This is fabulous! So well conceived, so clearly explained, so on point for a specific need for the times we are in. I just implemented your technique to print ID cards with QR codes for 800+ students after testing. Flawless. We already were using google forms on a shared Chromebook to take attendance prior to COVID, and were 100% remote last year using the same form, but this year we needed a touchless alternative on site which could also be self-serve for remote students. Exactly !!! that's what I thought when he 4 times scanned the QR code from his single phone itself. By this way 1 student can apply fake attendance for their classmates. How do we counter this hiccup???

You can restrict to just one scan per student, but that means they would have to select their name because the Form won't autosubmit. Some people may scan for their friends. You do need to teach the students this is a trust-based model.

You could also try giving/sending each student only their own codes. Requires a bit more effort and still isn't fool-proof, but it might discourage scanning others' codes!

Alternatively, you could give the students printed qr codes and get them to scan a webcam to register attendance. That way it doesn’t rely on them having internet/data and you can watch them so they don’t scan multiple cards.

You have a few options. Option 1: Make a new QR code for each student for each location. Option 2: One QR code but then have another question which is manually filled out before clicking Submit

Option 3: Add 1 random Quiz Question only teacher got there answers. Each get the one word/code answer for there question from the teacher as they attendance approve physically! Whoever scanned and didn't answer the quiz is a skipper tried to cheat attendance. Basically it's the basic 2 Key Auth. Semi manual, based on military standards. No fancy gps required or biometrics! Always simplist methods works the best... By the way... Special Tip! You could make questions of Auth. IQ or Equations like SAT hardest Questions that would challenge them if they answered it they may have late entry for the effort once a month!

Excellent video. I'm surprised you don't have more followers. You explain everything in a concise and logical way. I've followed your video and adapted it slightly. My students here in Seoul have both English and Korean characters in their 'name' field. This morning I tested QR attendance with the students and everything worked, except that only 3 (out of 10 or so) responses had names attached to them. The timestamps showed all of the students were able to submit their attendance using QR codes though. Is there anyway that Korean characters could be screwing something up, or is there another issue that I'm not aware of? I'd be happy to share the spreadsheet with you or anyone else who is willing to take a look. From one Kiwi to another.

1. Yes, absolutely. We can use it for years and then filter out the details we want (like filtering by day). 2. If you're on a Windows machine, use Windows+Shift+S to open the snipping tool, then snip the code, then email it to the student.

We were able to create the attendance sheet as per video first time correct (including the part of printing, laminating and producing the QRCodes!). I wonder if you could help someones in further need and expand the functionality of this sheet. I noticed on the last segment of your video...Create A New Spreadsheet - it is able to detail the timestamp of who attended, and at what date and the time. Could you create a formula that is able to pull the data and identify who was a little late (ie 15mins) or very late (ie 30mins) or didnt make it (not checked-in) at all for class or work (ie >60mins) ? This is an outstandingly well thought out and detailed tutorial. I followed everything exactly and was able to generate a full attendance tracker for my students. I am having an issue though where some scans are coming in without the students' names, and therefore they are being marked as absent. I'm not sure why this would be happening, and it isn't always the same students that are coming in scanned without names. I verified that the names match the Google Form perfectly (I copied them and pasted so everything matches), and if I personally scan each QR code myself, it comes in with the names as expected. I just can't seem to figure out what to do to solve the blank name problem. Any help would be greatly appreciated. Thanks so much for putting this video out. I'd have been lost without it.

Thanks for the kind words. Just so I'm on the right track: - Student A signed in but it scanned without a name attached - On a different day, Student A was able to scan no problems but Student B signed in with a similar issue - The names on the Google Form match exactly the names on the Google Sheet and you have tested each one The next step would be making sure the URLs are correct. Find a student whose name did not scan but their scan did register. Go to that student's URL that's next to their QR code in the Google Sheet. Read the URL to make sure it's correct and then click on it to make sure it registers properly.

I just checked what you suggested and it registered as expected when clicking their link, also I can personally scan these students' QR codes using my own phone and it will register perfectly fine when I do it, so based on that I can't seem to understand what the issue could be.

Hi Faisal, There's a bunch of reasons this may happen. Usually it's just down to a mistake in your URL or in concatenating the names. Double check you have the names correct, you have a plus symbol (+) between names, and your URL matches the one shown in the video. Thanks!

No need. The Google Forms automatically collect the date, so when we've collected the info we can filter by whatever date we want. It'll work for years with no need to update it (unless someone changes their name, but maybe that just means we should be using student IDs instead of names?)

This is A-MAZING! Thank you for this!!!! I do have some problems, hopefully you can help. When one teacher scans the QR code, the Google Form shows that a response has been received, but nothing shows in the list or outcome. But another teacher scans the same QR code and it works as it is supposed to. Should there be a difference between Android and iOS? I have also set the Share status to "Anyone with link" and someone else has to "ask for permission" when scanning the code. Any help would be SO wonderful!

I honestly can't answer anything about iOS. I know nothing about those devices. My thought when reading this is that perhaps you created it with your school account, and it's possible that your IT department may have set the access to domain-only. Meaning anyone from outside your domain (whether it's your school or district or whatever) won't be able to access it without another set of permissions.

Great video. I am thinking how can we use this to rate subjects in a study by just scanning the QR code. Any idea of how can this be set up? I wonder if adding another layer to the form would help.

That's a possibility - another way is to have physical copies. Just print out the Google Sheet alongside the corresponding name

Amazing Video !! I have created exactly same QR Code and Google sheets and It's working completely fine with Iphone QR Code Scanner But with android QR Code Scanner it shows the URL which we use in Excel sheet. Can you please tell me how will it work in android too !!

