OMG Andrea, your job sounds soo stressful. I almost have a headache listening to you describe it. You"re obviously extremely good at what you do, the amount of detail you have to take care of is mindblowing. Stay healthy.

New tour coordinator here, I love your videos they have been so helpful during my transition into this new job. Please think about putting templates for all your sheets/docs for sale - I would def buy them!!

Why not use a database that can handle so much more data more efficiently for personnel as well as the venue info? Is it because the Excel spreadsheet is more accessible to more people?

Thank you for sharing. I am looking to pitch this position to my boss because it seems very interesting. I did have a couple questions: 1. When do you start advancing a show? A week out, month out? 2. Could you updated the example rider template you have in your description box (it says access denied)? 3. Do you typically have a point person who assist with visa’s? Or do you just go to that country’s website to find all the info and submit yourself? 4. If you put specific items on a rider and the venue does not have it- do you get money back or is this typical and you let it go?
@PAFMCo3 ай бұрын
Hi! Yes, these are good questions. All of these answers depend on the size of the band and the budget. 1. The technical part of the show starts to be advanced a few months out. Stage needs, light needs and audio needs are all discussed first. The hospo advance will start 1-2 months out. 2. Yes, I will need to remake this 3. When working with international festivals, they will help guide you through the requirements for that countries VISAs, as well as your booking agent who booked the show. There are also companies who can assist with this if you are booking the bands yourself. 4. You wouldn’t get money back on your rider. It is the venues job to provide the items outlined unless those items are not available in that state/country or really can not be found. I always have substitutions on deck for any items they can’t find, and if it’s a very specific brand/need that the band wants I will travel with backups. Not worth it to argue with the venue over $50 worth of snacks when there are bigger costs being negotiated.

This is fantastic information. Thank so much for sharing. I want copies of your excel sheets! You've done so much work with your formulas. Looks awesome.

Thank you! I might be able to get you those sheets, will just have to run it by Andrea first.

@@PAFMCo was this possible to do? If so could you please send it to me also. Please and thank you
@PAFMCo Жыл бұрын
@@yamyblue So there has been some requests for them. Andrea is a little busy at the moment but if she has some time, she is going to try to make some templates that people can use.
@PAFMCo Жыл бұрын
@@simaolandeironobre7427 I don't know if Andrea wants to disclose that information specifically, but she has worked for all size artists and venues, from small clubs to arenas to major festivals.

Does this work for tours that are not with music? For example my nonprofit is setting up a tour to do our program in 15 cities this Summer. I am looking to see if I can follow this guideline
@PAFMCo Жыл бұрын
You can definitely follow a lot of the things in this video since this is not just specifically for music. There will be some differences that you may have to cater towards your specific tour. There will also be differences depending on the size of the crew and the tour.

Sorry it took so long, but I updated the link. It is not an example of a large rider but still a good example.
