I checked to see how long this was when I first started it and thought, "Man that's such a long time 😭" and then I got sucked into excitedly watching the straightforward instructions that got me so pumped to try this with his suggested columns! This turned a dead end into a four-lane highway for me. Thank you!!! Comment/tip: There is no "Link Data to Shapes" button in Microsoft Visio Plan 2 MSO (Version 2311 Build 16.0.17029.20140) 64-bit, but you can use "Custom Import" which provides that function. Then there is no "AUtomatically Link" button so you use "Link Data" in the Advanced Data Linking section. Question: Is there a way to add a custom org chart format to the OrgChart Shapes tab in the ribbon (or modify an existing one) so that the initial generation is in your desired format?

Is this only on the Desktop version? I have Visio through work online but cannot locate that org chart.

@@m.yasmincarrillo5851 Yes, this is only on the Desktop version. The online version of Visio does not offer org charts. If you subscribe to Visio Plan 2, it includes the opportunity to download the Desktop version of the software.

@@m.yasmincarrillo5851 I use a version through my work (University) and the org chart is the third option. I have noticed that sometimes the option doesn't appear (seems to be at random) and I have to reload the page for the option to show.

Best Visio video I have seen thus far! I would like to see how making changes within the organizational structure works such as a lower-tier employee moving to a different department (i.e. existing employee gets a different person they report to). Also promoting an employee to the next higher tier?

Thank you for your generous compliment! Changing an employee's supervisor (or Reports To) field value in the Excel sheet will not be reflected automatically in the org chart diagram, even after you click the Refresh All button in Visio. We have to do it manually. To do this, drag the employee's shape onto their new supervisor's shape. That establishes the link between them on the diagram. Then click the Re-Layout button to improve the look of the org chart diagram. I am working on a new series of videos for the latest version of Visio, and I will address this issue. Many people have asked about it, and it is disappointing that Visio cannot handle the change to supervisor automatically.

I would really appreciate if you could show how to add a title and date to the org chart.( header and footer ) Also, could you please show us how to print certain parts of the org chart on 1 page. I tried so many times and its either split or too small.

What happens when your import doesn't find subordinates? I tried this earlier using just names and it created the appropriate relationships, but it added graphic data not on the shapes but the individual text boxes within shapes. So I tried again using EmployeeIDs and SupervisorIDs and the hierarchy isn't detected at all. Each page has one person.

The video was very helpful, thank you. The issue I'm experiencing is that when I generate the Visio org chart, it only shows the top level person/employee and no subordinates.

I did this yesterday and it's saved me so much time! However I had a couple of queries. 1. Is there a way to format (colour code) of one particular position (E.g.. Vacancy) in the same way and create a legend for the same. Would be great if you could help out in this or refer a link that might explain so. Thanks so much!

I cannot find anywhere a list of all the Visio diagram types that can or cannot link to an external data source (like an Excel sheet). However, in my experience, most diagram types can link external data to shapes in such a way that if the data changes, the diagram can be refreshed to update the data on the shapes. Here are two excellent articles. Hi Tim. Great video! Really explains nicely how to link external data to an org chart. However I would like to know if a workaround for refreshing org drawing exisit. E.g. when I change a line manager, the data gets updated when refreshed, but the org chart drawing remains the same. It is easy to drag-drop it for a change or two, but image doing that for all the changes in an organization of several thousand employees. How would you approcah this scenario? Thanks a lot for your input!

Thank you, Simon, for your kind words. Sadly, I know of no way to automate large numbers of changes to the org chart diagram. Updating the data is easy, but the diagram does not redraw itself. If I knew of a way, I would most certainly share it.

This was really helpful, thank you. I haven't managed to get to the end of the video so you may already address this, but I have an issue whereby the there are areas of the org structure that either don't have a line manager of the position is vacant. In scenarios like this Visio will move the employees in that team to the line manager above, skewing the org chart. Does anyone know how I can remedy this so that they display in their own team even if there is no line manager present?

