I’m a paralegal working with 3 attorneys and I am the only one that calendar blocks my work. While everyone else is getting overwhelmed with the work load, I’m scheduling every single task and keeping up with everything done and needing to be done. I owe my success and lack of stress to calendar blocking!

I love to do lists so much I made a ‘list calendar’. I list everything I think of on Sunday and then remove it once I’ve added to my normal calendars. Then when Sunday or Monday morning come I find time for all the things on my list calendar and delete them as I go so I know I’ve scheduled everything.

Get a widget calendar on the home screen of your phone ! It will be in your face every time you unlock

Print out the digital calendar for the week. Or, you could take the time to add all this to your paper calendar, planner or journal. By using both, you will be reinforcing the plan in your mind.

I print my calendars out at the beginning of each week using the block method after having worked out my roles and goals like Covey, 7 habits of effective people. That way I have blocked out the time for the three most important goals i have for each role including breaking down my work/study roles into smaller roles. Using this combination works for me!

I'm realizing how unorganized I am in my early 20s... and I know that these bad habits are making my life MUCH more difficult than I need them to be. It's time I start forming good habits that follow me into my later years. This is such a great tip, Amy. Thanks for sharing. I think for someone who has ADD, this is an incredible tool. I can't wait to start using this!

I've been trying calendar blocking this week after watching this and it's going SO WELL! Instead of planning the whole week at once though (the main unmoveable things are already in my calendar anyway) I take ten minutes at the end of my work day to plan the next day in detail. This way if I get further with a project than expected, or not far enough i don't have to go through and change the rest of my days to adapt. Thanks for the great video Amy!

Good idea, but in this time in my life I need more structure. I think I'll plan the week but use colored pencils just to outline the blocks which I can erase if I need to make a change.

I am a work-from-home Mom with ADD and your calendar blocking set off SUCH a lightbulb for me...I've been doing it for a month and I actually feel like it has changed my life. So simple, but makes such SUCH a difference with how I view my day and do things. It makes me feel so happy and less anxious as well as insanely productive. Woo hoo! @Ken Brown the alarms in your phone are your BFF and have routines so that you do the same things in the same order. and have check offs for those routines because you won't remember what's on those routines. You'll remember some of it but not all of it. I have a morning list, mid morning list, lunch list, evening list, and before bed list. I also have alarms set on my phone at appropriate times to check my routine lists. I also make a list for each day. I haven't really tried blocking because I'm a stay at home mom with four kids and I'm always interrupted. But I'm going to give it a try

I would love to see this video applied to someone who works at 6am everyday. I would love to be optimistic and give myself 4 hours before work but waking up at 2am is just crazy lol. The problem I run into is not getting things done before work and then being too tired to get anything done when I get home! 😔

Google Calendar is my go-to. I’ve tried others but I always come back to google. This is how I stay organized, productive and sane. Without my calendar system I would be so lost. Great video!

I am so new to calendar blocking, not even talking two weeks here. It's made an incredible difference though. I'm a person that makes lists, I'm OCD about my routines, and I'm the sort of person that ends up deeply unhappy because in my mind I am sacrificing many things that I enjoy doing because I feel like I never have the time anymore. I struggled for so long with the mindset that I had to keep giving up things in order to do other things because there's never enough time in the day to do all of the things. Since I started calendar blocking, I feel accountable for my time and I feel a responsibility to myself. Those precious habits that I want to start and keep going with, like an amazing skincare routine that I should be doing every day, I am setting the time instead of ignoring because I ran out of time and negatively accepted that maybe it doesn't matter if I skip a morning or evening. I love that my life is becoming more organised. I love that I can do all the things that I want to, I just need to set aside the time to do them. Having them set in (digital) stone makes me want to commit to those things in a sense that I don't experience elsewhere. Having that structure brings me so much comfortable and it still provides me with so much flexibility.

As a “lister”, I started doing this at work and it is helping so much. I was amazed at how much time was taken up by my tasks and it really gave me some perspective. I’ve been jumping straight from task to task without procrastinating. Plus, I’ve schedule breaks for myself throughout the day so that I have something to look forward to! Thanks for the tips Amy.

