BEST Email Hosting? | Google Workspace vs. Microsoft 365

Google Workgroups blows Microsoft away with their Customer Service. Google generally answers within 2 minutes, Microsoft (...hopefully) within two days.

Not for me. Had a problem after my bank handed out a new cc. I simply couldn’t change my payment information within Google Workspace. Support was friendly but didn’t know what to do. Replies took days and Google even sent me a mail according failed payment, as meanwhile they tried to take money from my old cc. Even after weeks I couldn’t change my payment information. As I was afraid of losing access, I moved away from Google. Like two month (!) later I tried to login again and it finally worked without Google giving me any updates on my case/ticket. I changed payment details, paid all bills and closed the account.

Is this still your view about these 2 email host for custom emails? Or is there a newer video with a different recommendation for small businesses?

You can upgrade to enterprise and get 100GB of email storage. I think Microsoft is capping emails at 100GB because it’s a limitation of exchange for desktop. I still prefer exchange over IMAP for email sync, but if you don’t need apps, google is really really hard to beat. Hence, chrome book or chrome OS is all you need

I still don't see what's so wrong with using the cPanel email services as provided inclusive with hosting accounts (with a dedicated IP address on non-shared servers)? Assuming each hosted domain is secured and isolated on the hosting account, with secure passwords and that there are enough moderate server resources available, then I and my few clients have had absolutely no breaches or security problems for over 10 years since I started using cpanel and hosting. I get unlimited email accounts that I can setup in an instant, redirects, forwarding, etc and I can assign as much storage space as I like to each and it's all essentially free, never a penny more to pay than whatever the overall server costs which at the moment is about £35pm and includes website hosting or whatever else I'd like to install and run. The spam filtering also works fine. I have Gmail and an Office account but I just don't ever need to use them for email provision. Is there something I'm missing or should be more aware of security-wise with cPanel? As far as I'm aware or recall, the server uses something like CageFS (I think) which keeps each sub account securly isolated and the email sections can't be accessed from the webside of things? Maybe I'm just not a big enough target for attackers or I've just been lucky, but as I say, everything has been fine for over a decade and never needed external email services for dozens of email accounts that are a breeze to manage and never really go wrong. There is just one thing though that can cause issues and that's not having a good server/hosting provider. Some even impose artificial limitations and restrictions on use, but once you find a good provider it's all fairly easy.

That doesn't sound right, all the security against spam things like that (SPF, DKIM, etc) are automatically set via cPanel and other things can be added or configured including spam filtering on the server before it even gets sent to me. However, sending emails are more likely to be classed as spam (or totally blocked before being sent) if the IP address used by your server is shared with other random users, which is why I pay a little extra for my own dedicated IP address, i.e. on a shared IP, one rogue or compromised user could be spamming and the systems out there can blacklist that shared IP address for everyone for a while.

You can move your older emails to a PST file (from your mailbox), and keep that in your OneDrive storage. However, last I checked you couldn't have the PST actively-open in Outlook (on your computer), because once you close the App it tries to upload/sync the entire PST (10s of GBs sometimes) to the Cloud even if you haven't modified the content (there's no incremental backup for PST files, that I know of; I hope they do that in the future).

You can export data from both platforms before canceling. If you ever needed to start service again in the future, you can upload your data export so you have a seamless restart.