I think most people include a row of data in their Excel sheet for jobs that are vacant, just as a placeholder. Use a generic name for the employee, like "Vacant Position" but include data in their SupervisorID field so Visio knows where to put them on the org chart.

what if we change a manager? In my org chart I have changed the manager of a current employee in the excel data but it doesn't change the shape even though it is linked, I can see the shape data is correct but the actual shape does not move. I have tried to click Re-layout.

@@AccelerateComputerTraining Hi There - I am trying something. I hope you are still there and able to help. I used an Excel sheet and created a Visio Org. I made changes in Visio (moved people now reporting to different supervisors). Now I would like to Export the Visio into an Excel showing employees reporting into the new Supervisors. Is there a way to do it? Basically do the reverse - take the Visio and get a complete Excel .

@@benswarts53 In the version of Visio that I am now using, Microsoft Visio Plan 2, which is a subscription, there is an Export command on the right side of the Org Chart tab of the Ribbon. It creates an Excel worksheet from the data of an existing Org Chart.

Thanks Joy! The quick way to hide picture placeholders from org chart shapes is to select all the shapes (press Ctrl+A on the keyboard) and then on the Org Chart tab of the Ribbon, in the Pictures group, click the Show/Hide button. If your drawing has multiple pages, you would have to do this page by page. The other way to hide picture placeholders affects all shapes in the drawing, even on multiple pages. Here's how: 1. You must have the Document Stencil showing. If it is not already showing, in the Shapes panel on the left, click More Shapes > Show Document Stencil, which will then appear among the other stencils in the upper-left. 2. Select the Document Stencil. 3. In the Shapes panel on the left, right-click the shape you wish to edit (like Manager or Position) and choose Edit Master > Edit Master Shape. The master shape opens in its own window. Here, you can format the master shape with what Fill, Line and Text attributes you like. To hide the picture placeholders: 4. Right-click the shape and choose Show Shape Sheet. A scary window opens showing measurements and formulas for every attribute of an org chart shape. Near the top is a property called User.ShowPicture. It usually contains a formula of =IF(User.ShapeType=4,0,1). 5. Enter a zero (0) in place of the formula, which means FALSE or "No, do not show the picture" and then press Enter. 6. Close the Shape Sheet window. 7. Finally, close the Edit Master Shape window. A question appears asking if you want to update the master and all its instances. Click Yes. The appearance of all the shapes based on that master should change. You will need to repeat steps 3 through 7 for all the other shape masters that are used in your org chart until none of the shapes have picture placeholders.

Hi Tim - I have an issue in that my Excel has a Column "Position" that I need to display as a field in my shape, however "Position" is not a choice under my Data File Columns when I am in the "Choose the columns (fields) from your data file that you want to display" dialogue box. Any idea why this column is missing? This column is a number, if that makes a difference (75652, for example). I do see it in my previous dialogue box "Choose the columns (fields) ... define the organization".

Trish, thank you for watching! Your "Position" situation is perplexing. I just tested it by adding a new column, Position, to the end of the same data sheet I used in the video. I used numeric data in my Position column, just like yours. Be careful that you do not have any blank columns interspersed with your occupied data columns in your Excel sheet. In my test, the Position field appeared in the drop-down lists and scrollable pick lists of the Wizard along with the other fields. You may have to scroll down to see it in the step of the Wizard that your question alluded to. I hope one of these tips may help.

Hello Tim! Very helpful video, thanks a lot! A question I have is why do you introduce EmployeeID and SupervisorID values, can't the Name (first+last name) be used instead? Except for the situation when there are two people with identical names (which I consider as very rare exception), I do not see why Name cannot be used as unique identifier.

Thank you for watching, Ihor! Technically, we could use names as the identifiers for employees and supervisors. However, I strongly recommend, and most database developers and data managers agree, using ID numbers instead of names for several reasons: 1. ID numbers are simple to implement. 2. ID numbers are guaranteed to be unique, while names are not. My name, for example, is extremely common in the U.S. 3. It is much easier to make a typing mistake when entering a name than typing a number, and harder to notice. 4. Names may change over time because of marriage, divorce, or legal name change, which would break the relationships. A person's number, however, will never change.

