Good day, I had finished watching the video. One of the parts discussed was the blind-copy, which I had no idea beforehand. I always saw it when I was making emails and did not think of it as anything important. But its purpose of confidentiality made me realize that emails could just be sent to anyone if willed to by the sender. Taking copy notation into an organization, it makes me see how information is systematically disseminated in it. Thank you for this video.

I’ve watched this informative video lecture, sir! I’ve learned that some of the parts of the business letters are optional and some are necessary. I’ve also learned that when addressing the date, it has two styles which are (month/day/year and day/month/year). When it comes to salutation specially for business correspondence, salutations are followed by a colon (:) or a comma (,) if it is a social type of business letter and some has no punctuation at all. One last thing, when it comes to addressing the name, it should be written as the [title] and then [last name] (i.e., Mr. Brabante.) Thank you for this lesson sir! Have a good day.
@nicoroyceaniag21912 жыл бұрын
Good evening Mr. Brabante! I've watched this informative video and I really appreciated your lecture. I have learned the different parts of a business letter, and what fascinates me are the optional parts since I am kinda familiar with the regular ones. They are 17 all in all (6 regular and 11 optional). This would help me to write an effective business letter in the future as this is an integral communication tool in formal and professional settings. Here are some of my virtual notes as my takeaways: Regular Parts of a Business Letter: Dateline - 3 line spaces below the letterhead or no more than 2.5 inches from the top of the page. Remember to use CURRENT date. The month should be spelled in full not in figures. Inside Address - contains the name of the recipient, the recipient's title, and the company name and address. Space down 4 lines from the dateline / 3 lines for short letters. List the most specific info of an address first and the general last. Remember this principle, Nico Roycee :> Salutation - For business correspondence, salutations are followed by a colon or a comma if it's a social business letter or no punctuation at all. Remember that combine the Title (Mr. / Ms./ Mrs.) with the Last Name. Body - can be short or long as necessary to convey the message. The introductory paragraph connects your reader with your purpose. Keep your writing friendly. The closing paragraph states the required actions. Keep in mind to always apply the principles of unity, coherence, and emphasis. Signature's Block - to emphasize that the letter represents the company's views as a whole. The company name must be in ALL-CAPS. Double space below the complimentary close. Writer's Name and Title - 4 line spaces below the complimentary close or the company signature if used. For formal correspondence, it is recommended to use a title, typed on the line below the name. Optional Parts of a Business Letter: Letterhead - contains company's name, address, phone number, email add, fax no. No more than two vertical inches of stationery space. Commonly at the top of the page but infos may also be at the bottom (street address and contact nos.) Special Notation - PERSONAL, CONFIDENTIAL, CERTIFIED MAIL, URGENT, and FAX TRANSMITTAL are the ff. notations commonly appear in business letters. They are keyed in UPPERCASE letters and placed a double space above the inside address. They may also be placed a single or double space below the enclosure. Attention Line - directing the letter by using this that contains the name of a person or department. The preferred method these days is to place the attention line as the first line of the inside address. Subject Line - commonly appears a double space below the salutation. Simplified letter styles suggest putting the subject in all caps centering it three line spaces below the address. In re/re/Subject - these terms are usually used for legal correspondence. It is used for a long letter such as 2 or more pages. Complimentary Close - double space below the last line of the body. Use Sincerely or Sincerely yours and comma if the salutation ends with punctuation. Space down 4 lines from the closing to the writer's name so there'll be a space for the writer to sign. If addressed to a top executive, typically use Respectfully yours. If addressed to an immediate supervisor or colleague usually close with Truly yours. Reference Notation - 2 line spaces below the writer's name and the title. This reference notation is required only if the typist is not the writer. The notation is typically marked by the typist's initials, first name or last name. Ex: /nra /nico /aniag File Name Notation - it is sometimes needed so that the documents can be easily retrieved from the storage. Place the file name notation below the reference notation. Enclosure Notation - this notation reminds you to make sure the enclosure is sent along with the letter. List the items or specify the number of enclosures. Attachment Notation- when clipping an item to the letter, use the attachment notation. State in the body of the letter that you are attaching the item to the letter. Copy Notation - A cc(courtesy-copy) notation appears on all copies and indicates to whom copies of the letter are being sent. Some people prefer to use c rather than cc. On the other hand, a bcc (blind-copy ) notation appears only on its recipient's copy and not on the original or on courtesy copies. This is usually indicated for CONFIDENTIALITY and SECURITY reasons in legal or investigation cases. Postscript- PS has been traditionally used for an afterthought. It is rather not used in business letters. There are instances when the writer needs to deviate from the formal tone of the body of the letter and indicate a message that is rather personal or off-topic. It is located at the bottom of the page.
