Super insightful breakdown of the Content Production Machine! It's all about that efficient workflow. I've been pairing Notion with Boost app social for my content creation, and it's like they were made for each other. Great for keeping those 'Potential Ideas' flowing and turning them into engaging content!

So I've spent the last 5 days tearing through your videos. I've had Notion for quite awhile and had been using it for some workflows, but it became clear *very* quickly that I was underutilizing it to crazy degrees. I'd already understood that there is a lot of power under the hood, but I wasn't sure exactly how to use it. I'm crappy at creating systems. I am *excellent* at adapting and changing systems to suit me. So you, dear August, are a godsend for me. :) I'm an author and a freelance editor; I work for individual clients, and I contract with publishers for editorial work; I both attend and organize conventions. So I have a LOT of different workflows to juggle. Your system and your videos brought the realization that I can have EVERYTHING in one place. (Well, almost everything; I still do the core of my writing in Scrivener... sorry... Notion will never replace that!) I've already got a complete handle on my content creation, and I've spent the last several days converting my paper planning systems to Notion. I haven't quite moved all my Excel tracking stuff over, but I'm kicking around the idea of it, particularly my promo stats, since I can then put snapshots of those on individual book pages. I'll be interested to see how you do different kinds of data tracking, if you do it in Notion. Anyway, I'm posting my fangirlish comment on this specific video, because I wanted to share that, in addition to using the Content Machine for my online content generation, I copied the whole thing and turned the second one into a Word Machine for my novel creation. Though I still have projects for each novel, the actual content creation part is handled by the Machine, instead of just the Projects db. The novel projects will also include marketing and promos, etc, so having this separate pipeline is really great for seeing where each manuscript is in the creation/editorial process. So, yeah, thanks SO much for being my unintentional guru. You are fantastic! :D VG

I do my writing on Scrivener too! We agree there 😎. And YES, fantastic for duplicating the specialty are for your Word Machine - I love that. This segment can be applied in so many more ways than content, I hesitated to call it this in the video, but felt it would be confusing if the title was too generic. Thank you so much for this very thoughtful message, I greatly appreciate it Vanessa!

@@augustbradley I have been a huge Scrivener fan for ages. I'm a Windoze user, and when Scrivener first hit my radar, it was still Mac-only. I waited *years* for that program to be available to me! lol ;) And I use it for pretty much every type of writing, except maybe my newsletters, which I do directly in Convertkit. Anyway, I've gone a little nuts with Notion and I feel like I've got way too many databases (and properties in them), so my next bit of work is going to be really studying your flowchart and seeing where I can condense databases (maybe one big freelance one to also include both indie clients and contract clients? Not sure) and also use those handy rollups for the higher level Pillar/Value Goals where I can. I mean, I should have done the flowchart thing to begin with, but I'm sort of a "jump in and see how everything works, then figure stuff out later" sort of girl. lol Again, thank you. ✌

my friend, I have basically spent the last two days utterly consumed by trying to figure out a system similar to this in my own workflow, been banging my head against the wall a bit actually to wrap my brain around how to wrangle these types of things into action and how they work alongside projects databases and research databases. The videos leading up to this has established a solid foundation for me and created a baseline to wrap my head around how to use Notion in assisting content creation, curation and keeping track of side hustles that may have tasks or necessary routinal sessions, but may be too complex or abstract to be considered a mere task. Doing lot on the computer in digital form, this is a constant challenge for many I believe. I recommend nobody to just jump right into this video, but rewind and start from the beginning of the series in case they've just discovered your videos. Your content is an absolute goldmine!

A very simple thing that is so helpful to me is the "next up" status option. I didn't realize until now how often I'm keeping in my head which of the content items I want to work on are actually next in line. Goes for tasks and vaults (e.g. book vault) as well. Thank you.

