How to Create Recurring Tasks in Notion!
Hey there productive people in today's video I show you how to create recurring tasks in Notion! This has been a long time coming, but it is finally here! Not only can you create recurring tasks in Notion with this new update, but you can create a recurring template which can be used for much more than just tasks alone!

How is this useful if the task is not recurring in the calendar view he shows in the video?

The only problem with this is, I'd like to see my recurring tasks in advance. Let's say I'm planning my next week and I don't consider one of my monthly repeating tasks, and the day it "appears" in my list is too late to make time for it... I'd like it more the google way, where the recurring tasks are all created at once and if you look at your calendar in "the future" you'll see them there.

I agree. It's annoying... here's a fix! Step 1.) Search 'Productive Dude Google Calendar Notion 2 Way Sync' watch this video. Step 2.) Create recurring tasks in Google Calendar and configure them in Notion-Automations. Step 3.) Enjoy seeing events/habits/tasks recurring AND ahead of time. 2 way sync via google calendar. * It costs $5 per month to integrate but it's a great product. One of my favorite Notion tools in fact.

The best combination in my opinion: use Todoist for task management and notion for everything else

A fix I have found is to create a formula called date that takes the created time and adds some time to it that way when created automatically on the previous month it populates a new for the next month

🤯🤣 No way... I was actually trying to set up a recurring task for watering my plants on my new notion planner when I searched and found this video. I opened it in a side-by-side view to follow along and I was SO weirded out when you named the task exactly the same as mine at the same time!!! hahah This video was very clear, simple, and helpful. I appreciate the "start from scratch" approach as it is helpful for those just starting out. How can I pre-populate this tasks on a calendar instead of have it generate by timer?

Thanks for the kind words… unfortunately Notion doesn’t allow a way to pre populate. Time triggers are the only method right now.

I recommend checking out my Google Calendar + Notion two way sync video. You can create recurring tasks in GCal and it will allow you to two way sync them to Notion. This is the method I’m currently using to achieve this. This method costs $5 per month but it’s worth it too me. The website is: notion-automations.com

@@ProductiveDude Gotcha. Not the most efficient but a work around would be to manually add task X times through out month. Will have a look at the Gcal integration. Thanks man!

Most efficient way I found is Shift + click to select event, Ctrl + D to duplicate, click and drag to next calendar slot you want. @@MrSxiong85

I my opinion its so stupid that Notion doesn´t support the pre-population. I mean that´s what a calender is about?! What if I set another meeting on friday because I think its an empty slot and than the "water my plants" entry pops up. I dont understand that.

I have a specific list of tasks already created and tried to add the steps you have shown for recurring tasks. However, my list of tasks is based on 'Date' while yours is based on 'Created time' and so thus the calendar view could not capture the recurring tasks once it is being created. Any way to reconcile this? Thanks!

Sorry I'm 6 months late, but you should just do this: go to three dots of your database (view options), click layout (must be calendar), click Show calendar by and choose any of your time related properties of your database! Hope it helps someone😊

I'm pretty new to Notion and your videos have been helping me a lot. I was searching for a recurring task video before I needed to jump into those API stuff and then I just got to know from you and Thomas Frank that a simple feature was released just for that. So good! haha thanks!

I agree, it's a poor implementation. It needs to appear immediately. Using a template to do it is also goofy.

@@Mark4Jesus Yea I don't get why it has to be in a template. Meh. And... if you have more than 1 task you have to make additional templates. Yet another notion workaround. So many other platforms have been doing this really well for yrs +facepalm+

Hey, thanks for the video. It made me realize that I was doing something wrong with my recurring task. Do you know if I can also add a Reminder for when the page is created? I only found a way to add the @Today (when created) but this isn't a reminder.

After doing this calendar view no longer allows you to "add item" to the day with the little plus sign. Oly way is to go to database view and add it there. Or double click on the day but then I can only add the current day cant add to future days. Something weird with "date" and "time created" properties cant seem to co-exist when a repeated event is added

This is useless unless you can set the start date of recurring tasks so you can see them in your calendar. How do you do that?

