Amazing work. I am an executive and I have been cramming SharePoint tutorial videos and this is the best video I have seen on using document libraries. How can you only have 12 Likes? Thank you. I will share this video with my clients and team.

I didn’t realize how much SharePoint could improve document management. The versioning feature alone is a game-changer!

While I might call myself a SP Admin with some years of experience under my belt, training myself by watching such great videos like this just causes me to remember what I forgot, and in some cases what I did not know at the time. I'd love to see one on SharePoint Lists, and then compare it to a Document Library. Well done !!!!!!!!

I'm trying to convert a legacy system from the network server that in some cases includes 7(!) nested folders. I started building a Category column label list and by the time you get to the bottom of the sub-sub-sub-sub-sub-sub--sub folders, the list is unmanageably long. How do you make that work?
@JackFrostDesignАй бұрын
The ShareGate product provides the capabilities to review and reorganize deeply nested folders. You can map the existing structure to a new, more logical hierarchy, and ShareGate will help move files to their new locations without losing any metadata or version history (assuming it's in SharePoint to start). This makes it much easier to transition from an organic or cluttered file storage system to a more structured one. If you contact us we can provide an introduction to a ShareGate representative.

Wouldnt dragging them in intiially in their folder views create a URL for each document. Folders that have multiple subfolders end up having a rather large url string. Just hiding the folder leaves those very large urls. Isnt there a better way to import documents so you dont have to keep the large folder, subfolder url structure?
@JackFrostDesign4 ай бұрын
Yes! That's one of the main benefits of using a product like Sharegate. It's definitely an added cost but it allows you an amazing amount of control That amongst other things allows you to end up with shorter urls. Essentially though every file has its own URL. And no, we don't receive any compensation from Sharegate for saying that.

Does the metadata you add with new columns stay with the file if I move it to another folder?
@JackFrostDesign4 ай бұрын
Assuming that you move the document to another sharepoint library that has the same metadata fields it's going to retain the metadata. If you bring a document down to a desktop and then upload it somewhere else the metadata can be Stripped off

Great content, well explained! Quick question: is there a way to create effective sync between the OneDrive existing (shared) document folders and folders/documents I decide to include in SharePoint? My understanding is that SharePoint has certain size and number of items (files/folders) limitations that don't exist in OneDrive. Ideally I would like to keep some files out of SharePoint (especially if no collaboration is required). Thanks!
@JackFrostDesign Жыл бұрын
Thank you for the question. Sharepoint has a 5000 document limit but that only applies to a single“listview”. A library can hold 30 million files. From a strategy standpoint I would personally recommend that you only use Onedrive for personal documents. If you need to store documents that are not intended for collaboration you might create a library that only you can enter. PS. Onedrive is Sharepoint. It's just a limited version of a Sharepoint library. You might watch our video on Onedrive, it's pretty illuminating. We hope this helps.

@AshleyDadd Жыл бұрын
Hi Adam, you still work in a synchronised folder structure locally on your PC. I use CAD programs that require folder structures, its just locating them an management of their currency is what SharePoint does. And if the library is shared to a teams channel, collaboration with @mentions. I am only very new to it, but it is really amazing. I have been a GSuite business user and only engaged with SharePoint this year. It a bit of mindset shift.
@JackFrostDesign Жыл бұрын
You don't have to give up either method, use SharePoint when you need to update metadata, use windows explorer when it's appropriate.@@AshleyDadd