**Video Summary** Intro 0:00 We are going to be looking at the content creation pipeline. This is not only an example of how to do any kind of content creation, but also how to do any kind of specialized, routine operational projects that are too small to be full projects in your project's database, and/or are too specialized but are more than tasks and have their own needs in terms of database tags, templates, workspace areas. It's an example of how to do any kind of specialty pipeline/ mini project series that happens on a regular basis; there are many potential applications of this across business or personal use. This creates a clean look onto that unique operation pipeline especially when there is a high volume of them. You can think of it more broadly if content creation isn't what you need, but you have other kinds of routine operations in place. This is also highly connected to the tasks database; anything going through a content creation pipeline is linked through a relation to the tasks database, but they're not actually in the tasks database themselves, they're in their own specialty database: The content creation pipeline. 2:00 Stating from the command center under Business the content production machine dashboard can be accessed. This is called the content production machine because it is designed to do very high volumes of content production across different mediums written text, video production, audio … it could be anything you create like painting/poetry etc. it doesn’t necessarily have to be artistic, it could be marketing materials, web development. Anything that is a pipeline of creation of any kind. 2:50 in the navigation system on the side panel the content production machine is under dashboards and the database itself is under pipelines s the production pipeline. Production pipeline = name of the database Content Production Machine = name of the dashboard This dashboard pulls its information entirely from the production pipeline database; it's the only database it looks at. Almost everything in it is a different view or slice from that database. There are a few exceptions in the form of scratchpad lists for idea generation and note-taking. Scratchpads 4:00 The four areas at the top are quick scratch pads In the example here the Notion Series was initially mapped out to be a 25-30 video series Shows how the ideas are roughly mapped out There is a place for Video ideas, Newsletter series, and Blog/Article Ideas Each of which is planned out to develop stories/sequential release of information for bigger pictures over time. Content Ideas toggle 6:00 This is a list of content ideas Everything entered into the database here has a status and for items in this toggle it is set to 'potential Idea' The status sequence is from latest in the sequence to earliest Ready to post is the end before the item is actually published/completed Post-Production is 2nd last Production Writing Next up Scheduled = it has a date when it's planned to enter the system but is not quite up to the 'next up' level. Potential idea = maybe; hasn't been decided Anytime August has an idea of something that might be a good newsletter, article, video etc. it is entered and labeled with this which is what the content ideas view is all about. Idea Generation Resources Not individual ideas but hubs of ideas e.g. certain websites have lots of ideas He might list something as a source to go to look at and review to look for individual ideas; this view also filters for such items It's really helpful to capture ideas for content creation when you have them because it's so easy to forget them. He will open his phone and throw them in here with a potential tag. If something strikes him as a really good idea he will give it a Next up tag immediately, or something more urgent. In production 9:10 This view shows just the items that are in production. This means an item is either in the writing, production, post-production or Ready to Post. This isn't actually used that often because the next toggle is really valuable Production pipeline 9:40 This is the kanban board of this production pipeline. There aren't a lot of kanban boards in August system mainly because when dealing with action items and things with due dates, the kanban board doesn't work, you can't set by do-dates, you have to set by either single or multi-select. You also cant use formulas to sort the Kanban board. August prefers to have the items in his task management to flow in automatically without a lot of manual manipulation. This is done by managing items by Do-Date. In the production pipeline, however, it is very valuable to see where everything is at different stages. This view shows items earliest in the process to latest. 10:30 Scheduled > Next Up > Writing > Production > Post-Production > Ready to Post Next up 12:50 Shows a list of items that are queued for next up These are the same items we see on the next up stage of the kanban board in the previous toggle. This allows you to evaluate the sequence of the next up items. Ready to Post 13:42 These items are also in the production pipeline at the end. It's nice to give them their own view as they can bunch up and it can be difficult to sort them out. Posted Archive 14:51 Once items are published it is valuable to have an archive of everything published either individually or as a collaboration. There is a designation for what channel the items go to Tags for youtube, medium, blog etc. There is a designation for content type; Tags for Notion series, mind and machine etc. There is a Next Action Date which is the date that he intends to take the next action on this piece of content. There is an action item relation that links the item to the master tasks database. The next action date will be the same as the do-date in the action items database. The 2 will move in parallel. Additional tip 17:35 The benefit of adding the extra step is it enables this entire system that is only about mapping the content flow. This clean view is very valuable when producing many different items and not have each of them be a task or a project, but to be linked with each next step of an item moving through the pipeline. There is a link to the posted content and if there is written content it is included here. There is an owner assignment in case a stage of production is handed off to somebody else. Specialty Pipelines Filtered Views Next Action Calendar 19:35 This maps out, by date every next action for every piece of content that is in the pipeline. Next dates are planned out about 2 weeks in advance. Publishing Calendar 20:45 This calendar has the same items, but sorted by the date they're intended to be published rather than the planned dates for next steps. Usually August will start with the planned publication date and then work backward to figure out when tasks need to be completed by. Items can be easily moved and shuffled around in the calendar views. Clicking on the titles takes you from the embedded view to the database itself. Sometimes work will be done in the database itself rather than in one of its views. The embedded view shows only one month, the advantage of going to the database itself is you can scroll through an infinite timeline. If you are working through 2 different months it can be hard to see how a project is being planned. This also allows you to see how consistent and prolific you have been. There are also views for The pipeline board, Potential Idea Board, Master Table 24:10 This entire system is even more powerful when working with a team The ability to assign different owners as it's going through the pipeline gives you enormous control and overview as a head. It also works very well on a small scale (the template is already prebuilt for you if you want it). Content Templates 25:35 August has templates for his Notion Series, M&M episodes, Newsletter, Vid+ Blog Each of these has their own structure and capabilities Example Notion series 26:05 Links to YT Channel and Blog Keywords Title scratchpad Link to task database Action items view in template Filtered to just the items relevant to this piece of content. Sometimes there is just one action item, but if it's a complex piece of content there will be many steps making this much more valuable. Once it's posted a certain amount of promotion needs to be done. This video is also an important marker in this entire series, we have just finished part of a long section on pipelines. Pipelines are all about actions moving through various stages to get things done in the PPV system. We have now covered a wide range of pipelines in the system. Next, we will be looking at vaults These are about knowledge management and learning where knowledge is aggregated and accumulated giving you insights and building resources for you to draw upon. The next video will cover some small updates and tweaks to the system before we move deeply into knowledge management. At that point, we will move into an overview of the PPV system which should hopefully make a lot more sense after having gone deeply into each of the components allowing you to follow along with a more comprehensive explanation. (after we finish the section of the vault).

