You’re right, the categorizations are meant for people who get a lot of messages. I get hundreds of emails a day, most of which are not that important to the categorization allows me to carve through those social media updates, newsletters, transaction, receipts, and other things so that I can focus on the messages I get from people that actually matter.

It’s easy to train it, of course it’s also easy to turn it off. Personally, I have found it has significantly improved my ability to carve through emails quickly on my phone… Something I used to use my computer for more regularly. Of course, the new features aren’t for everyone so turning them off is always an option.

I turned off the categories. Is there a way to get rid of the icons on the left side of each email. They take up too much space. I really dislike this new set up. Apple has made several changes in their updates that are to time consuming or waste screen real estate. Love your videos. You always explain everything very clearly.

You can get rid of the icons by going to Settings, Apps, Mail, and turning off 'Show Contact Photos'. I hear you on some of the updates, and I know people are frustrated. I personally really like the new mail layout, but I'm uncommon in that I keep my inbox almost empty, not overwhelmed with tens of thousands of emails. So having the ability to categorize my handful of messages quickly has saved me a ton of time. But these steps should help you change it back to the old way.

If you go into settings, apps, mail you can turn off the show contact photos, which will eliminate the colors and icons to the left. It will also mean you don’t see the images of people you’re emailing, but it will remove the distracting colors and icons.

Notice when you have an email account synced to your mail app, by default (at least for me) the swipe left goes to your archive, not your trash folder. This can be changed in the Settings > Apps > Mail > Mail Accounts > (Choose your account) > Account Settings > Advanced. Then check off “Moved discarded messages into: Deleted Mailbox”. Then go back and hit done. If you have multiple account imported this way, you’ll have to do each account individually.

That’s because Gmail has replaced deleting with the archiving function mostly so that they can charge you more storage fees when you can’t actually remove your messages. To eliminate that function go to settings, apps, Mail… Click on mail accounts, click on your Gmail account, click on account settings and then click on advanced. From there you can change the delete setting to actually delete your message rather than saving it in some nefarious archive file that you get to pay for even though you were just trying to throw away your mail. Thank you Google for making the simple complicated.

The problem with the manual categorisation is that it puts all the emails from the sender in the new category. But I will get different kinds of email from the same sender - eg an online store like M& S may send me receipts from my transactions, updates about an order or promotional emails, and they all need to go in different categories

You're not wrong... but most senders utilize multiple email addresses for their separate communications. 📧 For example, Amazon uses one email for purchases, one for shipments, one for confirmations, and one for marketing. 🛒📦📩📢 In almost every situation, professional companies don't use one email for everything. So, when you categorize, you are categorizing that specific kind of communication into the right place. ✅ Try it out, and you'll find that transactions, updates, and promotions are coming from different emails, so categorizing them leaves them in the proper section. 📂

I understand, Apple Intelligence has not been fully rolled out yet and it is still lacking some of the more powerful tools we are expecting. I get a lot of email and manage my inbox to have as a few messages as possible, and the categorization tools have dramatically helped me maintain that. For people who have tens of thousands or even hundreds of thousands of emails in their inbox the categorization Can really help… But their inbox is so overloaded to begin with that it’s usually easier for those people to just use the list view. I recommend people manage their email differently and keep their inbox as empty as possible to make sure they don’t miss anything… But I understand that everyone does that. In the next year I expect Apple Intelligence to really hit it stride, and start to get better and better. They had to start Somewhere, and although it is not “all that“ yet… I expect it to get better and better over the course of the next year.

It was supposed to be released with macOS 15.2 but for some reason Apple pulled it at the last minute. 15.3 is in the beta testing phase now, so we will probably see it sometime in January.

This is an issue with the way Gmail works, but it is easy to fix. First go to settings, apps, mail, mail accounts. Click on your Gmail account (if you have more than one you’ll repeat this step for all of them) click on account settings, click on advanced, and where it says move discarded mail change the setting from archive to delete. then click your back arrow and the done button and the setting will be saved. Archiving is a nasty little trick that Gmail does to force you to save messages that you wanted to delete so that they can charge you more for storage fees. In my personal opinion archiving should never be used. Either delete your messages or file them, don’t archive them.

Turning off reminders in calendar is easy. Go to the calendar app, click on the calendars icon in the bottom middle and as you look through the separate calendars, one of them will show scheduled reminders. Simply turn it off.