Like others in the comments, I too struggle with time management. I just started getting into the routine of doing 3-12 hours shifts as an RN and I struggle with what to do with the 4 days I have off (I have ideas, but I just don't know how to organize my day to maximize my time) I bullet journal (for about 4 years) but I still don't have a consistent routine I am happy with. I'm really inspired to incorporate this system, now! Thanks for the inspo, Amy.

Love the video Amy! Definitely getting started on calendar blocking. I set general times to get stuff done at the start of the week and then in the morning make it more specific while commuting or in the morning when I am making my to do list for the day and updating my bullet journal. I tried hard stops but it just didn't work for me so putting in transition times usually only 5 mins definitely helps. Also going back and updating my calendar throughout the day or in the evening so it accurately reflects the time spent

Super helpful video, Amy! One problem I think calendar blocking might help me with is punctuality. I find I am consistently 5-10 min late to almost everything, and I’m sure it is due to underestimating the time it takes me to get ready and out the door, or to do certain tasks. So I think this might be a real help for me. I many give it a try for at least a few weeks and see!

Can you share more about how you broke bad habits and really committed to this and how you found what worked best for you? I feel like everyone’s different, did you have to try a bunch of different things to keep organized?

You have to hate the habit enough to stop. Hate is a strong feeling so use it to your advantage. Every day or has much as you can say " I hate----" like I hate procrastinating or I hate crashing on the couch. Then think about what the "ideal you" would do, visualize yourself doing what you would want to see yourself do. You will eventually start finding ways to change your habits into good ones. You might find yourself subconsciously researching ways to help yourself out. Once you start doing good habits celebrate, no matter how small, do a victory dance or pat yourself on the back, smile at your reflection with thumbs up. Stupid things like this work. Next say how much you love this new habit like " I love eating healthy" "Or I love meditating" even if you don't, say it anyways, even if you actions don't align at the moment. Then talk people about your love for this habit. Next talk about your undesired habit in past tense and say affirmations. "I used to beat myself up even the stupidest things, but now I know I am not perfect and that peace is around me always". You can make affirmation for anything in your life. For the habit, in order to keep it, tell yourself that you are committed, determined, persistence, consistent, and that you have come sooo far. For me sometimes none this works for me, because I am in a serious funk where I don't care about myself even if I know what I am doing would benefit me, so I do it for someone else. So when I wake up on time and do my work, and I don't care about myself, I do it for God. I know it sounds ridiculous but sometimes when we don't care about ourselves, but if you do something for people we love, we are ready to commence that action. These are couple of things I have done to keep my habits. Its also how I have created a morning routine that has made me look forward to waking up.

@@dongysakura418 You have some very good ideas. I get in a funk as well, because I am retired, therefore no tight schedule, and I am a chronic pain sufferer. But just because I have these issues, I do not want my time to be about watching TV. If I have a day of pain, I sit in my recliner. However, I can still get things done. I can hand sew, I can crochet hats for homeless people, I can sort thru paperwork and photos, or I can relax and watch a movie that I have been wanting to see. I can love on my pets, or read a good book, or I can make homemade greeting cards for my family. (They get a kick out of them.) I can also watch guitar tutorials, and practice, because that is important to me. I like your idea of affirmations. I just read a book called, "Eat that Frog," by Brian Tracy, and he talks a lot about procrastination, and affirmations. I have found it enlightening.

My two main problems with this method are: - my task always takes longer then expected (this can relate to a lot of people) - i usually don't hear my alarm clock so i wake up later (sometimes A LOT later) and my schedule became a mess... so i think that scheduling the day before or for all the week is just a waste of time since i have to re-do everything, every time. I usually write down things I want to do and make a general outline and in the morning i define time blocking better (even if there is still problem #1) 😂 Ahahah, very interesting video Amy! ☀️

The only problem I have is that it's too in depth for me. I'll schedule the things I want to do, like my tasks and work, but I'm not going to put sleep or commute on the calendar. Especially if I want to keep notification on. I don't want my phone beeping all hours of the day.

