I was searching for this process for a long time. When preparing service documents for equipment in the same models, even though mail merged and split into individual documents, I had to rename the PDF files one by one according to their serial numbers, which took a long time to open and check individually (had to repeat every month for different equipment lists). Thank you! I'm new to Mail Merge and I needed to create separate PDFs with the recipient's name in the file name. This video is perfect for someone who has no coding background. Your instruction is excellent! In case this is helpful for others: It took me perhaps two hours to go through the video, take notes, and prepare my own Word doc and Excel sheet to practice. When I cut and pasted the code from the .txt file, the process would not Run. Rather, I received a Syntax error. Again, I don't code, so I didn't know how to fix that. Next I deleted that Module (as he does in the video) and imported the the .bas file. When I selected Run, it worked! Holy cannoli! It worked! I'll be using this often. One million thank yous for creating this excellent video and sharing the files.

Never thought there would be a need to generate folders for each file but yes it can be done and i will probably make a video soon. However if you want to have a crack a it here is how i would do it. In a separate column in the Excel file use text manipulation to ad the letters md followed by a space and then the unique file name, so it would look something like this without the quotes "md Nick_Paphitis" Duplicate this for all the entries. Copy this data and paste in a notepad. Rename the extension from .txt to .bat. Place the .bat file in the folder where you will export and double click on it. This will now generate all the folders. Now go back to the Excel file. You can delete the column you made. For the columns WordDocs and PdfDocs delete the location paths and create the path with the unique folder paths. Now each entry has a unique path instead of the same one and those folders already exist as you already generated them. hope that make sense.

@shivagunti add another column in your data. It could be a date or a simple incrementing number. When you add the next data add the next numbe so if the previous number was 15 then all the new records will have the number 16. Before you merge filter the data on the records which equal 16 in that column. Then merge. Or use a date field and filter on date added. This will allow you to also track when records were added

@@paphitisn Right now I just got it to save more data fields. I am having an issue with spaces and parenthesis. ... DataFields("Nam new").Value... If I replace the space with underscore it works but I also have ... DataFields("Nam (new)").Value... Even if I replace the underscore it still throws a runtime error. Also amazing documentation. I am used to look at completly wild and uncomented code so this is a blessing. I am not new to VBA but it is has been a while since I used it :)

Thank you very much! This is very useful, and I am able to add new field named OUTPUT and only export docx when I put “Y” under the field. However the generation is a bit slow and I am wondering is there any trick to improve the speed? I am export around 300 documents, around 8 pages long.

Well done for modifying it to improve work efficiency. As for the speed, it depends on your device, amount of RAM and the length of the document as the documents are kept open until the process finishes. You may find it gets slower as it progresses if you have a lot of documents. I would suggest add another field so that you can add a number like 1, 2, 3 etc. add the number 1 for the first 50 records, 2 for the next 50 and so on. This will allow you to filter on this field and only merge 50 documents at a time. This should improve the speed as you will only be merging 50 records at a time ana you will avoid the long delays when you are on the 100th or 20th record. Let me know if this works for you and improves the speed for you.

that is a run time error which could be associated with an error in the Macro code. Did you use the .bas file to import the macro. It could also be an error in the code in the section of saving the doc or pdf if you made changes to file or folder names

No, the only thing you need is to enable the Developer ribbon so you can access Macros. Which you have done as you can see the Macros section in the developer ribbon. Have you imparted the .BAS file. If not do that instead of creating a new macro and pasting the code.

How could I tweak the macro so it only generates the documents i have checked in the Mail Merge Recipients. I.e. lets say i have those same 12 lines but i only check record number 1 and 3 (so those are the ones id like to generate). I'd like to update certain records only.

Chances are you are filtering the data instead of Edit Recipients. Go to Mailings ribbon in word, click Edit Recipients and then apply your filter or simply select the records you want to merge. I have a custom field code in the footer for page numbering that doesn’t convert properly when I merge (the code itself disappears and all the pages just display “…/2” instead of the number changing on each page). Anyone know why or have a solution?

I cant think why this is happening. You say custom field, what is the custom field you are using? I would test this by doing a normal mail merrge without the macro to see if the error is replicated. Is the container big enough to display the whole field. Maybe the ... means there is data that is not being displayed because the container is not big enough.

This is the formula I have in the footer: { IF { PAGE } < { NUMPAGES } “…/{ = { PAGE } + 1 }” “” } Basically I need it to display …/X, where X is the next page number, on all pages except the last page. Works fine before merging, once it’s merged all the pages just show “…/2”. I thought maybe changing numpages to sectionpages would fix this, but it did not.