As always, thank you so much for the information. Another precious piece of the puzzle (which I have been waiting for a long time), which finds its place. I made a small customization, which I share because maybe it is useful to others. I have a blog where I talk about 3 topics, and if I collect ideas in braindump format without sorting them they mix with each other and then it is difficult to find an order. I've created a field" in the form "select" where I select the topic of the idea. Then I created 3 separate views (filtering the arguments by "state > Potential Idea" and by "category"). Plus an overview without "category" filter, as shown in the video. This way everything finds an order when I need to select the next content to work on. I am also tempted to add a field "Priority", because in my opinion it is useful to order even more content, I have many ideas :)) ... but for now I try to use the system like this and see how it works. Thanks again August!

I do create content pieces reguarly but I'm having a hard time seeing the benefit of this database when there's already a projects database AND a "daily tasks" database. Some of the items I'd put in the content production database would ALSO be daily tasks (when scheduled for that day). Can you help me see how this database is needed compared to those others? Thanks!

August, I resonated with your content crazily. You know what? Yesterday KZbin recommended your content and binge-watched your videos till 5a.m and today right from 10am, I'm full-on implementation. The _perfect_ setup!As a creator, I have plenty of blogs and KZbin channels. How can we manage all those in a single database? As of now, we have separate databases for each of our assets. Each of these content formats has different statuses, and also templates. For example, for one blog we have 10s of templates for different blog formats. We also have *a content manager and writers working on them. We create separate DB for each asset* to not let freelance writers we hire sneak into my say FB post ideas. But according to the framework you presented, it's nice to have a single master production DB (is it only to help linking tasks to content templates?). Thanks for everything. Much love.

@@augustbradley Please consider doing an annual review video sooner. It would be invaluable for those of us who have had a system in place before migrating to your system, and seems like it would be useful in tying up the pipeline section of the system before moving onto vaults. I, for example, have many elements in limbo between my old system and my your LifeOS system. Though it is working great, I'd love to know about the annual review much sooner than the end of the year so I know what will be handled by your annual review and what I need to tweak for the idiosyncracies of my own system. Moreover, many of us currently have fewer responsibilities now during the coronavirus economic slowdown period and it presents a unique opportunity for us to do something like an annual review now, whereas we may be busy again by the end of the year :)

Another excellent video August - you are a natural-born presenter! You videos are so clear to understand and your pace is perfect. For me, a 30 minute video is the perfect time frame. One thing I did find in this video was that your screen resolution was set a little too high, and it was sometimes a tad difficult to see the Notion screens. Maybe this was to allow all of your content to fit the display? Also, I have taken your advice and started reading the awesome "12 Week Year" which really supports your methodology. I highly recommend this book! Finally, have you thought about broadcasting a webinar that would act as a workshop, in the same way that Marie Poulin occasionally does? I'm sure that this could be mutually productive, especially given your encyclopaedic knowledge of Notion. In summary, a very worthwhile video, that I feel was an excellent investment of my time to view.

I am also planning to do live events, but intend to do so in the community platform I'm creating. I'm hoping that is about 2 or 3 weeks away. Thanks for all your support Stephen!