Hi Tim, excellent video. Thanks a lot! Just one question though: I need to create such an organigram where there are divisions only and not people. I managed to do it from Excel and it looks fine. But, one problem though. The automatic shape includes a place of the photo which I would not need since these are divisions. Is it possible somehow to change the shape so the blank photo does not appear on the left of the shape? I'd appreciate your answer. Many thanks!

The visual hierarchy doesn't seem to be updated when the excel data changes. For example changing an employee who reports to EMP_ID 1 to EMP_ID 5 is not reflected on the chart. Not the Re-Layout button nor the Refresh All. Any tips here?

You are right, David. Visio does not update the connections on the org chart even if we assign an employee to a different supervisor in the Excel data and refresh in Visio. You have to manually delete the connector line between the employee shape and the former supervisor shape (click the line and then press the Delete key). Then drag the employee shape onto the new supervisor shape to establish the new connection. If necessary, use the Re-Layout button to improve the positions of the shapes.

Thank you for watching, and for your question. Data Graphics can vary the colour of org chart shapes. Perhaps you could add a Vacant column to your Excel list and set it to 1 (one) for positions that are vacant and 0 (zero) for positions that are not vacant. Then add a Data Graphic to the org chart shapes based on the Vacant field that varies the color by value, using your "normal" color for zeroes and your special colour for ones.

@@julianpaullopez3801 Yes there is, but it is not as automatic as one might wish for. Here's how: 1) Add the additional columns of data to the Excel list, including column labels in row 1. 2) Save the Excel workbook. 3) In your Visio org chart diagram, go to the Data tab of the Ribbon and click the bottom half of the Refresh All button. From the menu of choices, click Refresh Data. 4) Select the Excel data source and click the Configure button. 5) Make a mental note of the filename listed after Location: because you will have to find that same file. Then click the Change Data Source button. 6) In the Data Selector Wizard, choose Microsoft Excel workbook and click Next. 7) The wizard asks "What workbook do you want to import?" It probably has the correct Excel file already specified, but look closely to make sure. It the wrong file (or none) is specified, click Browse and find it. Then click Next. 8) The wizard asks "What worksheet of range do you want to use?" Choose the sheet from the drop-down menu and click Next. 9) Click the Select Columns button and put a checkmark next to the new column(s). You may have to scroll down in the list to see them. Click OK and click Next. 10) Click Finish to conclude the Data Selector Wizard. 11) Click OK in the Configure Refresh dialog box. 12) Click the Refresh or Refresh All button in the Refresh Data dialog box, then click its Close button.

I only want to show direct reports under each manager but under the CEO it is showing the whole company. Is there a way to tell the program to show only direct reports under CEO? When using the Wizard, choose "I want to specify how much of my organization to display on each page". Click Next, when you "Add a Page" or "Modify a Page", in the "Choose how yo want your org chart page to look", select the drop-down arrow for "Number of Additional Levels": choose “1” for that page. If your Org Chart is already created, select all of the Manager level boxes on that page, then click the “Show/Hide Subordinates” button in the "Arrange" group on the "Org Chart Tab".

Have you tried applying a different design theme? Click the Design tab of the Ribbon and then try out the many design themes in the Themes gallery. They can really change the look and feel of your diagram. Or perhaps you wish to change your org chart diagram shapes. In that case, go to the Org Chart tab of the Ribbon and experiment with different shapes in the Shapes gallery. I think both of these changes span multi-page org charts, though I may be wrong.

Awesome video. One question I have a team that their manager is the executive so there is no manager belt so when upload Visio automatically puts them flat on the management level. Any tips on how I can show them all report to the top level without management belt but retaining the nice management subordinate structure arrows

Matthew, thank you for watching! I probably do not fully understand your scenario, but the most important thing to do is to, in Excel, set the SupervisorID (or Reports To) values for those employees to the correct person, in your case, the "executive" you mentioned. That is what Visio uses to determine the subordinate structure arrows. You can always change their Position Type in Visio later, which governs the formatting/appearance of a shape in the diagram.

