Thanks, but was wondering if I could merge while keeping the formatting of the other document. For example, when I merged a table, the spacing (row spaces) seem to change!
@SharonSmith7 ай бұрын
Hello! Merging multiple Word documents while preserving the formatting, especially for elements like tables, can be challenging due to the way Word handles styles and formatting across documents. However, there are several methods to merge documents while retaining their original formatting as much as possible. Here are some effective approaches to try. I hope this helps! Method 1: Using "Insert Object" Open the Primary Document: Open the document into which you want to merge other documents. Insert Object: Place the cursor where you want to insert the second document. Go to the Insert tab. Click on Object (found in the Text group). Choose Text from File. Select the Document: In the dialog box, select the document you want to insert. Click Insert. This method usually retains the original formatting of the inserted document. Method 2: Copy and Paste with "Keep Source Formatting" Open Both Documents: Open the document you want to copy from and the document you want to paste into. Copy the Content: Select the content (including tables) you want to copy from the source document. Right-click and choose Copy (or press Ctrl + C). Paste with Formatting: In the destination document, place the cursor where you want to paste the content. Right-click and choose Paste Special > Keep Source Formatting (or press Ctrl + V and then select the Keep Source Formatting option from the Paste Options that appear). This ensures that the formatting from the source document is preserved. Method 3: Use "Combine" Feature for Track Changes Open Both Documents: Open the primary document and ensure it is ready for merging. Combine Documents: Go to the Review tab. Click on Compare and then select Combine. Choose the documents you want to combine. You can add the second document to the primary one, and the combined document will show changes while keeping the formatting intact. Method 4: Adjusting Table Styles Manually Sometimes, even after merging documents using the above methods, table formatting may still need adjustment. Here’s how to fix it: Select the Table: Click on the table to select it. Table Tools: Go to the Table Tools Design and Layout tabs that appear. Adjust Table Properties: Use the Table Properties to adjust row spacing, cell margins, and other formatting details. Manually adjust any specific formatting like borders, shading, and font styles to match the original document’s style. Method 5: Create a Master Document Create a New Document: Open a new blank document to act as the master document. Insert Documents as Subdocuments: Go to the View tab. Click on Outline. In the Master Document group, click Show Document. Click Insert and choose the documents you want to merge. Each document will be inserted as a subdocument, retaining its original formatting. Best Practices Consistent Styles: Ensure that styles (like headings, normal text, etc.) are consistent across documents to minimize formatting issues. Check Compatibility: If documents are created with different versions of Word or different templates, check for compatibility issues that might affect formatting. Manual Adjustments: Be prepared to make some manual adjustments after merging, especially for complex formatting elements like tables. By following these methods, you should be able to merge multiple Word documents while retaining their original formatting as much as possible.

I have a one page Word document with the logo as the cover page and I need to insert it into each SOP. Apparently I need to open each one and insert a blank page to use this option. I was hoping to automate that process but it’s only 20, it won’t take long.

Great video. I was so happy to find it, but unfortunately when I hold down the Ctrl key, it does not allow me to select a second document. I tried Command, which is the usual key for selecting more than one document, but that didn't work either. I'm on a Mac, running MS 365, version 16.71, the latest update. Any idea why this isn't working? Seems very straightforward.

Thank you for this video. Is there a way, outside of word, to consolidate a set of word documents into one? I basically want to select a bunch of documents and consolidate them in a stack, similar to printing a bunch of documents sequentially.
@claudio_sergiacomo4 ай бұрын
Thank you for your tutorial. Let's talk about doing this merge with word documents that includes endnotes and citation all linked up to their references in the end notes. I have a requirement from an author who has written a book with 10 chapters. Each chapter is in a separate Word file, and each file has its own endnotes at the end of the chapter, with the citation numbering starting at 1 for each chapter. I need to merge all the chapters into one file, placing all the endnotes at the end of the book. However, I need to maintain the endnote numbering exactly as it is in the chapters, meaning the endnotes for Chapter 1 should start at citation 1, and the endnotes for Chapter 2 should also start at citation 1 of chapter 2, and so on. What is the best way to achieve this?
@SharonSmith3 ай бұрын
Hello! Here is an approach you could try. Be sure to save your original files and start with a new version of the first chapter document to try this method: Step 1: Merge the Documents Open the First Document (Chapter 1): Start with the first chapter. This will be your base document. Insert the Remaining Documents: Place your cursor at the end of the first chapter (before the endnotes section). Go to Insert > Text > Object > Text from File… Select the next chapter and click Insert. Repeat this process for all remaining chapters. Step 2: Manage the Endnotes and Section Breaks Convert Endnotes to Footnotes Temporarily (Optional): To ensure the endnotes from each chapter don't automatically merge into one, you might temporarily convert them to footnotes. Go to References > Footnotes > Convert > Convert All Endnotes to Footnotes. Insert Section Breaks Between Chapters: After inserting each chapter, go to Layout > Breaks > Next Page under Section Breaks to create a new section for each chapter. Move Endnotes to the End of Each Chapter: If you’ve converted endnotes to footnotes, now convert them back to endnotes for each chapter individually. Go to References > Footnotes > Convert > Convert All Footnotes to Endnotes. Step 3: Adjust Endnote Settings Reset Endnote Numbering for Each Section: Click on any endnote number in Chapter 2 to bring up the Footnote and Endnote dialog box. Go to References > Footnotes > Endnote Options (click the tiny arrow in the bottom right corner of the Footnotes group). In the Endnotes section, set Numbering to "Restart each section" and apply this setting to the whole document. Move All Endnotes to the End of the Document: Go to References > Footnotes > Endnote Options. Under Location, select "End of document" to move all endnotes to the end of the book. Step 4: Final Review and Formatting Check the Endnotes: Ensure that each chapter’s endnotes start at 1 and are correctly placed at the end of the book, following the content. Review and Format: Double-check the formatting, spacing, and any other styles to ensure consistency throughout the book. Additional Tips: Backup: Always work on a copy of the documents to avoid losing any original data. Manual Adjustment: If Word doesn’t behave as expected, you might need to manually adjust endnotes or citations. I hope this works for you. Thanks for watching!

When I say merge. I mean 2 similar documents and make them one. The edits that were done on one will show up and the additions will show up in one doc without it repeating. I am working on a dissertation while someone else has a copy and is editing. I kept working on it. I wished that I worked on it while IN google Docs then I would not have had this issue. She could have worked on it at the same time as me. Now I feel as if she did all that work for nothing or what I did was for nothing. I am trying to find the video that will merge similar docs. I can't seem to find a video on that.

I like your videos!! Let's say you have those 3 documents and have them as fillable forms. It there a way that you only have to fill one out and it will then fill out the other 2? The reason is that I need all the information on 1 file, but only need some of those on another. And for the other documents I don't always need them, and some are double sided. Currently I have them in just one document, but to print out what I want it's kinda of a hassle to try and remember which pages I need to print when I go to print them. Having just 1 document fill out documents in other documents would be so much easier. Then I just select the window that has the document I want and print it. Thanks!!!
