Might have been useful to mention right at the start that you need a business account and not a personal account to implement the form (with file upload) and to have the option to continue to receive data while opening the excel spreadsheet.

Yes, it's a big improvement on the old Excel Survey. Yes, you could create a report from the data in the Excel file and share it in the Excel Web App in a web page.

Strange, this setting is in Info.... btw: I saw another option for sharing: you can enter a date and time. This is a nice option for online examns. !! :) So you can only access the exam at a certain time.

Hi Mynda, thanks for demonstrating how simple creating forms could be. Thanks Microsoft team for developing that tool. A couple of questions (though you mentioned it is still in preview) ... 1. Is it possible to create multiple pages form using this tool? How? A short demo could help. 2. Could the user design his / her own form layout. Hi Atul, you can't have a form put the answers to questions on different pages (sheets) in the Excel file, but you could to this yourself later with Power Query or a PivotTable when you're analysing the data. The layout of the form is dictated by the questions you ask. It will automatically scale to the device the form is opened in. There's no way to alter the layout as such, but I personally wouldn't be put off by this as someone entering data into the form.

I am running a MacBook Pro on Monterey, and I have Excel Only! ; I purchased Excel Home and Student from Microsoft because that is all I use 99% of the time. Now after seeing your video, I would like to try Microsoft Forms in conjunction with Excel for my Home Budget, check registers, and savings accounts. Please advise me what you feel is the best course of action for me. I really do not want to pay a monthly or yearly subscription for MS 365.

So great to hear you've found Excel Forms useful. The prepopulated answers is not so easy. There's no built in way to do it, but you might be able to use Power Automate to somehow do it, but I don't have any examples of how, or know whether it has ever been done before. You can't connect a form to an existing worksheet, but you can use Power Query to get the data from the form's workbook and bring it into your Power BI model.

Awesome video 👏 I created a sales performance calculator on excel and I would like it to open as form where any sales agent can open it and enter his revenues and then press enter to get his percentage and expected end of month achievement. How can I convert this into a form where when the file is opened it only shows the form and nothing else (as if it isn't an excel like what you did here)? I hope this makes sense 😅

You can use this form for your sales agents to enter their revenues, but they would need to then view the percentages in another report that extracts the data from the Excel file the form populates. You could embed this file in a web page, but it would only update once per hour. If you want something more instant, then you might be best to get an app built.

This is an awesome training, and I would like to thank you for the awesome topics and simple but through explanations. Are there any limitations on the number of fields and specially records. My purpose is to see if it would work for a medium or large size table. Also, if we have multiple sheets in our workbook, can this method still work for collecting data for each sheet. Last but not least, you talked about Data Validations, how could one refer to a list for selection from an existing list?

Hi Moe, glad this tutorial was helpful. I would expect there's no limitation on the number of records, other than the number of rows in an Excel worksheet, which is over 1M. As for the number of fields/questions/columns, I'm not aware of any limits here, other than the number of columns, but you're unlikely to exceed this. You cannot collect data for multiple sheets, however you can collect it in separate files and then use Power Query to bring the data into one or more sheets in another file. There's no way to reference an existing data validation list. You need to recreate them in the form.

Per recommendation from Mynda on another video, I'm working on possibly using Forms. One sticking point so far: I need large drop-downs (and some will change each month) for most of my questions. Nothing I could type in. Can Forms use drop-down lists like Data Validation in Excel? Secondly, the file upload seems to just send a link to the file to the Excel output. It would make things SO easy on my end if the uploaded files would instead populate the Excel output with what's IN the file. Is that possible? I have 100+ users who fill in about 30 columns of data and 1-50 or so rows of data. If all of that data could be uploaded in Forms and combined in the output, that would be incredible.

Yes, there is a drop down list for forms. The form deposits the data into an Excel workbook. You can then use Power Query to gather the data from the workbook and bring the data into the file you want.

