My approach is similar to Pat's, slightly different. For 25 years, pretty much every night before shutting down, I make a 3x5 card plan: 1) action items that must be accomplished tomorrow in priority order, and 2) actions that would be nice to accomplish tomorrow if there's schedule, and 3) risks to accomplishing tomorrow's goals and their mitigations. This is true for work and personal. 3x5s force limits on the number of items, which creates focus, making it achievable. The card becomes my "today," then I have one white board split into three columns headed with month, quarter, and year. Everything can and should be modified and upgraded over time to suit your workflow, lifestyle, and needs. Hope it helps someone!

My wife couldn't understand why I put up a 3x4 white board in our kitchen. A week after I put it up, it was filled....LOL From a running "Bill" list (what's due and when) to a running grocery list to a running "Task" list. It definitely helps keep us Both on the same sheet of music.

What you are doing is essentially using a Gant chart. I do the same thing; what needs to be done this week, this month, this year. At work (I'm a special education teacher), I plan out the year in terms of deliverables i am responsible for. My job contains a lot of assessments/reports/progress reporting which is outside of what general education teachers do. These have hard timelines and real consequences for not meeting them. right now (April) I am preliminarily calendaring those tasks for the next year. I use the same method of managing tasks in both my work and personal life. I prioritize tasks in several ways. My number one priority is to work as far ahead as possible. It doesn't matter if it is an assessment, a report at work, maintenance on the home or car, or something one of the kids needs. Plan ahead, work ahead. You never know when something is going to get screwed up by any number of possibilities. I prioritize the tasks themselves, by generally, doing the shitty tasks, and knocking out what I call "five minute jobs" first. Knocking out the shitty jobs makes it easier as the day goes on and you have that non-preferred task behind you. Getting the five minute jobs knocked out quickly helps you feel like you got several things done, keeps you motivated, and helps you stay on task for the remainder of the day. Working ahead, keeps you motivated and allows you to make adjustments in your work load to address problems which may arise or allows you to take advantage of an opportunity that may arise rather than having to pass because you are loaded with work. Overall, you get a sense of accomplishment which helps you continue. One essential skill is mental flexibility; to be able to shift gears. You can think of it as adapt, improvise, overcome. Mental flexibility is cognitive skill set which is often seen in successful people. don't think of a change as a setback or allow it to make you angry or overwhelmed. Regard it as "challenge accepted". Think of it like this, your wife, kids, or boss drops something unexpected on you. Instead of an "Are you kidding" or "I don't do that" response, think "challenge accepted" and respond with, "I'm going to make that happen for you". You can do it. You may regard it as you shouldn't have to, don't want to, or you're "above" that, but once you regard it as a needing to be done and you're going to nail it, things get done with amazing efficiency. Both my grandfather and my Dad measure their day by what they get done and my philosophy is based on how they handle life That last thing I will say is stay focused. Avoid/limit times wasters like social media, video games, and nonsense controversies. I don't care what others think, I don't care who is doing what to whom, I just mind my business. Not my circus, not my monkeys, not my problem. Staying out of this nonsense at work and home will leave you free to "get shit done" as I like to think of it.

I've taken time management training. I'd like to see the full video. I also have a 5 year schedule. That helps when budgeting. Pro tip pick a time to use the phone. 1 hour a day check messages and return calls then hide the cell. Setup your voicemail explaining what time to expect a return call.

So Pat practices what he preaches. I ordered (and still use) the GitUsome exercise bands from Pat. There was a LOOOOOng delay in delivery. After, what i thought was a long time, the bands didn't ship. So I emailed Pat about the issue...he actually responded...told me what the issue was and I eventually got the bands. So, he took the time to view my email and respond and fixed the issue.

Very difficult to manage my time. I drive a ready mix truck. I may start at 0645 one day and not know when ill be off or 0235 the next day and same thing. And get Saturday work tossed in on a Friday. One thing it has taught me and what the military taught me is to be always flexible and we are never really "off" average a good 7.5 hours sleep. Get my work done and go home and tackle any projects i need to get done at home.