When does the recurrence populate? I am trying to get a monthly task to recur on my calendar for the 15th of every month and don't see it populate when I click the template I've made following these steps. What am I doing wrong?

it only appears when the day or time in "create" rolls by? will it disappear after that timing? 0.0. I was hoping it will spring up in the calendar (month view) so it's easier for me to track them at a glance. so if I want that I should just add them manually inside?

what i want to do and i can't figure out, and not even one totorial helps (not even this one, sorry) is this: i made a database with my classes. The claases are pages with the info about them. they link to different pages like assignments, class documents... NOW, i want to be able to put this database into calendar view and have my classes show up in them REPEATED (obviously) every weak. I can't fugurite out. I even tried doing this thing in the video, didn't work at all for me, it didnt't repeat. I just really cant figure this out. Notionj is so comsumisable, i really dont see i why i cant add a repeated date to a page if i can already add a date?? someone please explain

1.) click the 3 dots on your database 2.) go to layout 3.) change to calendar 4.) base calendar on the property that has your recurring dates

Thanks for the tip. But: isn't creating a template (by definition, reusable) for a single task ("water the plant") completely inappropriate? For example, the "water the plant" task is going to be set (let's say, every day) once and for all, so what's the point of keeping it as a template? At that point, as soon as I want to create a (single) recurring task, I'll see the list of templates getting longer for... nothing? Isn't there a more "natural" (I was going to say "elegant") way of setting a task as recurring? Thanks again.

Not in Notion unless you integrate with a tool that connects to google calendar subscriptions for instance and syncs with notion

Is there a way to make my recurring tasks to send a notification every tuesday for exanole, because i saw that if you wanna set up an alert you need to set a due date. That due date is not automatically updated, and it remains to the old date when you creates the recurring task. Is there a way to set the alert without setting a date? Is frustrating that the best note taking program does not make it easy, like google calendar where I can set a recurring reminder every day if i want, and i will receive a notification on my phone, on notion I couldn't find anything besides making the task repeat but not alert me.

Hi, the recurring task should show on every week in your calendar view too, no? - It doesn't in the video.

No, the recurring task will only show on instance of it, at the date and time you select. For example: Friday 2pm, will only show up on Friday at 2pm. Which make it impossible to use recurring tasks/events for any future planning. I wanted to use it to include meetings, etc that I attend every week, but I can't plan around them because I have to remember them all anyway. It only really works for regular things that don't take up much time. Like daily habits - taking meds, drinking, doing exercise, feeding pets, etc. Which would clutter your calendar if they all showed up in advance.

Is there not a way for the recurring task to show on the calendar before the time you select for it to be done? I would like to be able to see tasks that are upcoming in a calendar view. But it looks like if I create a recurring task it's not going to be on the calendar until the day/time I select for it to be done. So you can't look at the calendar and see upcoming tasks for the week?

Thank you for sharing your video. After you put the filter 'done unchecked', the event disappears. Is the event going to reappear automatically next month? Since I set it up only on a monthly basis.

The event will only appear at the time of the event. So you won't be able to see the event until the date and time you pick. Ie: recurring weekly on Friday at 2pm, will only show up on your list/calendar at 2pm on Friday. Which makes it terrible for planning since you can't see in advance what recurring tasks are going to be happening!

You can create a checkbox property for your tasks, then you can add a filter to the database that says “checkbox is not checked”. When you check tasks off they should disappear after doing this.

Great quick easy instructions. I just created a routine task list based on your instructions in this video. I created an inline DB at the bottom of my main task DB page. How do I get newly added task to be included with my existing task DB? Thanks again!

You need to create the template on the database that you want to have recurring functionality. So if your inline DB is not the same as another one it will not work. So for instance if I have a database called “tasks” and one called “actions” the recurring template will only work on one database. You can’t carry these recurring pages across to new databases really.

Great stuff! Thanks for making it clear. How did you eliminate the icon on your Templates for Tasks Menu? It is a Solid black icon? I'm working in a team environment so am thinking of using the Daily and Weekly dividers like you created for each team member.

I followed the video. made a "test" task and set it for a couple minutes later, just like in the video. and then the time came and nothing happened. it didnt populate the calendar view, it didnt notify me, it didnt do anything.