In order to see the priority section your phone must be an iPhone 15 Pro or later with Apple Intelligence activated and turned on. Apple Intelligence does not work in all countries yet… So if you’re outside of the United States it may not be an option. You may also not see priority messages because Your phone has not determined any messages to be priority, but by clicking on the three dots in the upper right hand corner you have the ability to turn that function on or off if it is available for you.

Creating custom email signatures is a little complicated on the iPhone. There are many services you can use to create an HTML signature which you can copy into the signature section on your phone. Unfortunately the iPhone does not properly understand HTML inside of the signature field… But with a little bit of help you can make it happen. I don’t have a video on this yet but thanks to your question I’ve added it to my list for future videos.

My incoming emails will go into junk or trash….mostly into trash and I’ve tried different methods (even deleting app and reinstalling)to correct the problem, but no success. Nothing will come into my inbox. Could it be problems from my main server, AT&T ?

It may be an issue with other devices you have synchronizing with that same account. If you have it on your computer you may have some rules or other functions that are running without you realizing it and dumping stuff in the wrong place. Who is your email provider, and what devices do you have it connected to?

Hi Carey, unfortunately rules do not work on iOS as of yet. Hopefully they will add that in the future… Right now the only way to implement them is having your Mac on, and it will perform those actions and the iPhone will replicate them. But if the computer is off it will not make any changes.

The easiest way to make a custom signature is to use a third-party app to do it. I used esig.ly/ but there are many sites that can help you out. If you have some coding knowledge, you can also build your own HTML signature. It’s easy to get it on the computer but a little harder to get it on the phone… Once you have the signature built, you can open it with Safari on your computer, copy everything, and then go to the Settings for mail on the phone and paste what you copied into the signature section. Hope that helps.

You can easily turn off the categorization by clicking on the three dots in the upper right hand corner and going from category mode to list mode. Then open up settings, apps, mail, and turn off the contact preview, and you will remove the color and icon on the left side. That should get it back to the other way. What I’ve done is, I’ve gone through the separate categories and recategorized anything that isn’t in the right place and now I don’t miss anything… But obviously turning all the settings off is another way to do it.

No, smart mailboxes are a completely different function that, unfortunately, have not been migrated over to the iPhone yet. 📱 Smart mailboxes sort things based on rules that you create, but they don't actually move them out of the inbox. 📥 This feature uses your inbox and splits it into separate categories so that you can more easily move through the junk and focus on the important things. 🌟 With a little bit of customization and a few corrections, you can make it almost perfect with its categorization and really clean up your mail quickly. ✉️

The email categorization messes with several things; 1) it clumps all messages from a business in one string (ie: phone bill and security camera video), and if I delete one ... they're all gone. Not good!! 2) flagged message don't show on the most recent email, so become redundant. I want to SEE those flags, or they're useless.

Hi Diane, Both of the issues you are referencing are part of the same problem. You have a setting turned on called "Organized by Thread." 📂 This clumps all of the similar subjects into one chain, which, in my opinion, is a terrible setting and completely useless. I've had a problem with the "organize by thread" function for decades. 📧 I have hundreds and hundreds of clients who send me emails that simply say, "Help me, Dylan..." They are different people with different issues over the course of decades. However, with the "organize by thread" setting turned on, many of these messages get lost, combined, and clumped together into one thread, just like what you're experiencing. 😕 You can easily turn it off by going to Settings > Apps > Mail and deactivating "Organized by Thread." 🛠️ That should eliminate both of your issues. Let me know if you have other questions! ❓

Do you see them if you click on "All Mail" by tapping on the active category? 🤔 If so, you can go to those specific messages and recategorize the sender so it shows up in the primary category automatically. 📧 It may take a little training, especially if you have a large number of emails in your inbox, but it is completely doable. 💪 Also, make sure that you don't have your filter turned on by accident because that causes havoc with seeing messages that have already been read. 🔄 Hopefully, that helps. You’re not the first person to say something like that to me. In many cases the sound you have set may not be loud enough for you to hear it, or other things may be in the way. Go to your settings, notifications, mail and make sure that the sound that is turned on is easy for you to hear, and make sure that your phone is not on silent mode and it should work. Yes, Apple Intelligence is not yet available in Europe because of rules of the EU has put in place… We expected to roll out at some point in 2025, but in the interim if you want to use Apple Intelligence you can change your region to the US and your language to English and it will give you those capabilities.

