What to do if i want to create shared mailbox for my team? Could you let me know pls

You can create a shared mailbox and add members with appropriate permissions to the shared mailbox. Once you have added members, they all can then add shared mailbox to outlook.

Under the advanced settings, my “add” button is grayed out. I cannot select it. Is there a way around this?

These might be disabled by your administrator. You can also try adding using the 'New' button under outlook. Goto Files ->Account Settings and under 'Email' tab, you might will 'New' button. If that is also greyed out then this is disabled by your administrators.

It might be due to your organisation policies. You can contact your service admins to add that for you!

First, Shared mailbox needs to be created (by your admins) or through M365/exchange. Second, you need to be a member of that mailbox

You can create a rule. Choose "Apply rule on messages I receive," select the shared mailbox as the recipient, and then choose the "display a Desktop Alert" action.