Notion really needs to update their Kanban functionality. Only being able to set the fields to a multi/select just makes it so much less powerful. Maybe its much more complicated to implement than I think, but it seems like a relatively minor change that would unlock one of their major database views. And while I'm complaining (lol) the other feature I feel they should implement asap is to limit the linked calendar views to a week, or even between specific days. Regardless, great video August.
@augustbradley

I agree Jordan and that Kanban limitation frustrated me at first, but then I remembered that the king of Kanban apps, Trello, which is specialized in nothing but Kanban boards is exactly the same with only what are essentially self- labeled selects the only option as board headings - so it is normal for this functionality across other best-in-class software. Nevertheless, we need more flexibility!

Just wondering how you suggest planning/logging smaller social media posts like Instagram for example that involve daily or maybe even two posts a day? Would it be good to include this in the production pipeline or would it crowd up too quickly?
@augustbradley

I think that would be too small for this, I would add those to a daily habit/routine. Set a specific time each day for a fixed duration and each day do the social media posts then -- add them to software that can schedule their delivery at spaced intervals (like Hootsuite). I don't see those as tasks, but rather a Habit/routine. Good question Samuel.

Thanks Walter, spreading the word helps a lot. I will be rolling out some products over the next few months -- first a membership community (with a low price) then courses. The idea is to provide more access to me and more direct coaching at various levels, plus get more discussion across people in the community (YT comments here do not do that well). Then the course will be even greater access. Right now all I offer is high level coaching/consulting, but want some more accessible access points.

Amazing video as usual! I've been my variation of PPV daily for a few weeks now and each new video helps refine it further. Thanks for the content, it's always appreciated. I'm curious to see the Vault series, to compare it with how I interpreted the idea. My only current issue, which seems to be a common issue, is about having Tasks databases for teams. Basically 1/3 of what I do I'd want to put into a team dashboard, but I don't want the other 2/3rds to be visible. So my only option is to either copy/paste tasks into two databases, or have two Action Databases, one for the team, one for me. Either way it seems really meh to handle. I wish I could link one task to multiple databases, so I could just add a relation to have that task show up in the other database and stay linked. That'd be even better than filtering databases, but I doubt anything like that will happen anytime soon. Maybe I'll just have two action zones and handle them separately, that could work I guess. Thanks again! Will compare Vaults next time :D
@augustbradley

Thanks Michele, and congrats on your progress! Nothing wrong with continually evolving the system. Yes, the lack of privacy and controlling access to some parts of the Action DB is one of the two biggest issues with Notion right now (lack of API is the other). Both will be solved, we just don't know when. But I agree with you on that. The best solution I know is to create a dashboard (an Action Zone) that embeds the two task DB's next to each together (on above the other). So you can see both views in the same screen and can even drag/drop across them. Not perfect, but gets the job done.

I'm about to implement this but I had a question before I do so. As a marketer I need to have a content production pipeline for work but I also want to build one for personal content creation that I'm planning to start later this year. In addition to that there is potential to do freelance content creation for clients down the line (writing, photo, video etc). Would you recommend an all encompassing pipeline or a per-client based system treating both work and self as "larger" clients? I worry that my production pipeline as one big pipeline might become cluttered and create a lack of focus.
@augustbradley
@augustbradley 4 жыл бұрын
It depends. If I were doing all the production across all thee end uses/clients, or me and my internal team -- I'd do one content pipeline dashboard. If you are doing a high volume of content for a specific client and they are involved in the production along the way, then I would have a separate one for them. It really comes down to who is involved in the production pipeline along the way, if it's the same creation team then one board regardless of end use. In this case have a single select property to indicate which each content it is for. The board becomes a coordination tool for the production team, end purpose is less relevant. If you are a one person team, then just have one board.

Hi, August awesome serious I cannot stop watching it the whole day. Just quick question on Status in your Content production pipeline. Your last status is Post Archive and I wonder why do you not have Post Performance when you have content published? Don't you want to track and see which content is performing well after some time (the first week, the first month, overall, etc) so you can make more of good performing content and boost your watch time or subscribers number or whatever is your goal. Maybe you use analytics from the platforms where you publish: KZbin Analytics, Google Analytics, Google Search Console etc.

