It sounds so simple, but I love the idea of spending a few minutes summarizing action items at the end of the meeting. This is good because it signals the meeting is ending and it gives people a chance to clarify their responsibilities immediately, rather than possibly ignoring the summary email that comes later.

What I find helps, is as I go through the agenda and an action is needed, the responsible person is tasked there and then with a target date agreed to. This goes on the Follow Up file and obviously gets dealt with by the 'Matters arising from the previous minutes' agenda point at next meeting. The Minutes are sent out withing 2 days of meeting plus the Follow Up file so everyone is aware of their tasks. Delays to tasks must be timeously discussed with me to get a new target date.

So true. I've learned to actually just ask my peers to rate my meeting (anonymous). Takes out the element of assumptions and makes improving real data driven.

Hi Jani, great question! A meeting kit for a virtual meeting may contain links to exercises or documents that you want your team to use during the meeting. You may also want to send out documents to be reviewed and completed before have via email. Zoom also had the white board feature which is also a great tool to use. Hi Heather, thank you for the comment! Time outs at meeting really do work. When meeting participants get comfortable enough with the concept, they start timing each other out, which I always love seeing! It's a great tool to get the meeting back on track.

Thanks for your question. There are some great project management programs out there that you can use. My team and I use a Work Breakdown Structure built in Excel. Every action item is listed with due date, lead and comments. This file is on our share point site so everyone has access. This is where questions are asked or updates are made. If it's of an urgent matter then you can call or email. We do a weekly check in meeting every Monday for about an hour. Hope this information helps. Thanks for watching, cheers!

Thank you for these great tips. In these times of pandemic we are seeing more and more the first rule broken with loads of update calls, any advise for those?

I agree, things have changed since the start of the pandemic and so many people are now working remotely. Using a WBS can help curb these update calls. This document can contain all deliverables, who is in charge and the due date assigned. Have this on a platform like onedrive that everyone can access. It is here that they can update the status of what they are working on and any note pertaining. Obviously if it's an urgent update then a call would be required. You need to lead by example and show how it is to have productive meeting. By practicing what you preach people will notice and compliment you. You will get a reputation for have great meeting where stuff gets done. When this happens you can start influencing the culture. This is a slower method, but it works. I'm struggling with not having "Update Meetings". I have the tools but the teams are so bogged down with the work with really tight deadlines and turn times, that they don't have or make time to update the tool. Chasing down 20-30 people individually for client update report twice a week is taking so much time that it's just easier to have the update meeting. It also helps understand if there are issues, which people don't call out on a tracker, or anticipate delays and can advise the next time without going through me. Does that make sense?

Hi Andrew, great question especially since so many people are working remotely now since COVID. We really need to shift our thinking from update meetings to using the technology tools we have such as the WBS, email etc. Now I'm not saying that there shouldn't be any meetings at all but they need to be purposeful and saved for things like brainstorming, resolution, training etc. I have adapted a quick check in meeting once a week with my team. This is so that we can stay connected on a personal level, see how everyone is feeling. When we were in the office this was so easy to do and we didn't schedule anything, but with the current situation it has helped us as a whole to stay connected. I work for a global leader on Data Center solutions and have been invited to the weekly global team meetings. It's supposed to be a brief summary of your weekly progress. But I've been told today that I talk too much and it's irritating the team because I'm not mindful of the time. Honestly, I just get nervous and babbling. Feeling like an idiot and have no idea how to present myself better.

As a part of the senior leadership team, I feel it’s important to have a 360 view of what is happening within the organization. How can this be possible without an update? There is nothing wrong with having a 360 view or a ‘townhall’ meeting to keep everyone informed. This is important. These types of meeting tend to happen quarterly. The issue is most regularly run, everyday meetings, focus there attention on updates which is a waste of time. Meetings need to have a specific purpose like decision making, issue resolution, approvals, training...to name a few. There are other ways to update progress. Meetings are worth a lot. You are taking people away from their tasks so it’s important to ensure meetings have purpose. Hope this helps.
