...or windy. I actually waited until several hours after the original pick up time (in reality, they were supposed to pick it up the day before, but kept changing the pick up time). Thankfully, it was fine.

I used to give elaborated cakes as gift for one my friend. when I decided to legalize my cake business and make it official, and I informed to all my friends that I will not make more cakes as gift, she took that personal. this friend started to disinvite to her kid's parties and tell everybody that I was cheap skate, and only help me to build my business and I was so ungrateful.