I have updated a title in my excel spreadsheet. When I refresh, the change appears in the shape data but does not change in the actual box in the org chart. I also notice that for some reason I have two "Title" Fields listed in my Shape Data Box. One is in all caps and the other is First capital and then small letters. I though I figured it out by Defining Shape data and removing the Title (lower case one) since the all caps TITLE was the one showing the updated title. However, after refreshing, that did not solve the problem. I have recreated this Visio Org chart several times from scratch thinking I did something wrong and everytime, I get two "Title" entries on my Shape data and changes to title do not update. Can you help? Thanks in advance.

Hello Mustaches! Thank you for watching, and for your question. Starting at 2:21 in my video, I explain that Visio ASSUMES that you will have five specific columns in your Excel data sheet, and that if you do not have them, it will add them along with your other fields anyway. Crazy, I know, but that's what it does. You simply need to change the typing of your TITLE column heading in Excel to Title and then build the org chart again. I believe that will solve both your problems.

When you choose "I want to specify how much...to display on each page", under "Add Page" or "Modify Page" you can choose the "Number of additional levels": the default is All Subordinates, but you can choose: 0, 1, 2, 3...

Felipe, I do not think there is a way to automate a change to the org chart diagram when there is a change in supervisor, like when someone is promoted. If there is a way to do it, I have not found it. One by one, you have to delete the connector line between the old supervisor and the employee, then drag the employee shape onto the new supervisor's shape to connect them (as shown at 20 minutes 38 seconds in the video), then drag the employee shape into a good position or click the Re-Layout button.

Lets assume that every supervisor has a number that tells you, how many subordinates are below him. When i change this number, from 9 to 10 for example, my shape wont update 😭 Do you have any idea? Carefully follow all the steps shown in the video to make the connection between the org chart and the Excel list. Also, be sure to save the changes you have made in Excel and then Refresh Data in the Visio org chart. If it still doesn't work, there may be some other issue at play.

They have redesigned and relabeled a few things, but the big picture is still the same. Perhaps if you tell me where the instructions in my latest videos do not match up with what you see in the 2021 Pro interface, I can explain how to do it. Where are you getting stuck?

Can this work in reverse, ie, once I've built an org chart can I change a relationship in Visio (say drag an employee over from one supervisor to another) and will it update the excel data to change those employeeid supervisorid relationships?

That would be very cool, Thomas, but sadly, Visio does not do that. Perhaps some clever VBA macro programmer could create that behavior, but it is not built in to the software.

Iwona, thank you for watching our video! For a vacant position, you might want to add a row to your Excel sheet for it with a generic employee name like Vacant Position. Regarding employees who report to an external position, I do not know how Visio would support that.

Dishant, that is an excellent question! I should have addressed that situation in our video. However, here is the solution. First, select the employee's shape in the chart and press the Delete key to delete it. Don't worry, we will bring it back! Next, add the employee back onto the chart as though they were a new employee by following the instructions in the video that start at 19 minutes 11 seconds.

I had the "Link Data Shape" between my excel file and visio organization chart. Nina, thank you for watching! When you change an employee's manager in the spreadsheet, Visio is not able to make the change on the org chart automatically. You will have to do it manually. Step 1: Disconnect the employee from their former supervisor by selecting the connector line between the former supervisor and the employee and pressing Delete on your keyboard. Step 2: Drag the employee's shape onto the new supervisor's shape as shown in the video starting around 20:37. This connects those two shapes. Step 3: If necessary, click the Re-Layout button on the Org Chart tab of the Ribbon to improve the positions of the shapes.