Check your main database with no filtering. Also make sure you saved the changes for the recurring template.

is there a way to make them pop up in timeline? i want to have a to do list pop up for just the moment it pops up or during the time period it occurs and i want it to populate in timeline so i can see the schedule throughout the day

I have a specific need and it would be amzing if it could be acheived. I run a selection of courses each chool term which all run for 8 weeks. Is there a way to show the class apear weekly (in advance) on the calendar? I've tried adding additional dates to each course in my database, but it only shows one (I found where you can set the "Show calendar by' but you can only show one thing.) It may be beyond what can be done in Notion.

You can only show one database, based on one date property per calendar. A workaround is trying to create a single database with properties that allow you to differentiate between the types of pages or relating them to differentiate.

Unfortunately recurring templates can only be triggered at a specific time. Therefor this feature can’t do this type of thing.

Yes you can set it up to do a specific day/time or every week or every month in x date, etc. Im you can change that by clicking on the three dots next to your recurring template after hitting the new button drop-down.

Great Video. I'm in the process of moving from Everrnote (10+ Year User) to Notion. I have a question. My current workfkow is the GTD Process. So hypothetically speaking. Suppose I subscribe to a service on my phone with a monthly recurring bill. I get the receipt and due date in my email inbox, I then "email" this note to my Notion inbox. All I want to do is have a recurring due date linked to this note that will surface in my task list on the given day. Do I have to create a template for each monthly bill? I have 2 business and run a lot of personal tasks and information through my Evernote. I'm guessing with Notion, I will have to have a page for specifically dedicated to the recurring task of each facet.

Is there hack tip to set it up with custom timings. For example to reoccur every second week ? I guess you could set it up as 2 separate tasks which both repeat monthly, that way you have de facto every second week setup, bot was wondering if there is a more straight forward/ elegant solution.

GUYS, I need some HELP from the Notion user community... I did everything PD said in the video, and I even changed the time for my computer, but the recurring events never worked. I am also confused about the difference b/w "date" and "date created". Can someone tell me if that's happened to them, too?

It sounds like you’re running into some issues. Are you on the desktop or web app? Have you reached out to Notion support? Make sure you use date created. That’s how you get the automation to occur. It’s referring to the date the page was created.

No, unfortunately not. You can however set the title to “@today” and it will update dynamically if you configure @today properly.

Hi! Not related to this video but is there a way to form columns with to do lists? For example 12 tasks but 3 columns with 4 tasks each within the same list?

Thanks for video, feature is good but it has some cons, which is like you can not create recurring page with notification. I was thinking to use this feature like TickTick :(

There may be a way to add notifications by mentioning a time/date or person in the title of your recurring template. Try using “@your name” in the title or mentioning “@today” with notification set. Not sure if this works as I haven’t tested it for notifications but it might help.

@@xutgux Well yah today is either dynamic to the actual day, or you can set it to always be the actual today. There is a setting when you add it that you can switch.

I didn't understand. Do we have to create a new page for every recurting task? I have do many to foster in my table, I clicked to created time there, and then what should I do?

@@katsmith8263 what time did you set the routine for? If you watch in my video I click the new button. Then I select the routine interval (daily, weekly, monthly or yearly). After creating that, you should see that page populate for the time you set.

This still just ISN'T IT... I'm trying to set something up to track all my bills and I want to be able to look ahead, but still have them repeat... so frustrating that I can't do that

I agree it's frustrating the way this was implemented. I would suggest using my Google Calendar + Notion Integration to create recurring tasks in Google Calendar that sync directly with Notion. This is the best option for this type of set-up right now.

Notion only allows events to generate on a set day. You can’t have them generate ahead of time. If you want then to generate ahead of time, just create them in google calendar and watch my integration tutorial with Notion and Gcal

I really liked this video, simple, to the point, I get it. But this is honestly an overly complex and stupid implementation by Notion. I literally have hundreds of tasks from bills, TODO, I use Notion for side gigs, yearly tasks and subscriptions for clients, etc. So would I have hundreds of templates? I’ll have to stick with Apple Reminders until this makes any sense in Notion.

Agreed, this feature doesn't work well for me either. I'm excited for the day notion allows me to sync up my task database with Google Calendar... That way I can add recurring events in Gcal and have them automatically add to Notion. They promised this in 2022 but didn't deliver. I'm hoping they are still working on Gcal integration. Anyways, thanks for watching.

If I wanted to add the same task multiple times, ex: "take a walk" at 9.00, 10.00 and 11.00. Do I have to create 3 different templates, or is there another way to do that inside just one?