Kara Romanoff - i use the digital calendar just for things I want to be reminded of: appointments, due dates etc... It doesn't work for me for general planning, i like much more paper (and who cares about mistakes? 😂 i hear this thing often), also because it isn't natural for me to check my digital calendar (or i don't want to rely on a screen). Instead I'm always with my notebook 🧡 - You can remove notifications - I use in-depth scheduling just when I'm planning my ideal week so i have to think about all the things that take my time (like commuting, since it's about 2 hours a day). And then I schedule the other things around, but I leave some buffers... I think this is a method that takes practice to be used in its best way, but my problem #2 it's a big issue

I've been calendar blocking for a few months now and in the beginning, I had the same problem that my tasks always took longer than expected. So I spend two weeks instead of calendar blocking, tracking how long certain tasks will take and write it down - from taking a shower to writing blog posts. Before I went to bed, I wrote the tasks in my calendar based on how my day actually went to get a better understanding of how much time I spent on them. I typically give myself 1 hour to 1.5 hours to wake up in the morning depending on whether I actually hear my alarm or not and then take 15 minutes to adjust my daily schedule and move things up or down, while bullet journaling as well. At the end of the evening, I adjust my calendar again based on how my day actually went and I always leave 1 to 2 hours free in the evening for "miscellaneous tasks" in case things do take longer or emergencies come up throughout the day. In terms of blocking work tasks, I group them in 1.5 hours blocks of time and give myself 15 minutes break after every work block - to check my phone, get a coffee etc, so that it also gives my mind a break during these hours. Hope these tips could help you!

Kara Romanoff you can customise so that you get notifications for only the appointments you need reminding of. Like you can block out sleep so you remember to be realistic and work around it but when it's sleep time you don't actually have to be notified.

I am a bit of a veteran time-blocker - I have been using this technique from 2000-2006 and from 2007-present. There are a number of "problems" with this technique which are better thought of as challenges to be solved. The best way to address them is to surrender to a different way of thinking and acting which won't make sense to the CW, or to other people. For example, the problem of time estimation is a problem for everyone, regardless of which technique they use. However, when someone makes the switch the time-blocking, their low skill in this task becomes more apparent. Now, you are staring at a record of your crazy estimates on a screen, rather than simply consulting your faulty, biased memory. It's enough to make people give up, swearing that time-blocking doesn't work. A better alternative is to keep going, and learn how to make better estimates. They make life much easier and realistic on a number of levels... - on a daily level, they keep you sane, help leave the office on time, and ensure that lunches and workouts don't get skipped because your poor estimates created a cascade of lateness. - on a monthly/annual level, they ensure that your project estimates are accurate. This helps you build a reputation as someone who can deliver, and be left alone to get a multi-month project completed. Unfortunately, people think that once they start time-blocking, they should be able to make decent estimates. The "planning fallacy" (a psychological error leading to low estimates) says otherwise. Amy is right - these skills take time to develop. If anyone tells you otherwise, don't believe them! It's a mantra we repeat in the resources/training related to time-blocking at www.timeblocking.info - ScheduleU...- the School for Scheduling Everything. We happen to call the technique "Total Task Scheduling."

I've wanted to have a go at calendar blocking for so long but as a bit of a technophobe found it super daunting. This video is so perfect, I'm definitely ready to try it now. I have things like rest breaks I need to have EVERY day and they would work best at regular times. This, combined with a day job and side hustle make serious need for calendar blocking. I tried to block my entire day because I THRIVE on lists and schedules. It didnt work with everything, but I've found that blocking times with reminders to do things like spend 1 hr cleaning really helped me get more done! I'm a new mom (my little is 5 months old) so having a strict schedule was hard, but having reminders to get things done through the day really helped keep me from "losing" time during the day and getting nothing done. Loved these tips! Once my son is on a more consistent schedule I'll definitely use these tips to get more organized!