Another reason why I am sticking with my iPhone X. The quality and usefulness of the iPhone has gotten worse over the years. But is better than having to switch to android. Even through I have 9 e-mail accounts on my phone (I categorize and set e-mail priorities with specific e-mail accounts which I create using my own domain servers) , I not longer use my iPhone to create e-mail messages or even post on Facebook. The keyboard on the phones are terrible and way too small to type accurately (and I have relatively slim fingers). I do not need Apple to read my e-mail messages and tell me what they are, their importance and place the into categories. Once my iPhone X no longer keeps a batter charge and I am forced to get a new one, I will turn off all the features you spoke about in your video and also try and figure out how to completely turn off all AI features. All this new technology and AI stuff is going to turn the people of the world into very unintelligent people who do not have the capability to think for themselves. I greatly appreciate this video in that you explain the new stuff and also how to turn it all off. Sorry for stepping up onto my soapbox and venting in here, but I needed to get this out of my system.

I understand your feelings. To a certain extent apple intelligence and other AI tools can reduce our ability to do certain things ourselves… But the best majority of people aren’t like you and I with strong categorization skills that they brought to the table. Many people are drowning in seas of 100,000 or more emails in their inbox without any way to Regain control and use their email for messages they actually need to see. As far as the keyboard being too small I’m never going to argue with that… But I use dictation about 99.9% of the time and have four decades, so the size of the keyboard is relatively irrelevant to me. If you’re not using dictation on a regular basis even on your iPhone X, you should definitely consider it because it will dramatically help. There are a lot of good tools in the later phones that do benefit from some of the technologies that have been released in the last several years, and I understand holding onto an old phone as long as you can but as the battery degrades and everything slows down be aware there are options that will allow you to improve your usage. At least in my opinion. And don’t worry about your soap box… I get on mine all the time, I Absolutely encourage any opinions… Especially when they’re backed up with facts like yours.

No problem, click the three dots in the upper right hand corner and set it to list you. I work very hard to keep my inbox with a few messages as possible and the categories have been instrumental and helping me manage my mail. I understand that is not for everyone… And I’m grateful that Apple gives people the option to turn it off if they don’t like it. Feel free to turn it off or explore it.

You can always turn off Apple Intelligence and prevent that function but if you are using Gmail your messages are already being read by Google, so keep that in mind. And unlike the ability to turn off Apple Intelligence, you can’t turn off Google scraping everything you do on their apps for their own personal gain.

You can easily deactivate them by clicking on the three dots in the upper right hand corner and changing from category mode to list mode. Then go to settings, apps, Mail, and turn off the contact photo and everything should go back to the way it was before.

Apples mail app is not new, it's Gmail email. And I guess you can't use Outlook. You can't even add that email address.

You’re right categorization of emails is not new, Google did it a long time ago. That being said, I like Apple‘s implementation much better because of the ease of turning it on and off, and I have found the categorization to be much more accurate than googles ever was for me. But to your other point, you absolutely can add an outlook email address if you want to. You can also use the Outlook app, but I always prefer to use the Apple applications when they are available.

I hate apple mail. I don’t use it on my iPhone,iPad or my Mac. I use a paid version of Proton mail. The two programs don’t work too well together. So it’s just another useless Apple app that I can’t seem to delete from my Apple devices.🤨👎🏼

I’m sorry you don’t like it. I don’t like paying for a Mail app when the built-in ones do everything I need… But that’s why there are third-party apps, different choices for different people. You can’t delete the Mail app but you can certainly remove it from your home screen so you aren’t tripping across it… And in the setting section under apps, you can now choose your default mail app which is a nice option.

@ thanks for the reply. I have been paying for and using most of the Proton products for about 5 years now. I have the VPN service on all my computers and phones. The best part about paying for this service is the amount of spam I get now has been reduced by about 90 percent. I made an effort to get away from all the other browsers from Apple and MS. I only use duck duck go now with the privacy setting set up pretty high. Both the VPN and the browser cause problems once in awhile, but it seems well worth it to be able to search for something on my browser and not see something related show up the next day on my Amazon account. Keep up the good work. I am subscribed to your YT channel and visit it often. Merry Christmas to you.

Thanks for the suggestion, it’s on my list for future videos. The Health app can be very useful for things like tracking medication’s and other health related functions… And appears really nicely with the Apple Watch. Thanks for the suggestion.