There's no built in way for the form to present a summary of what they entered. If they have a Microsoft account and they're logged in when entering the form, then you could use Flow to automate sending them an email with the data they just entered.

Hello. I created an excel spreadsheet using forms. When creating the forms I originally created about three questions which I later deleted and replaced with another three. However looking at the excel spreadsheet submissions, I see that the original three fields I deleted are still there ( Unfilled) alongside the other fields I created which are of course filled in by respondents. My question is can I get rid of these three empty columns without messing up my work?

I don't recommend removing redundant columns as it may break the connection between the sheet and the form. Instead, use Power Query to get the data from the Excel file and remove the redundant columns before loading the data to the workbook/Power Pivot model.

If you require password protection then you'd need to use another system e.g. Teams or SharePoint where they are authenticated by their Office/Microsoft 365 credentials. They can't modify the data they already entered unless you give them access to the Excel file.

Great tutorial, I've managed to set up quite a lengthy form for data input. I've set a number of questions to numeric, put some dummy data in, and now want to generate a pivot table with the average values. However these display as 0. Checking the cell where the data is stored it has an inverted comma e.g. '5 so stored as text, and the data is left justified. How do I get the numeric values to be stored as numeric as you have done in the example at 8:30 mins. Thank you.

Me again with another question. I have created a form and have used an image to set out my companies privacy statement, however I noticed this comment after submitting a test form "Powered by Microsoft Forms | The owner of this form has not provided a privacy statement as to how they will use your response data. Do not provide personal or sensitive information." I can't see where a "privacy statement" can be added as part of the functionality of the form, currently I'm using an image at question 1. However if there's a better way of doing this please can you point me in the direction of a help page. Thank you

Hi Mynda, I wonder is there a way that the user can re-use their previously submitted request to re create the same request but with a little tweak to the answers they already provided? For user experience, there are couple requests that are almost the same and the requestor would like to re use what they have submitted before and submit it as next versions. The requestor find that it takes time to go through the questions over again when they already entered it and just need to tweak for other versions. Thanks for your help.

That sounds like a great idea, but currently Excel Forms doesn't have that functionality.

On the responses tab in Forms.Office.com, click on the ellipses above the 'Open in Excel' link and choose Print Summary. In the Printer dialog, choose "Microsoft Print to PDF"

Hi, I wanted to collect similar data for 10000 outlets. Is there any way I can feed the options for any particular question from a list? It'll be a great help. Also if we can branch the options for the same. Like selecting country, city, warehouse, salesperson, outlet - all in dropboxes And then collect sales.

No way to import options, but you can branch based on a selected answer via the ellipsis > branching.

Hi, Would like to ask for a question. I did set the restrictions for number but the data result show in excel is text format : '12345. But in your video is showing number format. Not sure why :(

Me neither, sorry. It sounds like the setting didn't get applied properly. Maybe you could delete that question and try setting it up again.

mine doesnt have a file upload option so i am not sure how that function works....however, do we know if there is a way to have user upload multiple responses at once? For those that will have a lot of responses and would prefer to load them using a predefined excel template that is identical to the form?

Hi Kyle, it sounds like you don't have an Office/Microsoft 365 account and are accessing the old Forms via OneDrive Personal. Here they are called Forms Survey and won't have the functionality I describe in the video. For that, you need to log in via Forms.Office.com. In regards to uploading multiple responses, you'd need to use Power Automate to handle the multiple responses and automatically submit the forms for the user.

How do you get the form icon in the toolbar, I went to add commands advanced, all commands I couldn’t get it on there like you have it next to tables

Hello...it is nice presentation...i have a question though, i have already a prepared excel file that is filled up manually whrn you meet the person face-to-face... i am thinking of using the forms to fill up the excel file ahead of the meeting, however, i am thinking of manually entering the information from the automatic excel file as explained to the video to the excel file that i have created. Is there any way to automatically fill up the ready excel when they fill up the form?