To add or change the data values that appear in each org chart shape (not the data graphic), follow these simple steps: 1. Open the org chart in Visio. 2. Click the Org Chart tab of the Ribbon. 3. Click the Dialog Box Launcher button (the tiny square with an arrow pointing down and to the right) that is located in the lower-right corner of the Shapes group of the Ribbon. This should open the Options dialog box. 4. There are two tabs in this dialog: Options and Fields. Click the Fields tab. 5. For Block 1, choose which fields you wish to display. 6. Use the Move Up and Move Down buttons to rearrange the fields as needed. 7. Likewise for Block 2, choose which field you wish to display, if not the Name field. 8. Click OK when done.

Chart without link with Photo Folder, then after I have done everything and want to add photos (automatically based on unique number/ID that we set), it cannot be done. When I chose Multiply photo, they said I have to rename the photo to name format which I find it is really difficult. Therefore, how can I add photo automatically into an existing Org. Chat? You must store all your photos in the same folder and name your photos in a way that allows Visio to match each one with the appropriate org chart shape. Difficult? Yes. But easier than applying photos one by one.

Why is it that all of my source data is not copying over into visio? I've checked the excel numerous times and it is just not working. It's still short about 5 or 6 out of 78. Secondly, I need all my data on one page-I've tried everything but it still breaks it into 3 pages. Please I need help!

It is difficult to fit 78 shapes on a single page of an org chart. The font sizes and shapes would need to be very small. As for the missing data, I could not solve it without seeing the data.

I have studied and explored for more than an hour and, sadly, cannot find a way to add additional data field values onto the shapes of an existing org chart diagram other than one at a time. I tried editing the master shape - no good. I think you would have to start over and run the wizard again. If anyone has found a way, please let us all know!

Click the Org Chart tab of the Ribbon, and in the Shapes group, click the dialog box launcher button (the small arrow pointing diagonally down and to the right). 2. In the Options dialog box that opens, click the Fields tab. 3. There are two "blocks" of content in each org chart shape, Block 1 and Block 2.Use the checkmarks to specify which of your data field(s) should appear in Block 1, and use the drop-down menu to specify which field should appear in Block 2. 4. Click OK when done.

Hi Tim, A few more questions if you don't mind helping more. 1. I have set up an org chart with unique identifier as position number. It takes some manual manipulation to make it look good (eg. I have to adjust subordinate's relative position so that higher levels within a team are shown closer to the 'boss'). If I get Visio Pro, I will be able to link the data as you have shown in your video. We get updated Excel spreadsheets from our HR dept every fortnight and it would be great if we could easily update the org chart I have manually play with using the new data (rather than re-set up a new org chart every fortnight). So, I want to check that I can do this in Visio Pro - can I pull data from a new Excel spreadsheet into my current org chart or does it only work if I manually (within Visio) update the data/spreadsheet already linked to my org chart in Visio as you show in the video? 2. We have a specific way of noting various levels within the organisation (Executive, Program Leader, Team Leader, Individual contributor). I can use the standard templates for Executive, Manager (Team Leader) and Position but it then takes some manipulation to recolour to our standard colours (eg. Exec is purple, Program leader is orange). Also, I set up each team on different pages so it automatically makes the team leader into an Executive shape and then I have to manually fix that. I have created a Stencil with the colours I need but all I can seem to do with that is to drag a shape onto the page rather than to use this to define a shape (eg. drag the shape onto the stencil to have it reformat to the stencil format). I would like to be able to easily amend a team leader who is incorrectly shown as an Executive using the stencil - is this possible? 3. We don't have photos of staff so I don't want to show this and do so in the Wizard but it still shows the blank image in the org chart. I can Select All on a page and click Show/Hide to remove this but as we have 60 pages in our org chart, this is time consuming. Is there a way you can select all on all pages to make a simple change such as this across the whole org chart, rather than do it page by page? My apologies for all the questions. I have tried to find someone in Brisbane (Australia) who is a Visio guru but, whilst we have many, the ones I can find seem to only know process flow charts in detail! Robyn, To question #1, as long as the column heading labels in row 1 are identical in the new spreadsheet to the column headings in the original spreadsheet, then you can successfully update the org chart with the new spreadsheet. To do so, you will change the Data Source that the org chart is based on. Here are step-by-step instructions for Visio Pro 2013. On the Ribbon, click Data > Refresh All > Refresh Data, click the Configure button, and click Change Data Source button. Go through the Data Selector wizard step by step. Early in the wizard, you will be able to click Browse and navigate to the new file. At some point, you may see a warning that "Selecting a new data source may break database links to existing shapes. Don't panic, just click OK. Once you have completed the wizard, click the Refresh button to update your org chart. Finally, click Close to close the Refresh Data dialog box. For question #2, are you asking how to change someone's position type? If so, right-click on the person's shape on the org chart, point to Change Position Type and choose the new position type. If, on the other hand, you are asking how to edit the stencils upon which your shapes are based, I can tell you I have had only frustratingly little success. Here is what I know: You must ask Visio to show the Document Stencil in order to edit shape masters. In the Shapes panel on the left, click More Shapes > Show Document Stencil, which will then be added to the list of stencils in the upper-left. Select the Document Stencil. Right-click the shape you wish to edit (like Manager xxx or Position xxx) and choose Edit Master > Edit Master Shape. The master shape opens in its own window. Format the master with Fill and Line and Text attributes like you would a regular shape. When done, close the window. A question appears asking if you want to update the master and all its instances. Click Yes. The appearance of all the shapes based on that master should change. However, the design theme you have chosen for the org chart may use different colors than the ones you chose when editing in the Shape Master window. Frustrating, right? And sometimes, shapes do not update, in my experience. For question #3, try this. While you are editing a master shape as mentioned in answer #2, right-click the shape and choose Show Shape Sheet. A scary window opens showing measurements and formulas for every attribute of an org chart shape. Near the top is a property called User.ShowPicture. It usually contains a formula of =IF(User.ShapeType=4,0,1). Just type a zero (0) instead, which means FALSE or "No, do not show the picture" and then press Enter. Next, close the Shape Sheet window, and finally, close the Edit Master Shape window, updating all instances when asked. I hope all this helps! Best wishes, Tim Jones Accelerate Computer Training