Pls any tips on doing 3-5 Multiple choices with radio buttons, checkboxes. Every time I create it, and click submit form I created it only allow first two option to go through, but 3rd, 4th, 5th and so on option just wont go through for both multiple choices and checkboxes. In affition if you have any tips on file upload would be amazing!!!

Thank you for your help! This was so informative. My predicament is as follows, I would like to assign and provide participants in my program 1 QR code. I would like to scan the QR code for their attendance as you explained in your video but I would also like the option to somehow scan their code to keep track of their meal pick ups as well as for a linen exchange system. I would like to use separate google forms for the meal and linens. How would I go about expanding the access to the multiple forms with one QR? thank you for any and all advice.

You'll need two QR codes per person. One will be for meal picks, the other for linen exchange. If you really need just one QR code, then you'll have the person scan then select either meal pick up or linen exchange then submit.

@@HashAliNZ I also have similar problem. One QR code need be able to distinguish Task 1 or Task 2 or Task 3. Print out end result who are in each Task at end of day. I was thinking add a question in Google form prior to pull up google Lens, then select Task 1, 2 or 3 before scan. How to do about doing this ? Is this too much coding ?

@@harutanaka3647 What if you set up each student on their task first, then give them the QR code that autofills both the task number and their name? You can semi-automate the setup process using some more advanced techniques in Google Sheets. Hi Cindy, The most common reason that QR codes don't show up is due to spaces before, within, or after the person's name. Here's an easy fix: Select the column(s) with the names Press Ctrl+H In the Find box, type a space Leave the Replace With box empty Click the Replace All button. You should now see your QR codes

Not to the Google Form. This info should already be part of your school's Student Management System. If you want it in your Form Responses sheet, you can create a new tab and import the info from your SMS, then use it however you wish.

Google Lens works fine. A lot of phones have a scanner built into their regular camera. I recommend BinaryEye. It's open source and has additional options so you don't have to click as much

Hi @TheMathLab NZ ! This is a very good video. The only problem I had was the 1st Row QR Code image did not show up. When i copied to the rest of the rows, they all showed up. I'm not sure why this is happening. Also, is there a way to register and recognise the phones IMEI to ensure that friends don't cover for each other to scan on their behalf? Hi This was very helpful, one question, when it comes to the generating the QR Code. Only one line of data creates the code image. the other lines of data don't ever create. Any thought's why these particular cells won't generate? I've reviewed the formulas and everything seems to be correct. Thanks

Hi! Check if your names have spaces in, before, or after them. If there are any spaces it won't work.

Hello, this system is well thought through. I am trying to build one for a convention that I am planning. We have 4 events at the convention. The attendees have paid for the choice of their events. Do you think it will better if I make 4 separate google forms and 4 google sheets for each of the events? Some attendees will bring in 2-3 guest (they hv mention in their rsvp) with them during the events, how do I collect the response or calculate the guest count that an attendee brings with him/her? Any solution will be very helpful! Thank you!

Hi Sidd, It sounds like you're doing this with adults. Adults are bit more easy to work with, so I think a better option would be to have a Google Form (linked via QR), then ask for the person's name and how many people they brought. In the settings, change the General options to include collecting emails, sending responses, limiting to 1 response, and allow edit after submit. To make sure they are signing in and are entering their details properly, perhaps have a raffle at the end - a random person selected from those that sign in. @@HashAliNZ Appreciate the prompt reply. We are placing Ipads at the entry door for each event. So I can keep the QR code image open all the time. One other solution I thought of was using your video tutorial for students' check-in to set up the G form and G sheet and sending an email containing the unique QR code (associated with their names) to our attendees. (the event manager requested a solution that involves sending QR codes to the attendees). On the day of the event, the attendees arrive and the convention volunteers will scan the QR codes of the attendees. The response for that attendees' QR code scan will be collected on the G form. But going further, can we add a formula so that when a QR code is scanned that name or row on the G sheet which has the prefilled attendees list gets strikethrough? And can we ask the attendees to use the same QR code associated with their names for the rest of the events during the convention? I may have to update the G sheet before each event with the attendee list. I am open to listening to any other simplified solution for check-in that involves sending QR codes to attendees as a ticket from your end. (perhaps using zapier). Thank you!

There is. It gets a bit messy because there's so many parts. I've explored using a touchscreen instead, but that does involve touching something which some people want to avoid due to bacteria and viruses

I am trying to use this in my classroom for attendance as well. My iphone is doing a great job scanning but when I use a barcode/qr scanner gun it is documenting the link instead of the information.

Yep. Works exactly the same way. One way others have done it is to print out and mail a lanyard with the QR code when they register for the event. Then when they come to the event, their lanyard gets scanned.

Based on the selection in Sec.1: - In section 2, the user has to select his/her name (from a dropdown menu) and the following fields are supposed to be auto-filled. What should I do?

I am trying to copy and paste the QR code on the tickets but it always comes out as a white box. I tried copying in google docs but I get a message that the image couldn't be retrieve. Hey Denyse, unfortunately the images of the QRs can't be copied and pasted. Instead, use the snipping tool. If you're on a Windows machine you can press Windows+Shift+S to get the snipping tool working

Hi Sami. If there is one code for the class, you wouldn't be able to find out who is scanning, unfortunately. It is possible to create an app with this function but that's above my abilities at this point!

Thanks for the video! When I try this, my QR code links don't match up with links in the cell. The link in the QR code ends with usp=pp_url (so no "entry") even though the URL in linked column has all the information. In the end, all of my URLs go to the form with no entry. Any ideas? If I take the same URL from my sheet and plug it into a "one-at-a-time" QR code maker, it works fine.