Excellent training video! What would I change in the Macro if I don't want to save as pdf files? I've also been trying to figure out how to split a Word document with multiple pages into separate files and preserve the Header & Footer text. The Header contains merged text specific to the case file and the Footer has standard text that is the same across all case files. Do you have a tutorial for this issue?

For the first part of your question, you will need to see the second part of the video to understand the code. You will then be able to delete the code that saves the PDF quite easily. Hi there! Thank you for your video. I'm running into an issue with the module and I've checked and rechecked the file names and paths on each of my documents and there are no issues. I even tried deleting the Word exportation section of the code to see if it would just run the PDFs, but unfortunately it ran with the same error. Any thoughts on how to fix this? Thanks!

Without knowing what issue you are running into i will assume you have tripplechecked evreything. If this is the case then the issue maybe the location where your folder is. Do not use a synced cloud folder like dropbox or onedrive. Also dont use c:\ as you may need elecated privileges to write here. Use a folder on the desktop. Make sure to add the new path in the data source. Let me know how it goes.

Our desktop is on the c:\ folder, so I tried to move it over to my personal MacBook (and adjusted the path names), and I'm getting the error around the "ExportAsFixedFormat" command. Any thoughts? @@paphitisn

Struggling again with this - by some miracle it worked last year after hours and hours of trying everything... cannot for the life of me figure out why it's happening again this year. Can you comment on what would cause a "run-time error 5941"? I have followed instructions to the T. Watched your video many times, went to another computer (in case Sharepoint or using macros were a problem), all to no avail. What could possibly be happening? Reworked all my documents, shortened paths to folder locations, etc. used your exact verbiage, used your exact templates. but cannot make it work...

Do not you synced cloud folders or prtected system folders like c: Use desktop or documents to be safe. Check file paths and spelling. Let me know if it works or if you still have issues.

Make sure the folders you are saving to are not in protected windows locations, use documents or desktop. Also do not use cloud synced folders, they cause issues. Next check and make sure that the folders and their paths are correctly addressed in the data source file.

i dont have a mac so i can not help you. Lets hope someone here has succeeded using this with a mac. I would think that if you modify the paths to reflect the path of the folder location on a mac it should work. You will need to modify the save paths in the spread sheet also. Again i am not a mac user so i am just assuming that it should work.

Hi Nicos, I ran the module from the zip file and it begins to create the documents and then I get halfway through my list and I get an error "error code 4198 command failed" I hit the debug and it takes me to the macro with a specific spot highlighted. I am not sure what I am looking for to fix this so that I can created my entire list of documents. Do you know why this is happening? This is the part that it has highlighted in the module: SingleMergeDoc.SaveAs2 _ FileName:=MasterDoc.MailMerge.DataSource.DataFields("DocFolder").Value & Application.PathSeparator & _ MasterDoc.MailMerge.DataSource.DataFields("FileName").Value & ".docx", _ FileFormat:=wdFormatXMLDocument ' The command SaveAs2 is the command to save a word doc and it will save the contents of "SingleMergeDoc" as a word docx in the folder found in path described in the field DocFolder in the data source, with the name as found in the field FileName in the data source

How many records are you merging? if it is a lot, you may be running out of memory. Try filtering the recipients so you only merge half the records (or less) and then merge the other half to see if it works. If you do not get an error then the memory is the issue. If you do get an error with a small number of records being merged then you can repeat the process by process of elimination to identify the record causing the issue. Check file paths in your data source to make sure that they are all correct (be careful of spaces). The error you are getting is usually related to a bad file path which does not exist so it can not save the document.

Also do not run from the zip file. Extract the files to a local disk area, not a cloud synced folder.

Amazing guideline. Is there a way when the documents are saved on the pdf folder they save in the exact same order as the excel names?

If you put an index infront of the name so that when sorted they are in the right order then yes. Instead of the name Nick use A1_Nick then the next name A2_ and so on. This way if you sort the files by file name they will be in the same order.

It is not automatically moving to the next record and not creating the PDF, however, it will create the .docx if I move the preview to the next record. I used your module file so I think the error is on my side. Any idea on what I'm doing wrong?

All issues encountered are due to having wrong file name or the wrong target folder. It seems like you go the word part working which is the part most people get an error with as it is the first part. Try commenting out the section for the pdf and see if it generates all the documents. if it does then you need to check the folder name and the filenames you are using for the pdf in your excel data source. Let me know how you go