Arif, I don't know how Visio's org charts would respond if you had more than one row of Excel data with the same unique identifier value, i.e., the same PartNumber, in your case. I assume it would not work well, but please let me know what happens.

Accelerate Computer Training I just had to work around that. I sorted duplicate values in my data and put underscores after the number to represent a different value to visio but the number stays the same....it worked but i only had a few duplicates. In my bigger assembly it may need some sort of a different modifier. Is there a way to create a template/code so that it can understand bill of material logic?

I work in human resources and have to update our org charts monthly...fun stuff!There are about 350 employees spread out over 15 divisions. I have been updating each chart individually along with the master chart that list all employees and divisions. Is there a way that i can just update the master chart and "hide" the divisions that i do not want to include to create smaller, individual, division charts, kinda like excel? There has to be an easier way than what i have been doing

@@Warmwinterz If you mean that you want to apply filtering to the list(s) of data in Excel, Visio pays no attention to row filtering applied to the data set. If you mean that you want to apply some kind of filtering in Visio, I do not know of a way to do that. Perhaps someone else here could contribute to this discussion.

Becky, thank you for watching and for your question. As best I can remember, Visio 2016 Pro offered the same data linking capabilities as 2013 Pro. It is the Basic versions of each that do not offer any data linking features.

My org chart does not update if I am changing the supervisor data even if it is linked

I do not think there is a way to automate a change to the org chart diagram when there is a change in supervisor. You have to delete the connector line between the old supervisor and the employee, then drag the employee shape onto the new supervisor's shape to connect them (as shown at 20 minutes 38 seconds in the video), then drag the employee shape into a good position or click the Re-Layout button.

When I import file from excel why cannot be opened? It look like "unable to read names from your file"

It is hard to tell why the names cannot be ready from your Excel file without first seeing your Excel file. Does your Excel file have its data arranged in the same way that you see in my video? And do you have Visio Pro, or only Visio Standard?

What if a name reports to more than one supervisor? This happens all the time at my company. How do you solve that? Noone doing these videos seems to want to address this?