Melissa Bekius I totally agree. I failed to keep up with my schedule when I planned every minute! I’m slowly easing my way into planning tasks while being brief. I’ve learned to trust my memory and I can still use lists for those unspecific tasks in my calendar.

@@aureliaharrison5345 There is a channel by a mom, Jordan Page, who puts blocks of time on her day, without tight scheduling. You may want to watch that video because it is a great way for a mom to get things done. She even blocks in nap time so she can relax or nap a bit.

I’m hiring a personal assistant soon because I am SO bad at scheduling and follow-through, not because I don’t want to do the things, but because I FORGET about the things! And I have analysis paralysis, so I couldn’t make a decision about what color codes to use on the calendar for which tasks. I need to DO, not to schedule what has to be Done. Unless it’s something I don’t want to or can’t do, then I want someone else to schedule someone to DO.

I like Google calender for all my important appointments but I prefer to use a diary for day to day stuff. I find constantly constant alarms annoying. If I write things down I tend to make it happen, ticking things off as I go along. I try schedule time to catch up on things as sometimes we just don't manage to get everything done when we hope to & if I've done everything I have extra me time!

I like the idea of seeing the time of my life represented in blocks of color. It could be an art form, especially now that I am retired! I'm sure my time will be spent better if I simply categorize a few time-suckers with some ugly color...

Ive done calendar blocking since college. It was the only way to stay on top of all the stuff that had to be done. What I’m confused about is that you didn’t include any of the stuff EVERYONE has to do… well, self sufficient everyones. What about dishes and laundry and cleaning the house? I just couldn’t believe the number of days where no time was set aside for chores. That’s the one thing I *HAVE TO* schedule, or they don’t get done at all.

Amanda Baule yass!!! Exactly. Cooking breakfast, lunch, and shopping, home projects, walking the dog. Some of the basics are missing, but I do get what she's doing. It just doesnt seem like enough hours in the day for my schedule is my problem.

There is a LOT of time on her schedule left blank. Saturday for example. She probably batches a lot of the "housekeeping" tasks on the weekend. I spread mine out all through the week and everyone in the family has a daily 25-30 minute chore to keep things in check.

This is a "sample". Make it your own. I have a husband and 5 kids. I usually block out 1 hour a day to clean. Sometimes that is broken down into 15 min. Blocks. I set a timer, if I don't I will keep going. I also have band, track, softball etc.

Amanda Baule she was basically giving us an example of how to calendar block, obviously everybody’s day isn’t laid out the same. It’s all up to the individual how the calendar is set up!

You say you talk about calendar blocking a lot like it’s a bad thing, but repetition is key. Amy says: “Block your time.” Jen’s Brain: “Hm. Interesting.” Amy says: “Block your time.” Jen’s Brain says: “Hm. Interesting.” Amy says: “Block your time.” Jen’s Brain: “Hey, uh, hand, write “Block your calendar.’ in your calendar.” And then the magic happens. On paper though, because I really do like pencil and erasers.

Low key, I watched this video years ago and applied it. Admittedly I did fight it a bit at first, but once I was all in it allowed me to focus on my career and my business a whole lot more. I'm making like 6x more as a result. Some of my friends got irritated with me at first but the real ones adjusted and a couple even adopted this for themselves. I'm currently pursuing a post graduation and I live far away from my college and this calendar blocking technique has helped me immensely to manage my time and make the most of it on my commute and whenever I have free time at college! This is a 👍🏻 great way to make the most of your time☺️ I like the brainstorm slot. I do think that the days seem exhausting...when is the down time. That’s my only concern. But I waste soooooo much time watching Netflix/Amazon Prime... Gonna try it and see what happens 😏

Becca the Bargainer it's totally ok to schedule some downtime into your day! One of the other ways to start with this technique is to work backwards. Instead of going HAM with totally restructuring your life, you can use a calendar app to track how you're actually spending your time. When I see 12 hours of ugly brown blocks in my calendar (that's the color I assigned to farting around on the internet or watching TV for no reason) it shames me into doing other things with my downtime like reading or listening to a podcast or watching ONE episode of a show. I make those things much prettier colors so I want to see more of them on my calendar, and then they get done!