Hi August, thanks again for these master pieces, I love learning from you and this content is just fantastic. I do have a question around this workflow specifically, do you remove the associated task to the production pipeline once completed, or do you allow them to add up. I would assume you would need more than one task to accomplish any of these. This leads me to a secondary question which is dependant on your answer. If you do remove those tasks from the PP do you still have them linked to the relevant Project it is supporting and why is it you do not have the PP related to the Project DB (or Goals) . Really interested to hear your answer. Keep up the great work. Love watching these and implementing your teachings. You are a such a value to this community.

@August, I have a couple of questions now I've been through this training. At around the 3:52m mark, you make the distinction between the Production Pipeline being the name of the database, which should be placed in Pipelines, and since the Content Production Machine is a dashboard, then naturally it belongs under Dashboards. Then you go on to say that the Production Pipeline database is embedded in the template with the dashboard. Is the intent then for us to un-embed the dashboard from the db and separate them to their categories?
@augustbradley
@augustbradley 4 жыл бұрын
The Production Pipeline is embedded inside the dashboard in the template so that it can all duplicate together, otherwise the connection to the DB would break. That;s the only reason. You can move it out into Pipelines once you've duplicated the template.
@walterterry9970
@walterterry9970 4 жыл бұрын
@@augustbradley Ok, thanks, boss. I got it all sorted out now. I hadn't looked closely enough to see that all of them in the dashboard were relational slice-&-dice views of the db and only one was the genuine db. Then it was a simple matter of duplicating the template, ripping out, all save for the production db and then reestablishing links back to the content machine dashboard. I did not know I could do that and felt like such a Notion stud afterwards. Years of having nightmare flirts with MS Access and Project taught me to be gun-shy of that kind of experimentation. Notion is very forgiving of my "Hey, what happens if I push this button?" approach. Thank you. Great learning experience! I know know how to fish better instead of being given a fish for the day.

Thanks for the great video as always You and I seem to define projects differently - whereas I use the Getting Things Done definition of "Anything with more than one task/action item is a Project", you clearly have a much higher bar for making something a project. So, my question is, how would you decide what is a project, what is a series of tasks, and what is an item not big enough to be a project so it needs its own "specialised" dashboard and database like you have with this content production database? I ask this because watching your video has opened up multiple possibilities for different specialised databases I could make for repetitive "projects" which aren't quite big enough to be projects, but whose actions could last years, so they could benefit from having a specialised database
@augustbradley
@augustbradley 4 жыл бұрын
If you can keep two or three small and short tasks in your mind and not loose track of them, just do them quickly as tasks -- no need to add a massive number of small Projects to oversee just for that. The line is whether you can keep track of them in your head easily. The GTD bar David Allen set was way too low on Projects IMO, it would lead to a crazy number of projects. Unnecessary. The decision for a "specialty pipeline" like the Content Pipeline is based on whether you have a routine, frequent and very consistent type of action item that needs to be tracked through stages. Would looking at all the items of this type at their various stages together be helpful? If so, make a specialty pipeline. Otherwise, keep those items in your task/project system.

Nothing is connected to thee "Pipelines" page, it's just an organizational folder for the left-side navigation. You can connect Pillars to anything you find useful. They're two different apps for two different purposes. I use them both, each in their lane. Notion has the much broader range of functions. Evernote is now more specialized and niche in my system, but still plays a role. I will never go back to Evernote for the 85% that has been replaced by Notion. Evernote is the dump-everything-in-without-thinking-about-it shoebox, just in case I might want it later. Evernote is good at bubbling things up through it's machine learning pattern recognition, and good at capture (with tagging) and has very good search. Notion is for anything I'm actively working on, knowledge & info management tied to active projects and life pillars. Notion is save it to use it now, Evernote is save it to maybe someday use it (at which point I would bring it over to Notion). This is just regarding info and media capture/storage, which is all Evernote really does. Notion of course does much more than that.

Hi Dr. Norma Love-Schropshire. That video is from back in June 2020, back then there was content template but it is no longer part of the pack - I'm making changes to it and plan to release a new one hopefully soon! Sorry about the timing on that.

I am a 42 year old man that dances 10 minutes every 10-12 years... and I surprised myself ''dancing'' on my way to the computer to watch this series yesterday. Just sayin'.

Btw, obviously your schedule is your schedule annnd... I would not mind it one bit if you took a little longer than usual before cranking out your next masterclass training, so I can get a chance to fully APPLY and integrate this training into my workflow. Just sayin', ok, brother? 😉 It would not suck to have extra time to digest and apply. I doubt I'm the only one who feels this way.

The KZbin algorithm disagrees 😀, I serve the algorithm. Just kidding, I'm looking forward to getting the main Notion system out then expanding to some other types of related content.
