I have some doubts. These are the questions: 1) when we have to send cover letter and motivation? 2) Is IELTS or TOEFL is required in the countries like Switzerland, germany, france, italy, spain? (Because some universities didn't make it compulsory but mention that if we have English proficiency test score, it will be advantageous) Since you are in university of Regensburg, is IELTS a necessity or just an option? Can you please help me in this question?

1) If you are applying through an online portal where there is already a predefined form layout, then they would already mention what exactly they want, either a cover letter or motivation letter or both. In case you are sending an email directly to the professor, then you have to send the Cover Letter along with CV and grades certificate. 2) you already answered the question. Its advantageous but not compulsory in most cases. But 90% of the non-native applicants that get selected they have either of the certificates. In Italy, its not very difficult and I know people who have got positions without any English proficiency exam certificate. Basically in all Europe its possible, but you know if a piece of paper gives you slight edge over other applicants why not just take it. Its getting more competitive these days and an English language test is booster for the application. Plus it also helps in the visa approval process. So if you want my opinion, then I would say just get it. For me in the University of Regensburg, it was not compulsory. But it surely helped in me getting shortlisted in the initial stages. Can we apply for a PhD position, while still in the final semester of masters? If so, how can we manage to submit the transcripts to the supervisor / application!?

Sure you can start applying for positions while in final semester. If there is a portal where they are asking for all final marsheets, then you would need to contact the administration and explain them your situation. If you will be able to get your documents before the position starts that should workout. You can also submit provisional certificate from your final semester. In most universities these days a simple scanned copy of marksheets and certificate is sufficient. Unless it is asked specifically to submit signed transcripts, stick with scanned documents. Not really, IELTS is optional, if you have it, it's good and if you don't, but your English is good, then you are good. You can connect to supervisors without ielts.

Hi there! Am i supposed to attach my research proposal while applying for phd or just show an interest in the professor's work? Also, if i mention and attach my work experience, do i need to show my salary sheets and all?

Well, it would be better if you could attach a research proposal as a separate document. The primary text read by the professor is your cover letter or your email text. Make sure to keep it short and informative. You do not need to share your salary sheets anywhere. They just want to k ow your research experience.

@sabiinapaudal7402 In the cover letter, you might not explain the projects in detail but rather an overview. Therefore, you could always attach a proposal where you focus on a particular topic in which you want to work. Another option is to attach your CV. If the professor is interested, they will contact you back, and then you send the proposal.

Also, it would be a great help if u could simply guide how do i specifically find the professors related to my interests? And when is funding discussed in this process? Correct me if i am wrong: the process starts as: I mail the professor They show interest in providing the opportunity Discuss funding Is it so? I want to start early before my 4th sem completes so kindly guide me thorougly. Regarding the funding, do we get it in mour home country initially?

Not necessary. Since as a PhD student you will earn from the fellowship/salary, you just have to show proof of income to the visa office in India and that is sufficient. Once you reach here you have to then open bank account and then give details of your bank to your employer (Institute finance or administration) and that's it.

I have 6 months research experience which I acquired during Masters dissertation project. I don't have any publications. I have 2 years of teaching experience. Is 6 months of research experience enough to secure a decent PhD position across Europe ? Or should I try to gain more experience and then apply ? I am targetting Universities in Denmark, Norway, Sweden.

Thank you Swati for asking question, this shows your interest. I will try to cover this topic in detail in my coming video and most probably you will find that by next weekend. But for now just to answer your question, here are few important points that you can use: 1) Ideal length of CV should not be more than 3-4 pages. 2) Use a professional photo on the first page (This creates an impact on the reader and they are able to associate with you more if you reach to interview stage). 3) Order your CV into following sections: INTRODUCTION (your contact details) --> CURRENT & PREVIOUS POSITIONS HELD --> EDUCATION --> PUBLICATIONS --> TECHNICAL SKILLS --> WORKSHOPS & CONFERENCES --> OTHER INTERESTS (hobbies) --> REFERENCES. You can get recommendation letter from your university Prof. And one from where you did your job. Generally there is no age limit in Europe for PhD applications. But you would need to show some experience in the relevant field in which you wanted to work. It's best if you could join some internships and gain some PhD relevant experience. You would need to convince the prof. That you are up to date with the latest topics in your field for research. And possibly from that internship you could get a recommendation letter.

It’s not compulsory to get a university recommendation. If you can get 2 recommendations from your job, then also it’s fine.

it depends on what they are asking. If it is an open project then, they won't ask for research proposal because the project is already defined. In most places SOP works. If you apply for your own project's funding, then of course you will need a research proposal

I am unable to clear exam.but I have done in msc and I thinking to drop the idea of doing PhD in India ,I am thinking to do some lab work for 1 yr or 6 months and then apply for PhD ,can u give me some suggestions plz .

I was in a similar situation. I worked in a lab gained experience to build up my CV and then started my phd. applications abroad and got selected. Don't get confused. If you have made up your mind, go for it. You will get a position.

Usually this person is the one who signs the employment contracts. If you are getting paid then you might have got some joining letter. The person who has signed it, might be the admin for your department. But if this does not work out don't worry, the experience letter on your university letterhead from your supervisor will also be fine.

There are options when they ask for multiple reference letters. I have done one project in MSc at IITD. So i can get one letter from supervisor of that project but what about other references. Do i get them from course professors?

@@Uditm1 well we can write dissertation too, but that's not done commonly here at our institute. It is an research project we do at our 2nd year of Msc, most probably our project work will get published.

@@jaskaransingh3200 Yes you can get them from other course professors. If you have some personal working experience with that professor its better, or choose a course professor where you scored very good marks, that will also help in the content of reference letter. Always give preference to the professors with whom you have done some project work. One more point: Let's say you have to give 2 reference letters, then for diversity, its always recommended that you get one from you MSc and one from your BSc professor, but in case you have more work experience with your MSc professors then go for both the reference letters from your MSc institute only.

Is letter of recommendation mandatory for PhD applications in all good universities across Europe ?.. I have gone through a few open fully funded PhD position in Denmark and they have not mentioned letter of recommendation in the list of documents required. Will they ask for it in the later stages of admission ? ..

It's not compulsory everywhere, but in most places in Germany they might ask for LOR. If you are applying via an application portal, sometimes they give you a link which you would have to send to your referees and they have to fill it out on the portal. In these cases you do not need a separate lor document. In case where you just have to submit all documents as PDF, then you need the lor as a document. Overall, it's best to have some referees who are willing to write you an lor for various universities.

Not necessarily. You just need to show income proof that you can from your invitation letter that mentions your salary/fellowship. You do not need any bank statement.