Wowza. I do about 35 minutes to work in the mornings but around an hour on the way back -only on days where I don't drop off my little one; those days it changes to minimum of 50 min/1hr20min... ugh

Haha not surprised. Average commute time one way in UK is between 1-1.5h. I'd say standard is between 45 to 1h. It sucks when you realise that's 12h a week...

OK I'm filling out my calendar...I'm wondering how do you decide when to do what during your work time? I have a lot of tasks to complete in any given week, not sure how long they will take and when to do them.

I watched another video on this and they said to just "guess" about the amount of time at first and if you are short on time, move the task to the next "block" that's for that same thing. If it keeps happening, it mean you need more time for that task and so block out more time, next time. When is another question. It seems it would depend on a number of things.

Hey Amy! Calendar blocking is changing my life! Thanks so much for doing this new video! ❤️ Prior to calendar blocking on Sunday evening I also use your Important & Urgent prioritisation method on lists. I then schedule these items in accordingly so that I know high priority items are locked in and going to be taken care. This also means low priority items can begin to fall into blocks where I may be a little more tired and not as focused, but just need to get it done. It just takes the pressure off and I love it!! Thanks again 😊

I've just found out. This website: emojipedia.org/ allows you to see the list and on the page of each emoji there's a little box that easily copies the cope for you and you can paste it.

You don't have to give everything an alarm. Like, you know when you work, right? So no alarm. And if you are great at going to bed, no alarm either. I'd only give alarms to the very important ones, maybe "read" wouldn't be one but "start preparing dinner" might if I constantly underestimate how long it takes.

Kara Romanoff nope you can set zero or multiple alarms on each task on google cal! And you can adjust how early they go off too. So I set an alarm 1/2 an hour before my classes, but no alarms for assignments since I check on those every day!

idk about mac but in win 10 when you are typing just press WIN + . and it will open the emoji keyboard. Amy is using shortcuts on her mac and maybe ther is an app on win 10 as well...

This is something I've always done privately in my journals but I can really see the advantage if it's an open source type thing as I often find that my day has been blocked out for me as altho I knew my wife was going to a spa day & planned ahead she didn't know what I had planned & arranged a home shopping delivery etc.. but my 5.30 am bike ride is giving me a good start .. as if I'm filming I cannot predict when I'll be finished .. There are more technical photography sites but I don't want to be like the rest .. so even 'tho I save time on my face .. I just get up & go all prepared the night b4 . Just taking myself more seriously has been the biggest inspiration from you .. bye

Amy, you might have just saved my entire life! I started using calendar blocking when I saw it mentioned in another video, but this tutorial brought up some really good points - scheduling time for free time, if rescheduling is a constant it's not working, etc... I also really loved the emojis, for some reason I already feel far less pressured by my calendar after adding them. As for timers, if you're like me and do the majority of your work on a laptop, I recommend using a pomodoro (or any other) timer online as it saves you from buying anything extra and as you'll be on the laptop anyway it's not an added distraction. :) Wish I could like this video 2000 times, it's the best thing ever.

Great stuff Amy. Thanks. Some good tips. I've just began using google calendar today to block chunks of time of stuff that's important to me. I looked at Tony robbins RPM, a couple of other dudes ideas, then a friend told me she uses google calendar. I only need to block 3/4 things per day, so keeping it simple suits me. I learned Time-blocking via Google Calendars from watching over a year ago. Life-changing! Thank you! For those saying that they don't look at the calendar: set alarms under "more options". I actually went into the individual Calendars (under the same account) and changed the alerts settings for that calendar. So for my regular Tasks calendar, I get alerted 5 and 10 minutes before. For my work calendar, I get 30 and 60 minutes before. They come in as notifications on my phone. I've turned off most notifications on my phone from socials (also life-changing! Just block out time to check socials!). So the only notifications I get are from texts or calls or my calendar. So great. I'm ordering the time cube tomorrow!