Hi Glenn, I'm not sure what you mean, but if you want to point the form to an existing Excel file, then you can't do that. If you want to manually populate the Excel form table by entering data directly in the table, then you can. Probably best to just try it and see.

Hi, it was awesome video, just and few queries. Fee of our sales guys have open office installed on their system. Will this form work on their system. Also, if in using office 365 on my laptop (not online as shown in example) and the other end user using open office i.e spreadsheets. Will put out result be same as shown in the video. Actually there is small project we gonna do.its online training where around 20 branch manager will take trianing for almost 150 guys in various batches daily where they need to daily fill the attendance sheet and send accross to me on mail and I'll have to sit n collate all those 20 sheets daily. If you could answer ny query it would be great. I would like to share one bad experience. I had prepared one sheet with few macros in it. And I didn't knew some of our sales guys have open office spreadsheet where these macros didn't work and my that sheet was a big failure in those location. So this time before making any such thing just wanted to be double sure.

Hi Kiran, If your branch managers are simply entering the data, then this form will work because it is not dependent on Excel. You open the form in a web browser. This will save you a huge amount of data entry. However, if those same branch managers want to open the associated Excel file to see what data has been entered into the form, then they can if you give them permission to open the file through 'sharing', but it won't retain a connection to the form so it won't get any updates once it is downloaded. They would have to download it again to get the latest version. Only if you open it from OneDrive with your Office 365 account will you see the updates.

I noticed that any numerical input in Forms is transcribed to Excel with a leading apostrophe, for example, if I enter 300 in Forms, it shows up as '300 in Excel. As a result, you can't easily play with the data in forms. Am I missing something or is there a workaround to this?

Yes, Dave, this is a very annoying 'feature'. I have reported this to the Excel team as a problem. In the meantime, you can use Power Query to get the data from the worksheet and fix the format.

The form itself is web based, so it can be used from any device with a web browser and internet connection. Creating the form can also be done from the web via Forms.Office.com so no version dependency there either.

I don't have "Forms for Excel" but "Forms Survey" in my Onedrive. Is there another step for me to get it to show up? When I clicked on "Forms Survey" it takes me to Forms but not Forms for Excel.

Hi, when the data is imported from forms to the Excel table, the numbers appear as text. Even after changing the column format from Text to #, the new data still appears as text. Any suggestions would be appreciated.

Yep, I’ve reported this to Microsoft. In the meantime you can use Power Query to get the survey data and transform the number column format.

Hi hope all is well with you in these crazy times the whole world is living nowadays. I am a big fan I watch your channel religiously I have an excel project I am working on and could not get to the bottom of it. here are the details 1. I have a workbook with sheets one capturing client id , the creditor's follow-ups date 2. Sheet two have a table with months headers 3. The goal is as the data is being entered in sheet 1 I want The different dates calculated to be extracted from sheet1 and populate in the table in sheet 2 under the appropriate month column eg.If in sheet one, the month calculated is 06/12/2020 I want that date to populate under June column and so on I can provide the workbook

@@MyOnlineTrainingHub ! Thanks I've connected but excel showing on onedrive. I downloaded a copy from onedrive and then filed one more form. I can see the one drive excel gets updated but the one i downloaded hasn't get refreshed

It sounds like you haven't synced your hard drive to backup to OneDrive, so once you download the file there is no connection to the original file. If you open it in Excel Online, instead of downloading it, the connection will persist.

I tried connecting the form i built to an excel file using Power Automate, but it just wasn't working. My Forms has a (Preview) to it, why is that and how to I change it to your type?

All Forms are currently in Preview. It shouldn't make any difference in regards to using Power Automate though.

Hi Joshua, not by default. You could set up a Power Automate (Flow) to notify you when the Excel file changes though.

Great suggestion! Flow is a whole other learning curve...many people already know Power Query, although not enough :-)