Microsoft Visio has no support for and makes no provision for the case where an employee reports to more than one supervisor. That is probably why no one addresses it, because Visio cannot handle it automatically. I think you would have to draw in the connectors manually once the organization chart has been created and linked to the Excel data.

Hello, not sure if this has been asked already but is there a solution for Visio pro-2013 trying to link data to excel 2016 worksheet once I select the file and hit next Visio just crashes every time. has anyone come across this issue and have a solution? Thanks

Patty, I apologize for taking so long to reply. I was hoping one of our followers would chime in with an answer. I did a quick Google search on the issue and it seems to be a known incompatibility between Office 2013 and 2016 products. This quote appears in a loosely-related forum post on answers.microsoft.com, "This problem has been admitted by Microsoft and at the moment there is no other solution than upgrade Office 2013 to Office 2016 or downgrade Visio 2016 to Visio 2013."

is there a way to eliminate all the picture blocks in the shapes? Can you "hide" all of them or do you have to do it individually.

Kathleen Gardner Yes, you can. Select all the shapes of the org chart and then click the Show/Hide button in the Picture group on the Org Chart tab of the Ribbon.

Monalisa, you need Visio Pro to use the Data tab. Visio Standard does not include those features.

how can i opening the information if my source it's too big, maybe 5000 people with some 350 charges?. I mean in some sheets.

Camilo, I have never built an org chart with that many employees, and I do not know what you mean by "350 charges." However, the Org Chart Wizard asks a question near the end about breaking the diagram up across multiple pages. I do not really address it in the video, but you should probably look into that approach, because 5000 objects will not fit well on a single-page diagram.

Hi, i have a situation where the existing substantive employee is performing higher duties or seconded to another role and I need to input the details of the person acting in the role for that period. How should I do this in my excel spreadsheet and will it know which field to take it from? Thanks. MJ

Just to make sure I understand your question, MJ, you have an employee (we'll call her Ann) who needs to appear in a different place on the org chart diagram for a period of time? Or does she need to appear in two places (her main role and her temporary elevated role)?

Correct. Currently I am contracting in a position for a period of time which is held full time by an employee who is seconded to a different department but the position belongs to her, although, I need the current employee (whether a contractor or FTE) from another department who is filling the role to appear on the chart. I feel like I need to show the current incumbent who is doing the position even though the role belongs to someone else permanently.?? does that make sense. So far i have created 2 columns. Substantive Name (who the role really belongs to)and Current Name (person, like myself, performing in the role now). Cheers heaps.

I have created 2 columns, 1 for the substantive person and the other for the current incumbent (like me). How should I best approach in visio to pull the information. Thanks heaps.

I'm probably a bit lost with all that, but my initial reaction is that creating an additional data column would only be appropriate if this happens often. A data column with only one or two entries and dozens of empty cells doesn't feel right. I think I would just change the data in the incumbent's row to reflect who he/she now reports to, and add a new row for you as the temporary contractor, supplying the appropriate SupervisorID values for each.

it worked. all good. i had to use only the one data field in excel but that was fine. All set and looks great. I do have a question please, when the data is imported from excel, it comes across n the default layout which is great. BUT I accidentally changed it to horizontal and then decided i wanted it as the default layout again, i couldn't get it back. how do you change it back to the default view?

Cherie, thanks for watching! The short answer is, "You can't." If I were to scale the printing down small enough to fit on a single sheet of paper, the text would be too small to read.

Excellent Video. At 20:13 when dragging the newly added position from the External Linked Data to the org chart, I get a position shape that just displays "Name" and "Title". It makes the link to the shape but creates a duplicate Name field and a duplicate Title field. Anyone know how to fix this?

@@AccelerateComputerTraining I have another question regarding about the excel file.....when I upload my excel file into visio...the visio warns me that my excel file have duplicates of data...which some of my department have vacancies in their position...and the visio just delete the duplicates without my permission....so when the org chart has been form, some vacant positions have already been deleted...Thank You for your time and consideration...Hope to hear from you soon.
